Thank you for the answer. I finally figured out how to import the file but mainly to to put everything in the year corresponding to the dates of the appointments. either 2023 or 2024. Now the only thing remaining is a bit of code to build for each year the summary starting at line 40 that will be read and showed in the scheduler. I am getting there slowly...If there is a oneliner to do that it would be appreciated...

HI Mr Randy You have the ability to simplify things to get complex jobs done. I have learned a lot in visualising your great videos. After having seen this video, I thought that it would be cool for me to try import a .csv file from another Appointment Scheduler into a blank sheet and try to insert those appointments in your scheduler in the proper year. As you know, the column number in which it goes is easy. I am having difficulty until now to figure out the corresponding line number where it goes. I have two questions: 1. are these built using modern Excel practices such as Xlookup vs Vlookup? 2. do you have videos to accompany each of these? 3. bonus question :) are all your workbooks dependant on vb code? Ie, your example, 18th January, when a meeting is with David, it needs to be green, when a meeting is shopping it needs to be blue. Can the cell formatting be changed individually even when they are merged? I unmerged them but then I get a macro error 13.
@@ExcelForFreelancers Thank you for getting back so quickly. What I would like to do is have different items in on merged cell formatted differently with conditional formatting. If I apply conditional formatting it applies it to the entire merged cell that makes one day and not individual items. But I would like individual items coloured differently. Would I need to do this via VBA?
This is an incredible tutorial! Just one question: at 30:11 in the video when you go over the formula for cell M42 (Db Col value), i cant decipher between apostrophes and quotations within the INDIRECT function. Could you please share what combination they are? Thank you so much!!

Hi, This is truly amazing. I watched this video 5x and even copy the exact arrangement, name ranges and formula of your project even its vba/macro codes. But, I just couldn't understand where can I find those value from "Load Day", "Select Month", Start Col", "End Col", "Sel. Col Rng", "M3" and "Db Col". I want to find out how? I have couple of questions. is it possible to increase the number of events for each day to be displayed from 5 say to 7-8. currently it only displays 5 events, anything more its is pushed out of current window. Second question is, is it possible to select multiple days at once and schedule same event at the specific time. (for eg. every monday @9am, OR mon-wed @10pm, or mon, wed, friday @ 12pm - by weekly, monthly, yearly). thank you so much.

I loved the video i have seen it many times and learned a lot every time I see it!! I have a questions, is it possible to assign specific color to every appointment in the calendar? i have tried many things like conditional formatting but since are multiple rules in one cell they get overlap. Is there a way you can do it using macros? or is there a way to do it in general?
For this style of calendar, you can use the Appointment type in adjacent cells and then use conditional formatting based on those adjacent cells. This was an older scheduler. Most of my newer schedulers use shapes which is much faster and easier and you can drag and drop appointments and assign colors to appointment types. Hello how are you. With this calendar are you able to create recurring events like birthday’s. So for example my sons birthday is on August 23rd 2021 I would like to have it repeat for 2022 and so on instead of putting it in every time. Thank you

Fantastic. I would like to set up a calendar as a booking form for hiring of school facilities such as hall, pool, conference room and specialist room. How do you get the date to show in M3? Also I have excel 2019 and I am getting lost when you go the the developer part. any way we could just get the sheets with all the work done from you or another person that has done this that has the formatting etc done?

Hey Randy. Feeling a bit lost at the moment! For a good many months now I have looked forward to and learned a great deal from the awesome applications you have made available every Tuesday. Yesterday I tried to download an application, which you regularly make the invitation to do, but have come up against quite a different "download for free" page, which even after signing up to the site I have been unable to fulfil the free download option. Hi Randy. So far so good. The three "sticky" applications I encountered yesterday morning, were all successfully downloaded yesterday evening. I'm more than happy to utilise the Freelancers email provided to forward any new concerns, but all good to go at present. Thank you again for the individual attention as well as helping steer me into what is now becoming a challenging though really enjoyable retirement interest. Hi Randy, going through the first 10 mins was a breezy and i actually felt really proud. but when it got to adding the days of the weeks and allowing it to change as and when you want was extremely difficult, the formulas don't works for me I'm not sure why. My start time came in as 0.33333 and the Scheduled intervals as 0.01042. how do I change it to get the correct numbers? Year and Weekdays are fine though. Other than this I am LOVING your videos. I came across you a few days ago and trying to learn.

