Thanks for this video--I actually only needed to see how you updated the content approval status. I am old school in Flow so had been looking for a way to do it via "Update Item" this whole time. Never thought to look for a new type of action called Set Content Approval Status... finally!
This is nice Reza. Recently used the Grant permission in Sharepoint through Power Automate. I Like the Append feature for Multiline, this makes it easier to see more comments if you have multiple approvers
I have been implementing approval systems in SharePoint for years. There are so many considerations. One part of the recipe that I like to use is this: Set up a multi column rich text field called "History". Hide this from the form. Use workflow to detect when approvals occur and append a line entry into the History column to record the action. This can be formatted using HTML because it is rich text. E.g. "Joe Smith Thu Oct 24 2024 8:34 AM Set Approval 1 to Approved." This allows a summary of approval steps to appear on the list view in one column.
@@RezaDorrani Yes - you are right, pretty much that concept. I just mean that it is something exclusively updated by the workflow. Basically the workflow itself detecting events and keeping a user friendly log of what took place and when.

Hi Reza, really helpful videos! I've just started using Power Automate and your videos are great! Question on the approvers list, is there a way to use the current list members, contributors, and designers for the approval flow? Instead of having a separate supporting list.
Hi Reza, great video. One thing i want to ask, what is the best way to remind the approver via email or teams? And how to make the reminder only sent to approver that not yet respond the approval?
This is a great video! I just want to make sure: Why do we give approvers a design access level? Why is a contributor not enough? Is it because of the Content approval method?
I'm not sure if that's an option. I make videos when I receive multiple requests on a topic. I have topics with over 50+ suggestions that I am yet to get to.
Hi Reza, thanks for the helpful video. I have a quick question: Does the approval email always display "requested by" the person who created the Power Automate flow? It might be a bit confusing for the approvers if every request appears to come from the same individual.
That's a great tutorial, but what if there is a requirement to always keep the latest approved version of a document visible to the members while the new version is under approval? I was thinking about using the library accessible to only the creators and approvers, and create a modern visualization site where the consumers of the info can only view the approved versions. (i'm a newbie)
Great video as always Reza, one challenge I have is with power automate. I want the approval/rejection email to come from the reviewer, not the owner of the flow.
thank you Reza! I wonder if I can edit the email with the approval request, my objectif is to add another field, I need the response and the comment but also a third one that I will paste into another column of SharePoint. Would that be possible? Did you cover this in a previous video?

What happens to the approval flow if the approver just goes into sharepoint and approves an item from in the right click menu? Are they integrated and it cancels the automation flow or does the flow sit open until timeout and leave a broken approval request in the power automate pending approvals list?
The approval workflow via flow approvals would be pending. If response if taken by approver on SharePoint, you could check status of approvals in flow and send notifications email.
Hi Reza, Do you know if it is it possible to update the sharepoint list after each stage of the approval process? I want to be able to update a sharepoint column (status) after each stage so users are able to see the approval status e.g. Waiting for CFO, Waiting for CEO, Waiting for Finance etc.
