Edit SharePoint data in PowerApps but NOT in SharePoint

  • This video shows how to allow users to edit SharePoint data from a PowerApp only without giving them access to the SharePoint lists by controlling SharePoint access permissions. This will hide the SharePoint lists used by the PowerApp from the users.

    Long video - hope this helps.
    1. Click Gear Icon -> Site Permissions
    2. Go to "Advanced Permission Settings"
    3. Click on Permission Levels on the top ribbon
    4. Click on the "Contribute" permission level, scroll to the bottom of the page and press "Copy Permission Level"
    5. Give the new permission level a name ("Power Apps Users") and uncheck the "View Application Pages" setting. This is the setting that will prevent these users from seeing the list. You can modify the other settings if you like as well.
    6. Go back to the Advanced Permission Settings page, and click "Create Group" in the top ribbon. Give the group a name, and assign it to the new permission level that you created in step 5.
    7. Add members to the group as you like.
    8. Now go back to your list and go to the gear icon -> List Settings -> Permissions for this list
    9. Click add, add your group to this list and ensure the permission level is the new permission level that you created.

    Hi there. WOW. Absolutely brilliant. I have been looking for this info for months. Thank you very much for this contribution. Kudos to you. I would like to ask you two things: 1. I noticed that an user still able to click in the home screen and hit the edit button and edit that screen like add or remove the News, events, etc. in you video min 16:38 you will see that the edit button is enabled. How we can disable that option for the same "Everyone User". and 2. This technique will be possible to apply if we do the opposite? I mean instead of private group make public and the restrict one by one libraries and list as required? Thanks again

    It is not working for me. That is interesting that it works for you. This video is a year old and perhaps this functionality worked before and not currently? I did the same thing and users still able to go to site contents

    Hi Asif,
    I had a similar requirement and I tried the approach that you have mentioned so the user is able to edit records in app and if they try to access the site by navigating to SharePoint there they cannot see the site (in my case it is IZ Pune) but when I shared the site link with the users then they are able to access Site contents , the access denied message is not shown.

    Very good solution, but unfortunately the user can still use the list in the power automate flow. Is it possible to block additional this with roles?