Hi Jason, you can just set the cell format to "mm/dd/yyyy" or "dd/mm/yyyy" (or whatever format you like) The time can be hidden when the format is set for only date. I hope this helps. I want the time details in column L to be shown till 9:00pm starting from 9:00am, so that i have full visibility in a single glance rather than changing the start time every time to see the later times. How do i do that? Can you please explain?
Hi and thanks very much. You can use an advanced filter in which the you have a complete list of times as the original data. The criteria of your advanced filter would be ">" & (whatever time was entered) Then the results would be every time after that. You would then create a Dynamic Named Range for the results of that filter, and use that named range in your data validation drop down list. I hope this helps and thanks so much.

Hi Randy, thanks for the video. Is there a way to create relationships in Excel, where let's say one appointment is missed, to have the spreadsheet dynamically reschedule the remaining tasks based on the available time left in the day and duration of tasks? I.e. Using your 1/18 day in your initial spreadsheet, let's say you didn't pick up the kids until 5:30pm - is Excel able to search the rest of your day for an opening to pick up milk (let's say it takes 30min)?

I am learning a lot here, however, pretty new to excel. Don't know what formula you actually used for yoru intervals. I typed in the decimals you showed, 00:30 and 1:00 work, but 00:15 does not when I click around trying to figure out what you did. In fact the decimal rounds up and i get nowhere.
I saw, finally, that you used the time format, but again, not getting it to come up correctly. it is putting the actual time rather than the intervals the way you have them.
HI Tamara, please check the formats and also make sure to get the exact decimal number. 15 minutes is basically 1/24 then divided again by 4 (1 = 1 DAY, then divide that by the # of hours in the day, then divide that again by 4 to get the 15 minute decimal. Once you have that decimal (which is 0.0104167) and then format it as a time, it will then display properly. Times are always numbers that have been formatted. Really like your videos, but having a problem with the workbook, i can not un-hide column A & B. Tried every thing I know (which is not much) also the when adding to the calendar, it only inserts into the calendar and does not fill in Time into the Time area.

I just completed this excellent tutorial however when I change the start time in P5 or the Intervals in P6, It updates the times but the info or appointments I scheduled in M stay the same column meaning they don't move along with the times I scheduled for, Do you know how to fix that?

I have the same problem this wasnt covered, the change of the month name displayed between the prev and next button wasnt covered, the Selected day B3 is not covered and locking of the formula cells is not covered. Hello, I love this downloadable worksheet. Very helpful. I am having a small issue with the LoadDay under .ClearContents. When I add something it adds to the correct day but when i move to a different day M4:M40 does not clear. I have to manually clear and then it does stay on the correct day in the calendar but not pop up the M4:M40 for the original day added. Where did I go wrong?

Nice work,. Can you show how to keep the staff list in alphabetical order while also maintaining the appointments that have been set in the schedule. For instance, if I change the name of the staff or move a staff further down the list in order to keep it alphabetical, that staff member no longer owns the appointments that were originally create for him/her.
Hi and thanks for your comment. You can use a Saff Id so that instead of names assigned to an appointment a Staff ID is assigned. You can then sort names as you wish as long as the ID's stay with them and even if names are changes, the appointments remain assigned to the correct staff. I hope this helps. Perfect Job!!! I need some help if it is possible and you have time for that. I want to add a column at the right side of the "m" column with data stored in the "2018" (or else sheet created). So when I call the "Sub AddSummary()" the data from the two columns (M & N) must be stored in the database. This will help when I call the "Sub LoadDay()" restore these two columns. I managed to make the "Sub AddSummary()" to work and store the data to "row40" but when I call the "Sub LoadDay()" I lose the data in "N column" because of the ".Range("M4:M40").ClearContents" in the "Sub LoadDay()" . I can send you the file I created to see if you want to see the code I added. Thank you in advance for your time. P.S. The data in these two columns are with comboboxes like the year or days etc. but with differend data.

