I'm at the 4:30 mark and loving this video! The humor, storytelling, editing, and the information you're delivering are just fantastic. When you got to the 32-step prioritization process on needs analysis, I literally LMAO and had to comment. At the beginning of 2023, I made a video on my 30-step formula for launching and optimizing a UA-cam video using GPTs. While it’s a decent workflow, I now realize it was way too big, and I could’ve been more focused on each individual phase of the system. Right now, I’m working on a video planning workflow for my livestream channel, and it’s already at 19 steps across four phases. I was planning to do a video on the whole system, but now I think I’ll break it down into individual SOPs by phase. Something like: “When SOPs Meet GPTs: Planning Your Livestream” or “When SOPs Meet GPTs: Creating Media Assets for Your Next Livestream.”

But raising a baby to maturity requires stuff like mentorship, investment, and trust. Same thing in leadership: you're not just delegating tasks but also developing people. Great systems indeed grow from a combination of structure and freedom.
Currently at 7:51, am a business student, my girlfriend is a small business owner, and I want to be selfemployed as well. Love the video already since I learned all about the processes (on a surface level) and it was always to complicated. I wanted to often use these theoretical approaches for my personal life cause "what you learn here will not only help you in business, but it will help you in life!". Yeah, everything has their time and place, but it just doesn't make sense for a one, two person operations.

The traditional approach works in manufacturing and other complex systems where the steps must be followed exactly as written, and where the person following the steps may be a fresh hire. Most Business Schools and MBA programs (including mine) are heavily biased towards manufacturing because that’s where most of the research has been done. But most US companies are SERVICES and need a different approach. So thank you for calling that out! For nearly every service company, if a process is that detailed and can’t be deviated from, it should be automated. If I have people in the loops, I want them using their critical thinking skills, so I keep my processes more like guardrails … keep them on the road and driving as fast as they can. Then my job as a manager is to remove speed bumps and fill in potholes. So most of my process development is taking process out of the process if it’s not adding value or is better off being enforced by the system. Process improvements then come out of their day to day use of the process / tasks … in fact, I build that recursive loop into every process so it essentially becomes ‘self-improving,’ either by system enhancements or process change meetings.
TASK, please! Especially recommendation for a better way to prioritize tasks than the Eisenhower matrix would be extremely useful. And also - how to organise tasks from various areas when you are truly single business owner and you do everything by yourself (accounting, marketing, shipment, cleaning the office and - if you have some time left - taking care of what your company actually offering). The trophy example is describing the many steps of a process just like traditional consulting. Then you targeted one action step to fix in the overall system. This is traditional consulting with a 21st century spin.
For things like small water utilities, for instance, the needy area concept can work, but it might be better to think in terms of criticality of processes, just like we think about critical physical assets in an asset management plan. That might give a better way to prioritize systemitization of processes.
MBA is totally misunderstood. It is not specialising in nitty gritty, but higher level management. Also, not all MBAs are created equal. Especially those "executive" ones seem to be quite lacking and can hardly be called Master level or even less a diploma level. The organisation always knows best what to do how. It also know what is wring and even how the problems ciuld be remedied AND whise responsibility it is It only needs somebody skilled enough to ask correctly, and methodically work with them to find out and model it all. Simplify and automate all you can. People will follow if you involve them and make it all make sense to them .

You got it, Raiden. Short answer is: Process mapping IS valuable, but in moderation. Long answer: A popular school of thought is that the first step of building any process is to create hyper-detailed process maps (or system diagrams or value stream maps or service blueprints) for every component of your business. This takes many hours to do properly. I believe this is overkill and needlessly time consuming. Instead, map just the level of detail needed to add value or, for some types of processes, skip the map. At the end of the day, everything we do should add value or not be done (yet).

Hahaha, here we go. Now we start talking about drawing diagrams, flow charts and process models AND writing stuff on a readable format and SOP videos. Yes, EVEN the PowerPoints that she mocks. It is all regular cobsultantvwork but with kid gloves as it needs tobbe downscaled for SMEs. I regularly do this same in corporations as well. It is a good way to get first line supervisors and employees involved. That way it is also easy to verify any discrepancies between the business goals and what really happens within the current business processes. It all is necessary to train people as well

I've used it to score and prioritize development projects based on how much business value they'll deliver, for example. So, I disagree with you on their utility. Now, once you've created a system with SOPs the real question becomes how do you build them into technology systems so that they're formulaic and generate consistent quality? Effectively, how do you TEMPLATE them throughout all of your business operations' practices? To do this, you need a technology-based solution to implement your systems, right? So what software does this with the greatest efficiency and effectiveness for small businesses? I feel like this area needs further exploration.
BMC is a good tool for continual improvement. It can be done also on business process level to drill down into the areas for improvement. This is where various troubleshooting methods can be very accurate and valuable as you already detailed your business to nuts and bolts. If a business have more than ONE person and aspires to grow, it is imperative to keep doing this frequently and document changes. Honestly, nothing should be one-off tool in healthy business.
What I don't understand is how this fixes any problems. How does making these lists and SOPs fix anything? Sure, if ordering materials now only takes me 30 minutes instead of 35, that's great. But just having a list of the tasks I need to do doesn't make those tasks take any less time. What am I missing here?

Here’s why it helps beyond those 5 minutes saved: - You are less likely to have mistakes, miss deadlines, and need to redo work because you have a checklist of every step (not just task) you need to do. - You are less likely to be overwhelmed because you cannot see what’s coming up, which improves quality of life. - Once you know what needs to be done and at what frequency, you have most of the ingredients you need in order to delegate. Those are the biggies!
Hi, just a thought. These steps are important for a variety or reasons. Most importantly, they are important for any new employee to understand their role, or any role, in the business. Understanding processes can also help when problems crop up and you need to troubleshoot. I am speaking from the position of being a 1 person business. I can see where I may be spending too much time on an admin task and hurting my productivity. Then I can look for solutions so I can focus on what I need to do that no one else can. Dont know if this helps but this is my experience.
Your value goes beyond your career and your bank account. Maybe you don't see any immediate and tangible results but you are pushing humanity to the next heights. What you do matters, keep going.

@@LaylaPomper This sounds like a good topic for a future video: from the perspective of the team members (not the business owner/manager) who have ideas that fall on deaf ears?! Maybe tap into advice about leading where you are, and working through suggestions with resilience (meaning you take it back to be tweaked after initial rejection), and figuring out who your galvanizers are (see Six Working Geniuses).
My take away from your video is that you believe if you take the time to look at the big picture, you will never make any improvements. So instead start "fixing something" even if later you find out that thing you fixed wasn't even required once you considered your business as a whole.
So you use 13mins video to explain simple workflow? Draw your workflow...and assign tasks for variable activities. Well, thank you for reminding me of business model canva. ...and design thinking.

@@LaylaPomper This sounds like a good topic for a future video: from the perspective of the team members (not the business owner/manager) who have ideas that fall on deaf ears?! Maybe tap into advice about leading where you are, and working through suggestions with resilience (meaning you take it back to be tweaked after initial rejection), and figuring out who your galvanizers are (see Six Working Geniuses).

My take away from your video is that you believe if you take the time to look at the big picture, you will never make any improvements. So instead start "fixing something" even if later you find out that thing you fixed wasn't even required once you considered your business as a whole.
