  • What is the cloud? How does it work? I'll explain it in easy terms and how you'll actually use it. Most people use the cloud for storage. Microsoft OneDrive is my favorite cloud storage, because it can link to your File Explorer on your Windows 10 PC. I use a CLOUD acronym to explain what the cloud is. The cloud is great because it can be accessed from Smartphone, Laptop, Tablet, or Desktop. Signing up for OneDrive is easy, check out my video on it. Make sure you make a good password, enter your personal information, and you'll be set for a OneDrive account. Google Drive has 15GB of Storage. OneDrive offer 5GB of storage for free. Dropbox has 2GB of free storage. You can get more storage by referring others to dropbox and OneDrive. iCloud is great for all of the Apple iPhone users. The cloud is offsite, which has its advantages and disadvantages. Check them out in this video!

    I've been putting off learning about the cloud for some time. I think I always understood the benefits of it, but just didn't know how to use it. I now need to learn more about different things like one sync and how they work in unison.

    Thanks, I wanted a not too technical explanation of how 'the cloud' works and how to use it. You explained it well and I now have a better understanding of it. There seems to be more pluses than minuses with regards to using the cloud. Can I ask does it work if you are connecting to the web whilst using a VPN and if so does this make it more secure ? Thanks.

    Great job and thank you Mr. Morgan! Would you possibly consider offering an additional topic discussing syncing? I think many people are confused about the benefits/drawbacks of why one would have a file in the cloud and a copy of it on his/her hard drive.

      Regarding benefits and drawbacks to cloud services, here are some things to consider:
      Benefits -
      Won't take up hard drive space
      You can access them from any device, including mobile devices
      If your computer is lost/broken, you still have your files
      You can sync them across each device so that you're not constantly using a flash drive or emailing files to yourself
      Mos of the time, the service is free (up to a certain amount of storage)
      Drawbacks-
      You have to rely on the security and privacy of the company providing the cloud service, if the company is hacked, your files may not be safe
      You cannot access the files without Internet, if the company website is down, you'll have connection issues
      If your password is hacked or stolen, your files can be compromised
      Only a small amount of storage space is free, if you have high content/media files, you'll run out of space

    I have a friend who is touching up my feature script using FADE IN to re- format my script correctly. I would like to be working on the dialogue while he is chugging along on the other stuff. Can him and I work on the same script from the cloud? and how would I connect FADE IN screenwriting software to this cloud?! ....I not only want storage, but to be able to edit and have it save to this cloud.     If I upload pictures off my phone to the cloud can I then delete them from my phone to improve storage availability and be sure there is a copy stopped on the cloud?

      Hi Britt,
      I would use an external hard drive if space is limited on your computer's default hard drive. The cloud is great for many things, but video files are very large and it would quickly fill up the space on your cloud drive. I hope this helps.

    Good info. Now, I'd like to know where to save personal information. Wills, Legal documents, insurance paperwork, etc. Is one cloud service safer than another?

      Hi 555dahlia,
      I'd recommend an external hard drive for those things. You don't necessarily want those documents to be on the cloud in case it's hacked. Buy an external hard drive, plug it in, copy the files to the drive, then unplug it and keep it in a safe place.

      You would need to share that file first. How you do this depends on whatever cloud service you are using. Most will have a share option where you can enter the recipient''s email address and it will send them the link. You can set permissions. Again, exact options vary depending on the service.

      Yes, as long as you're logged in to the cloud account on both devices and they're connected to the internet.

    Thank you, Adam! I have a BIG PROBLEM that I can't solve: I want to organize my (cloud backed up) folders on my desktop so that I can use them as I use to normally create and store them before I copied/uploaded to a cloud service. Example: I want to create a document, and then store that document in my DOCUMENTS folder - and also have that document back up into the cloud when I save it. Currently, All I know how to do - is to manually add my documents to a duplicate documents folder stored in my cloud folder located locally on my desktop. That is how I get it to the cloud - so I don't/can't go to my documents folder anymore - I have to create the doc - have it go to a local doc folder - then manually carry that doc to the cloud doc folder in order to have it upload to the cloud. Get this?
    QUESTION: Is there a way I can have a documents folder connected to the cloud IN MY LOCAL DOCUMENTS FOLDER? That way - when I save a new document to that documents folder - it will automatically save to the cloud!!! Is this possible?? Please respond - sorry if this is a bit confusing!

      Hi Robert,
      I use OneDrive to manage all of my cloud files. I basically save my files to OneDrive, which is very convenient because I can do this directly within File Explorer on Windows 10. Unfortunately, I cannot save a file to OneDrive, and also to my hard drive. If I update the OneDrive (cloud) version of the file, the File Explorer (hard drive) file will not be updated. What I do, is decide which one is more important to me. For me, I use many different computers, so OneDrive (the cloud) option is better for me. Then, when I want to back everything up, I duplicate my OneDrive files to my hard drive. I have some videos on how to sync OneDrive to File Explorer, so check them out. I hope this answer helps you out.

      @@ProfessorAdamMorgan Thank you so VERY MUCH for all that time and energy you spent on answering my question. I'll be expecting your bill in the mail (smile). This all started when I completely lost all the organization of all my types of files. And, when saving a document, I couldn't even create another default location to save them - so every save was at least one extra step to chose the location. ANYWAY - I cleaned up my Windows 10 (reinstall) and I'm slowly building up my local drive. I have decided to create shortcuts on my desktop to link me to my files in the cloud. That is the easiest way to have access - example: I click on my shortcut to "Documents" in the cloud to retrieve a file - and to create one, I have to manually place it in a file also connected to the cloud. I SUPPOSE IT WOULD BE EASIER to be able to create and save the document in the same place (such as using Google Docs and having it save to Google Drive). However, I have 12,000 documents created and opening in Microsoft word - and I want to keep it that way, for now.