Sure anything is possible you can add to the database an additional column for duration. I am thinking about making a 'Week View Schedule' video with duration as well. You can use conditional formatting fo that as well (its much more involved than i can explain here) However to see what is possible you can see some of the applications I have made. HI thanks, date issues are due to date formats different on your machine. You would want to make sure that all date formats are exactly the same. This would include the date formats of your machine, In all of the cells in both your original data and in your criteria and you may also want to set the format within the vba as well. Once all of the date formats are the same, he Advanced filer will return the correct results. Thank you for the answer. I finally figured out how to import the file but mainly to to put everything in the year corresponding to the dates of the appointments. either 2023 or 2024. Now the only thing remaining is a bit of code to build for each year the summary starting at line 40 that will be read and showed in the scheduler. I am getting there slowly...If there is a oneliner to do that it would be appreciated...

You have the ability to simplify things to get complex jobs done. I have learned a lot in visualising your great videos. After having seen this video, I thought that it would be cool for me to try import a .csv file from another Appointment Scheduler into a blank sheet and try to insert those appointments in your scheduler in the proper year.
As you know, the column number in which it goes is easy. I am having difficulty until now to figure out the corresponding line number where it goes. I would appreciate the formula to caculate the line number if possible,

Hello, your workbook deal is very reasonable. I have two questions:
1. are these built using modern Excel practices such as Xlookup vs Vlookup?

I specifically use formulas that can work in any version of Excel, (not just newer versions) so therefore there is no xlookup. I use Index/Match instead of Vlookup.

Yes certainly you can apply then to a merged cell. Just make sure that the applies to includes all the cells in a merged cell

What I would like to do is have different items in on merged cell formatted differently with conditional formatting. If I apply conditional formatting it applies it to the entire merged cell that makes one day and not individual items. But I would like individual items coloured differently. Would I need to do this via VBA?

But, I just couldn't understand where can I find those value from "Load Day", "Select Month", Start Col", "End Col", "Sel. Col Rng", "M3" and "Db Col".

This Awesome workbook and video. I have couple of questions. is it possible to increase the number of events for each day to be displayed from 5 say to 7-8. currently it only displays 5 events, anything more its is pushed out of current window. Second question is, is it possible to select multiple days at once and schedule same event at the specific time. (for eg. every monday @9am, OR mon-wed @10pm, or mon, wed, friday @ 12pm - by weekly, monthly, yearly). thank you so much.

I loved the video i have seen it many times and learned a lot every time I see it!! I have a questions, is it possible to assign specific color to every appointment in the calendar? i have tried many things like conditional formatting but since are multiple rules in one cell they get overlap. Is there a way you can do it using macros? or is there a way to do it in general?
For this style of calendar, you can use the Appointment type in adjacent cells and then use conditional formatting based on those adjacent cells. This was an older scheduler. Most of my newer schedulers use shapes which is much faster and easier and you can drag and drop appointments and assign colors to appointment types. How do you get the date to show in M3? Also I have excel 2019 and I am getting lost when you go the the developer part. any way we could just get the sheets with all the work done from you or another person that has done this that has the formatting etc done?

I want the time details in column L to be shown till 9:00pm starting from 9:00am, so that i have full visibility in a single glance rather than changing the start time every time to see the later times. How do i do that? Can you please explain?
Hi and thanks very much. You can use an advanced filter in which the you have a complete list of times as the original data. The criteria of your advanced filter would be ">" & (whatever time was entered)
Then the results would be every time after that. You would then create a Dynamic Named Range for the results of that filter, and use that named range in your data validation drop down list.

Is there a way to create relationships in Excel, where let's say one appointment is missed, to have the spreadsheet dynamically reschedule the remaining tasks based on the available time left in the day and duration of tasks? I.e. Using your 1/18 day in your initial spreadsheet, let's say you didn't pick up the kids until 5:30pm - is Excel able to search the rest of your day for an opening to pick up milk (let's say it takes 30min)?

