It's not your fault. Nobody ever taught people how to be organized digitally… Because digital files don't take up physical space, we tend to leave them everywhere and scatter them all over our computer, inside different apps, and on our phones and iPads. With a little bit of help, and some of the tools I share here, you should be able to create a system and a plan to store your files in a way that allows you instant access without searching most of the time. Another excellent video. I knew much of this but I had forgotten some things. I always recommend your videos especially to new to Mac friends. I appreciate that you go through everything slowly. thanks for this...UA-cam referred me to this as I have just started using Files on an iPad. Great explanation and it will help with my organization. FWIW, I was trying to copy a series of Photoshop videos (F64 Academy) from my Mac to the iPad and Files never showed up in a Finder window. I ended up copying to VLC and then doing a move to Files so I can keep the videos in a folder structure that VLC doesn't seem to have. Still haven't figured out how to copy the PDFs over. I will subscribe for more helpful tips....thanks again
I just want to confirm that you got the files moved over to the iPad from the Mac. Remember, Files will never show up in finder... but the Desktop, Documents and iCloud Drive folders will, so you can just move your PDFs into those folders and they will "magically" appear in Files on your iPhone and iPad. Great tips. I've been using the camera icon in my notes for years. When I use the camera in my notes app the pic or vid is dedicated to notes only and doesn't wind up as extra clutter in my photos:) I learned several new tips here with this video, new subscriber and thank you!
It really depends on what kind of documents they are. If it needs to stay as a PDF or a specifically formatted Microsoft Word or Excel document, I'm going to use Files. If I can copy the content and words out of it and it's just the details of the document that I need, not the document itself, I'm going to use Notes and just paste the info in (not using the doc at all). It's really what works for you. A lot of my clients use notes to store their attachments in their PDFs... I just find it counterintuitive, and I would rather have documents stored with documents and notes stored with notes (i.e. the content of the document inside the Notes app rather than the PDF itself). To summarize, if the document itself is important, Files is the way to go, but if you just need the information within it, use Notes.
Thank you for the awesome video. I am a pilot, and need to access important documents while I am off of internet. I uncerstand that I need to press on the cloud icon to download individual files, but do you know a shortcut to download EVERY FILE to my ipad for offline viewing?
Put all the important items into the same folder then download the entire folder at once instead of downloading individual files. You only have to download once, then it should LIVE on your iPad.
Another absolutely amazing video! Thank you for sharing your vast knowledge and experience with Apple's software and ecosystem. For the task in which you have to use two hands to drop an item from Files into, say, an open item in iMessage, I think iOS should support a two-finger long press gesture that would bring up a compact list of open apps. You would then two-finger drag the item from Files over the name of the open app in the list, which in turn would then open that app full screen and display its active or open item so you can drop the item from Files into it. To my mind, that would be a more user-friendly experience. Thank you kindly.
You're not wrong... but teaching people how to do it and implementing it is a nightmare. Apple had a great tool like that called the force-press... which was activated by a long press... but they neutered it along the way because most people weren't using it, and the app manufacturers couldn't all get on the same page in implementing it. The fact that there are two-handed gestures now is super powerful. One step at a time. Simple is in the eye of the beholder...
Absolutely, the best way to go from an old phone to a new phone (and to protect your existing data is to sync everything up with iCloud (even if that means you need to upgrade to a higher storage level level). I’ve seen people avoid iCloud to devastating results… Lost contacts, lost photos, lost information. We never know when somethings going to happen to our phone or devices so synchronizing it with something as easy and built-in as iCloud is a power tip. And yes, it’s the easiest and fastest way to upgrade your phone Whenever you purchase a new one.
It's always a little challenging to troubleshoot issues without visuals… But if you give me more information I can help. Are you currently in files while trying to send a document elsewhere? What kind of file is the document (JPEG, PDF, DOC, etc.…) and what app are you trying to send it to? Also, since you are seeing a keyboard I question what screen you're on. In general when you click on a specific document in files you should see the share icon in the lower left corner which you can click to send that document to another app. Hopefully that helps.

You can use iCloud.com from your browser to access many of your iPhone files (and especially antything you store in the Files App). With regard to music, unfortunately it's not made to import music from the phone, and needs to be done through the computer.

