We only have between 30 and 40 employees at any given time and there is always a chance that there is a high risk looming. I have even heard employees say 'I will set them up for sexual harassment so they pay me a settlement fee' (literally have heard this said in our office and on recording as well). Until you deal with false claims or someone wanting to do nothing and get rich on your dime, there is really nothing to talk about. How about a salesperson that says they will try to download your entire client list and call and solicit them, etc.? Obviously their employment contract is completely against that, but they don't think rationally when things like this happen and they are in a bind and think your company is the easiest way out for them.

If you, as an admin, maintain a list of all user password somewhere, hopefully encrypted, gsuite has an option to turn off account verification for a bit of time so you can login to any of your user accounts without them getting notified of the login but you must have the current password.

What has been annoying me is that the online doc editor does not support all editing features from Microsoft Office Suite, which sometimes causes broken formats for the docs. Mailflow rules give Office 365 admins an enormous amount of power and flexibility to control every aspect of the delivery of their emails however they see fit. Last I remember Gsuite/Gmail has nothing that can compare.

For a starting off a company, this isn't too shabby, as you can get away with not having professional emails for a while before moving to a more professional image surely. As a matter of fact you CAN get into your employees inboxes without them knowing... You have 2 options for that: Set up Vault... It's an add on subscription but you can always use the trial, let it expire and redo it whenever you need... 2. You can set a routing rule for every inbound and outbound message from your users, internally and externally... That will send a bcc to your inbox or if you're concerned with storage... I'm seeing a mix of comments about spying on employees. Not sure why it is so surprising to some that he checks emails. Most large successful corporations have that capability. Not sure how many use it, but for sure they have the ability. I do believe it should be communicated to employees at the time of hiring that their emails are not private, so they are aware of it, which also prevents abuse. However, I see nothing wrong with auditing employee communication. It is as necessary to protect your company; as it is to have an auditor for your accounting.

To be clear that means they have full access to your email as well as your company desk phone and if you have a company cell phone guess what they have full access to that also. BTW when all of you go to work and connect your phone to the company wireless guess what that's also logged they know what websites you are surfing and it can be traced back to your smart phone. So if you want privacy stay off of company wifi and use a personal email address.

Irving G. If you want to keep your policy I would recommend installing the device policy. I am a business owner and I use g suite for my company so here's an insight. Add the company email as an account to your phone, when prompted install the Google device policy and then when prompted enable work profile. Using a work profile admin can only make changes to the apps and information connected to that work profile. (The work profile creates separate versions of apps like Gmail, calendar for work use). Finally, when you go home from office simply click the briefcase button in your notification shade turning off your work profile which disconnects the phone from work environment.
we use gsuite in our company and we manage 15k+++ users it;s easy when it's small but when it grows bigger you'll never spy on anyone unless they reported that there's something within that user.
Ouch. If you want to spy on people's emails without them knowing, just add their accounts in Outlook. All the rest is just Google Drive which can be shared anyway. Can't see the point myself.

I like the ability to view employees emails, especially when you have employees that get sick or up and quit, having the ability to access their emails is important. If people think that the businesses they work for don't do this, then they have their heads in the sand. Yes as long as it is out in the open it is not really spying. Most companies it is normal practice for managers to have access to all mails going in/out of their teams email boxes.
As a business admin you would definitely want to have access to emails that are being exchanged between staff and customers. I think there is a feature in G Suite which will route all outgoing emails to another address.
You can, however you need to upgrade to their Business account which is $10 a user. For example, a pharmacy would use the $10 plan or higher - gsuite.google.com/pricing.html?tab_activeEl=tabset-companies
You definitely can do that even with the G Suite Basic plan. It is in the admin console within Gmail advanced settings, and it is called Routing. I implemented that for a customer. In that case you may want to have some extra space for the account that will receive all trafic.

