I also want to say that it is difficult for staff to change to new systems and that it can affect morale and stress levels of the staff when the systems are needing to change and grow and adapt. I would like to see a video on how to help staff transition with minimal stress. Right now we are onboarding new staff members, adding new services, switching EHR software...which is a lot for us to deal with all at once but sometimes I found it takes hiring new people to motivate us to refine our systems and to pay attention to how we do the system. I wanted to suggest one way to see if your system makes sense is to do mock training for staff members or team members that are new or volunteers so that they aren't bias towards old systems.

I’m working on documenting EVERYTHING and teaching my saint of a fiancé to see where there is breakdown. The hardest thing for me is HIRING while bootstrapping it bc as far as I know there’s no business loans for me

Inefficient systems frustrate me. I wanted to say a couple of things I have learned about creating systems that is often difficult to keep up with. 1. Updating the handbook or tutorials is a huge job when you are continuing to update the systems. We struggle with this. 2. As the company grows often times some of the company needs a certain software system that another company does not and vs versa which creates a lot of ongoing changing and switching of systems. You do need to think somewhat ahead to figure out the roles within the organization and then work backwards which we have not done so we ended up having to change our POS 3 times because we have departments that need specific features. I think this video could be more specific because each industry will need different kinds of systems and protocols. Maybe you could have given some examples.

Due to the nature of UA-cam as a platform and the number of industries who watch these videos, the idea here was to give a step by step for the process of building systems and even within the same industries businesses will have different systems so going into specifics would make this video less accessible to the majority of people. Also, on our Firestarter Programme (one of the ways where we as a business make our money 😉) we have an entire systems and processes course and that’s where we go very granular and give tons of examples. But I’ll try to do a video where I go through an example. Any particular examples you’d like to see?
Great question… and it’s something a lot of people end up falling in the trap of and restricting innovation and just common sense thinking in cases where situations change or you need personalisations, etc. As a very quick response, whilst mapping out your systems, try to identify where certain situations may end up being dynamic or where creative input may be needed and embed this as part of the system with clear guidance on what the intended result should be, and what standards / Metrics etc need to be met to make sure that you’re not sacrificing effectiveness or efficiency.