If you are open to positive oriented tips, your vocal presentation is great, EXCEPT with the frequency of the high voice/enthusiastic ‘Mom’ voice, which might be ok two or three times max, but not peppered throughout these presentations. We appreciate staying awake, but a little coffee at our end tastes just fine, and your otherwise pleasant, organized mid-tone/deeper tones strike the (mine, anyway) ear in the sweet spot. Thank for all, will likely subscribe, after hearing one or two more! (I am VERY interested in Settings concerning Brightness/Color Tone for nighttime viewing (as F.Lux is still not permitted on smaller iDevices, sadly). Absolutely. In fact in most cases it’s automatically leaving things in the cloud when you’re using it from the Files app unless you favorite it. There’s a lot of other ways to clear space on the phone that will be more effective than trying to remove a handful of files. I’ll be doing a video on that shortly, so keep your eyes open. I find that people let their phones get overly cluttered and overly full because they don’t really know how to use the cloud… And while files is a piece of that, there are way bigger pieces to use to save more space.
Question: on my laptop, should I have Optimize Mac Storage turned on? I’m not sure what it does exactly. My laptop hard drive is almost full so I don’t want to cause a space issue and I also don’t want files saved in iCloud only - if I’m unaware it’s happening.
The optimize setting basically means that Apple will choose for you what goes to the cloud and what stays on your device. It will automatically send files to the cloud when your storage on the hard drive is low… I have it turned off specifically because I like to manage my cloud and local storage manually. I can easily right click on any file or document to send it to the cloud or download it locally. If your hard drive is already full, you should leave it on, but you should also figure out what's filling up your hard drive. I have another video that can help you analyze what's taking up the space and eliminate large chunks of things. In most cases, with an hour or less I can reduce someone's hard drive storage by 100 GB or more just by eliminating things that they aren't using the first place. I was able to access my files from my iphone that were on my macbook previously. I have a different Apple ID now on my iphone than laptop, how can I still access my macbook files from my iphone?
Great question! If you’re using a different Apple ID on your iPhone than on your MacBook, it might be tricky to sync files between devices. One solution is to use a shared iCloud Drive folder or log into iCloud.com from your iPhone using your MacBook Apple ID. Another option is to use a third-party service like Google Drive or Dropbox to share and access files across both devices. The problem with synchronizing your desktop & documents with iCloud is you must be VERY careful what gets dropped onto your desktop. Once it is dropped there, iCloud will run amok trying to sync huge temporary files immediately. It will slow the computer and maybe you don't wan't 28Gig of video in the cloud when you have no intention of sharing it with other devices. Perhaps it is a bad habit using the desktop to stage things but it is undeniably visibly convenient. Many people stage things on their desktop where they can see them
I completely agree. Some people use their desktop for all their filing, and then iCloud can balloon out of control. The value of having your files on your mobile devices is unstable, but if you have clutter on your desktop or your documents folder you’re just going to replicate that clutter elsewhere. I teach people to use Better organization tools, and only put their recent files on the desktop, while using their documents folder or other non-cloud folders to store the majority of their files. For me 99% of my important files are on dropbox, and only the essential ones that I’m currently working on living my desktop. It takes some discipline and creating a good system… But having your files available wherever you are is worth the time in setting up those systems.
I'm only a year into iPhone, from Android. I want to keep my music collection and video collection on the iPhone and not in the cloud or Apple music. Is files where I want to be? Can I drag/drop from my PC into the files app?
If you have a PC it can be a little complicated. Files isn't the right solution, using the Apple Music app is better for your music collection. On Windows, you can use iTunes to Sync your Video and audio files directly to the phone. Files should really be used for documents.
Still no clue how to make a folder or move a file there. You definitely know your stuff, but this is a video for advanced users looking to become super advanced. Do you have anything for beginners?
on trying to add a note widget to my home screen a opaque block arrived at the top of the screen and covers the edit button and I cannot remove it any suggestions?
No worries, Nicholas! 😊 To find the scan option, open the Files app, tap the three dots in the top right corner, and select Scan Documents. I have noted to Apple support that not every time the file option turns up, but a lot of other places do, like One drive and Dropbox when you try to save files. They told me that they will follow up towards Apple. Now Even at least 6 months later nothing has been improved! Do you have any solution?
I don’t really experience that issue very often. What app are you using that isn’t showing the files option? In some cases you can edit the share menu to make sure the files option more regularly available. But some apps are just badly designed and don’t show all the desired actions. I have a similar issue with Reminders which I use almost obsessively. Sometimes it doesn’t show up the first time I click the share button, so I will wait a moment and then click it again and it usually appears. So maybe that can help with your files problem.
Hello. Thanks for your respons. I use the files app and when «sharing» a file to the «files app» dont show up in the list. I know you can adjust the list options in the bottom of the «files app», but still missing. I have to save the file either to Dropbox or one drive and later transfering the file to files.

Where you are saving the file from can change that list and might offer a suggestion as to either how to solve the issue or how to change what you are doing so it works better If you can give me more info, I can help better..