You had my ears until you had access to change employee passwords and rightfully wanted to snoop into their inbox... WTF? And your metric for employee productivity is Inbox and login records,... Really? And YOU really have people working for YOU?
Good to know Alex but nothing justifies snooping into employee emails. From a technical stand you did a good job showing what's available for a G-Suite user but from a company's process stand point those you mentioned are completely unethical and by micro managing you are limiting resources from helping you.
Some of the reactions to your employee access commentary are hilarious. I have been in the corporate world for a very long time and all or most of the major corporations I have worked with have full access to their employees email content. They also view their employees social media. People get fired every day for bad mouthing a superior or emailing proprietary company information. Come back to reality folks.
You have no idea what kind of request IT gets. An e-mail was bounced, the staff demands an answer, and the IT needs to access the raw message to know why. An e-mail was accidentally deleted, and the staff needs to retrieve it. Two people arguing over existence of an e-mail and the IT needs to check the fact. A disgruntled employee deleted all his files and e-mail at last day of his job and IT needs to retrieve all of it. There is a lawsuit and the IT needs to archive messages as evidence. Simply put, IT needs access to information whenever the occasion arises. That doesn't mean IT go to employees inboxes on regular basis. And HR should definitely hire a trustworthy person that 1) is competent and knows about to do given any kind of situation, and 2) won't abuse that power.
Straightforward and to the point. I had overestimated how complicated G Suite would be to learn about. (And other people here are overreacting. LOL to those who think they have any sort of privacy when using business-managed resources and devices.)
Watch out!!! I signed up for a "Free" trial of gsuite and google charged me $2.04 immediately. And it's not a temp charge to verify my account. It's a permanent charge that google illegally took out of my account. I can't contact google about it either. Google is unreachable. Ripoff!!!

Using a work profile admin can only make changes to the apps and information connected to that work profile. (The work profile creates separate versions of apps like Gmail, calendar for work use).
Finally, when you go home from office simply click the briefcase button in your notification shade turning off your work profile which disconnects the phone from work environment.

Ouch. If you want to spy on people's emails without them knowing, just add their accounts in Outlook. All the rest is just Google Drive which can be shared anyway. Can't see the point myself.
Thank you for the info, good to know. I like the ability to view employees emails, especially when you have employees that get sick or up and quit, having the ability to access their emails is important. If people think that the businesses they work for don't do this, then they have their heads in the sand. It's called a company email for a reason, they are paying for that email service, it's a business owner's right. That's why there is a thing called "personal email"
Yes, especially with remote sales teams. There will be people quitting or getting fired at your company, or strange activities, and when that happens you need a way to investigate quickly.
Yes as long as it is out in the open it is not really spying. Most companies it is normal practice for managers to have access to all mails going in/out of their teams email boxes.

As a business admin you would definitely want to have access to emails that are being exchanged between staff and customers. I think there is a feature in G Suite which will route all outgoing emails to another address.

You can, however you need to upgrade to their Business account which is $10 a user. For example, a pharmacy would use the $10 plan or higher -

You definitely can do that even with the G Suite Basic plan. It is in the admin console within Gmail advanced settings, and it is called Routing. I implemented that for a customer. In that case you may want to have some extra space for the account that will receive all trafic.

Good to know Alex but nothing justifies snooping into employee emails. From a technical stand you did a good job showing what's available for a G-Suite user but from a company's process stand point those you mentioned are completely unethical and by micro managing you are limiting resources from helping you.

Some of the reactions to your employee access commentary are hilarious. I have been in the corporate world for a very long time and all or most of the major corporations I have worked with have full access to their employees email content. They also view their employees social media. People get fired every day for bad mouthing a superior or emailing proprietary company information. Come back to reality folks.

Your HR should be strong enough to hire the people who you can trust. Checking their emails is a no no....
The fact that something became normal doesn't make it acceptable nor ethical for that matter.
You have no idea what kind of request IT gets. An e-mail was bounced, the staff demands an answer, and the IT needs to access the raw message to know why. An e-mail was accidentally deleted, and the staff needs to retrieve it. Two people arguing over existence of an e-mail and the IT needs to check the fact. A disgruntled employee deleted all his files and e-mail at last day of his job and IT needs to retrieve all of it. There is a lawsuit and the IT needs to archive messages as evidence. Simply put, IT needs access to information whenever the occasion arises. That doesn't mean IT go to employees inboxes on regular basis. And HR should definitely hire a trustworthy person that 1) is competent and knows about to do given any kind of situation, and 2) won't abuse that power.

Watch out!!! I signed up for a "Free" trial of gsuite and google charged me $2.04 immediately. And it's not a temp charge to verify my account. It's a permanent charge that google illegally took out of my account. I can't contact google about it either. Google is unreachable. Ripoff!!!