I am learning a lot here, however, pretty new to excel. Don't know what formula you actually used for yoru intervals. I typed in the decimals you showed, 00:30 and 1:00 work, but 00:15 does not when I click around trying to figure out what you did. In fact the decimal rounds up and i get nowhere.
I saw, finally, that you used the time format, but again, not getting it to come up correctly. it is putting the actual time rather than the intervals the way you have them.
HI Tamara, please check the formats and also make sure to get the exact decimal number. 15 minutes is basically 1/24 then divided again by 4 (1 = 1 DAY, then divide that by the # of hours in the day, then divide that again by 4 to get the 15 minute decimal. Once you have that decimal (which is 0.0104167) and then format it as a time, it will then display properly. Times are always numbers that have been formatted. Really like your videos, but having a problem with the workbook, i can not un-hide column A & B. Tried every thing I know (which is not much) also the when adding to the calendar, it only inserts into the calendar and does not fill in Time into the Time area.

Provided I have a name range for all holidays of the year. How do I make a conditional formatting to highlight the days with holidays?
Hi Clarance, thanks for your great question. Assuming you have a named range of all your holiday dates called "Holidays" you can write a formula such as this
=ISERROR(MATCH(A1,Holidays,0))=FALSE
Just change your A1 to the 1st upper left cell that contains your dates>

I just completed this excellent tutorial however when I change the start time in P5 or the Intervals in P6, It updates the times but the info or appointments I scheduled in M stay the same column meaning they don't move along with the times I scheduled for, Do you know how to fix that?

I have the same problem this wasnt covered, the change of the month name displayed between the prev and next button wasnt covered, the Selected day B3 is not covered and locking of the formula cells is not covered. I started the project at the start of the tutorial thinking its all going to be good, but disappointed now i cannot compete the project. Can you hep with completing this tasks pease? Thanks
Hello, I love this downloadable worksheet. Very helpful. I am having a small issue with the LoadDay under .ClearContents. When I add something it adds to the correct day but when i move to a different day M4:M40 does not clear. I have to manually clear and then it does stay on the correct day in the calendar but not pop up the M4:M40 for the original day added. Where did I go wrong?

I need my appointments to be color coded, how can I make appointments on the same day be different colors?
If I make one appointment blue on the right side with the times & one appointment red on the right side with the times then how do I make that carry over to the calendar?

Nice work,. Can you show how to keep the staff list in alphabetical order while also maintaining the appointments that have been set in the schedule. For instance, if I change the name of the staff or move a staff further down the list in order to keep it alphabetical, that staff member no longer owns the appointments that were originally create for him/her.
Hi and thanks for your comment. You can use a Saff Id so that instead of names assigned to an appointment a Staff ID is assigned. You can then sort names as you wish as long as the ID's stay with them and even if names are changes, the appointments remain assigned to the correct staff. I hope this helps. I need some help if it is possible and you have time for that.
I want to add a column at the right side of the "m" column with data stored in the "2018" (or else sheet created). So when I call the "Sub AddSummary()" the data from the two columns (M & N) must be stored in the database.
This will help when I call the "Sub LoadDay()" restore these two columns.
I managed to make the "Sub AddSummary()" to work and store the data to "row40" but when I call the "Sub LoadDay()" I lose the data in "N column" because of the ".Range("M4:M40").ClearContents" in the "Sub LoadDay()" . I can send you the file I created to see if you want to see the code I added.

P.S. The data in these two columns are with comboboxes like the year or days etc. but with differend data.

Sure anything is possible you can add to the database an additional column for duration. I am thinking about making a 'Week View Schedule' video with duration as well. You can use conditional formatting fo that as well (its much more involved than i can explain here) However to see what is possible you can see some of the applications I have made. HI thanks, date issues are due to date formats different on your machine. You would want to make sure that all date formats are exactly the same. This would include the date formats of your machine, In all of the cells in both your original data and in your criteria and you may also want to set the format within the vba as well. Once all of the date formats are the same, he Advanced filer will return the correct results.

Hi, I was wondering how I would add an appointment within the calendar to appear at set days of each month i.e. repetitively. Preferably, I would like tasks to appear on a monthly basis outwith Saturday and Sunday. Is this covered in any other videos? Apologies if it was missed within this one.