7:17 is there any way to do the opposite and free up space on your phone by taking the copy of a file off your phone while leaving it on the cloud?
Absolutely. In fact in most cases it’s automatically leaving things in the cloud when you’re using it from the Files app unless you favorite it.
There’s a lot of other ways to clear space on the phone that will be more effective than trying to remove a handful of files. I’ll be doing a video on that shortly, so keep your eyes open.
I find that people let their phones get overly cluttered and overly full because they don’t really know how to use the cloud… And while files is a piece of that, there are way bigger pieces to use to save more space.

Question: on my laptop, should I have Optimize Mac Storage turned on? I’m not sure what it does exactly. My laptop hard drive is almost full so I don’t want to cause a space issue and I also don’t want files saved in iCloud only - if I’m unaware it’s happening.
The optimize setting basically means that Apple will choose for you what goes to the cloud and what stays on your device. It will automatically send files to the cloud when your storage on the hard drive is low…
I have it turned off specifically because I like to manage my cloud and local storage manually. I can easily right click on any file or document to send it to the cloud or download it locally. If your hard drive is already full, you should leave it on, but you should also figure out what's filling up your hard drive.
I have another video that can help you analyze what's taking up the space and eliminate large chunks of things.
In most cases, with an hour or less I can reduce someone's hard drive storage by 100 GB or more just by eliminating things that they aren't using the first place. Check out this video for more information.

I was able to access my files from my iphone that were on my macbook previously. I have a different Apple ID now on my iphone than laptop, how can I still access my macbook files from my iphone?
Great question! If you’re using a different Apple ID on your iPhone than on your MacBook, it might be tricky to sync files between devices. One solution is to use a shared iCloud Drive folder or log into iCloud.com from your iPhone using your MacBook Apple ID. Another option is to use a third-party service like Google Drive or Dropbox to share and access files across both devices. The problem with synchronizing your desktop & documents with iCloud is you must be VERY careful what gets dropped onto your desktop. Once it is dropped there, iCloud will run amok trying to sync huge temporary files immediately. It will slow the computer and maybe you don't wan't 28Gig of video in the cloud when you have no intention of sharing it with other devices. Perhaps it is a bad habit using the desktop to stage things but it is undeniably visibly convenient. Many people stage things on their desktop where they can see them
I completely agree. Some people use their desktop for all their filing, and then iCloud can balloon out of control. The value of having your files on your mobile devices is unstable, but if you have clutter on your desktop or your documents folder you’re just going to replicate that clutter elsewhere.
I teach people to use Better organization tools, and only put their recent files on the desktop, while using their documents folder or other non-cloud folders to store the majority of their files. For me 99% of my important files are on dropbox, and only the essential ones that I’m currently working on living my desktop. It takes some discipline and creating a good system… But having your files available wherever you are is worth the time in setting up those systems.
I'm only a year into iPhone, from Android. I want to keep my music collection and video collection on the iPhone and not in the cloud or Apple music. Is files where I want to be? Can I drag/drop from my PC into the files app?
If you have a PC it can be a little complicated. Files isn't the right solution, using the Apple Music app is better for your music collection.
On Windows, you can use iTunes to Sync your Video and audio files directly to the phone.
Files should really be used for documents.
Still no clue how to make a folder or move a file there. You definitely know your stuff, but this is a video for advanced users looking to become super advanced. Do you have anything for beginners?

Sounds like a random glitch. I would restart and try again.

I have noted to Apple support that not every time the file option turns up, but a lot of other places do, like One drive and Dropbox when you try to save files. They told me that they will follow up towards Apple. Now Even at least 6 months later nothing has been improved! Do you have any solution?
I don’t really experience that issue very often. What app are you using that isn’t showing the files option? In some cases you can edit the share menu to make sure the files option more regularly available. But some apps are just badly designed and don’t show all the desired actions.
I have a similar issue with Reminders which I use almost obsessively. Sometimes it doesn’t show up the first time I click the share button, so I will wait a moment and then click it again and it usually appears. So maybe that can help with your files problem.
Hello. Thanks for your respons. I use the files app and when «sharing» a file to the «files app» dont show up in the list. I know you can adjust the list options in the bottom of the «files app», but still missing. I have to save the file either to Dropbox or one drive and later transfering the file to files.
@@skirolf Where are you saving the file from? Safari? Chrome? Facebook? The Files App itself? A different app?
Where you are saving the file from can change that list and might offer a suggestion as to either how to solve the issue or how to change what you are doing so it works better

I have my iPad for almost a year now, and I still cant figure out how to use the files app and photos app on iPad. It is just too confusing.