      Haha I'm glad this helped you. With 12k documents, I can see why this would be a problem for you. Keep in mind if these files are large, most cloud services max out at about 15GB of storage space, so you may have to pay for a service if they exceed the provider's limit.     Great video. But sadly, it seems that most cloud services require that whatever data you upload also gets saved on the PC.
    I buy 1TB of cloud storage
    I upload 500GB from an external hard drive
    I'm told I can't continue to upload anymore because my C:/ drive is full up
    I locate and delete the data from my C:/ drive freeing up the space
    The data is also deleted from the cloud service
    I check my cloud service settings, to see if there's a way of keeping it on the cloud only
    There isn't.
    I google the issue, only to discover that many people have this complaint and it's perfectly normal for cloud data to be forcibly backed up on the PC
    Beware of OneDrive, iCloud and DropBox. Google Drive has started allowing this, but they don't have a PC drag-and-drop facility.

      I haven't experienced this, but I also don't have 500GB worth of files on the cloud. With such large file sizes, you'd certainly have to pay the premium service for most cloud providers. I haven't had a problem with deleting original data from the C drive, but this is good information to know. Thank you for watching!

    What is even more secure is to save my data to external hard drive’s that way if my computer crashes I don’t lose any data because they’re on my external hard drive which is not part of my computer. And hackers can’t get access to it and less I can get access to my computer so no hacking and my data doesn’t go offsite.

      But of course, that hard drive can fail, be lost, or destroyed. Also, it doesn't have the convenience factor of being able to access it from anywhere on any device, unless you carry it with you all the time, which kind of defeats the purpose.

      The external hard drive is a great way to store your data in case your computer crashes. Jay B is right that it can be lost, damaged and destroyed. I recommend keeping the external drive in a safe, locked spot. You always run the risk of hackers if you use the cloud, so I recommend not adding sensitive material to your cloud drives. Jay B, cloud access is fantastic because of the ability to access it from anywhere. External Drives are not great for that, unless you carry a USB stick with you everywhere.

      Funny I’ve used one for twenty years with no problems. My current 1tb fits in the pocket of my suit. No hackers can get in. My ext is more secure than the Cloud and I don’t have to pay continual fees to use.

    I use the cloud for personal reasons. Nothing too much of importance on my phone except that I would like to be able to upgrade to new phones seemlessly and keep my pictures. I just realized that I feel like I'm going to be paying $2 a month for life unless I figure this out.
    How should I
    go about deleting
    files from the cloud and my phone at the same time for things that I realize I don't need backed up? I use galaxy phones if that helps.

      If you're using Google Photos, you can delete photos you don't want from the app. Then, if that photo is also stored on your phone, it will ask you if you want to delete it from the device as well.

    Save all files to external hard drive...I just purchase a Lenovo desktop.... how do I suddenly not have Enough Disk space? Somehow All pay pics from hard drives went suddenly to one drive, now full, in a flick of an eye, without my doing anything. It took these from my previous laptop. What happened? How do I free up disk space in my new Lenovo..free up one drive . Confused. Thank you

      Hi Dannus,
      It's possible that your new Lenovo desktopdoesn't have as much hard drive space as your last computer. You can check to see how much space is being taken up by all of the files on the external hard drive, then see if your new desktop has the space to hold all of the incoming files. As far as OneDrive goes, you probably had files saved to OneDrive and when you signed in to OneDrive on your new Lenovo desktop, they will now appear.
      As for freeing up space, you'll need to check to see how much space you have available, how much space you need, and finally which files you want to transfer to the new desktop.

    How actually the data gets stored in cloud in terms of storage ..... like 100 or 1000 machines storing the same/different set of data so ... can you elaborate a bit on this ???

      Hi Chandan,
      Once you add a file to the cloud, it's synced to the provider's secure online service. The provider keeps the files encrypted in storage services. They're typically located on machines in the United States or cold climate areas to keep cool.

      Hi Dibakar,
      You should probably store the videos on an external hard drive or your computer's hard drive, if not both. I wouldn't use the cloud for this due to the fact that the file sizes will be very large since they're video files. Also, you don't want to have your content posted on the cloud in case the cloud provider is hacked. I hope this helps you out.

      You would need to copy and paste it to your phones SD card if it has one. You'll need to find what your phone's internal storage is called on your device. I wouldn't be able to help you without seeing your phone on this one, sorry!

      Depends on the program, but you should just need to click the picture to select it, then click Download. That way you can download it to your computer's hard drive.

      Yes, basically every cloud storage service has this ability. They each run a little different. Look for a button that says "Share" and when you find that, you can usually type in an email address for the person that you'd like to share the file with.

    I was paying $.99 a month for Apple storage. But then I upgraded my 16 GB phone to a 256 GB. I decided to cancel the Apple storage. I logged onto the cloud to find my old photos and now i can’t find my photos. Where are they? Do I need to go back on Apple storage monthly fee? I thought they were being stored in the cloud.

      I am not entirely sure on this one. My guess is that all of your photos are still stored on iCloud. If you do need to pay to see those photos, then you should pay for the access, then move them off of iCloud and cancel the subscription. I hope this helps you.

      You could use Google Drive to store the trust on the cloud so all parties can view it. You would need to share the file with the others in the trust. That might be a good option for you.

      That should mean that the students will have unlimited logging in. I am not 100% sure on that, but that's what I would think it means. Basically, it should allow students to use the software as long as you've purchased it from the company.

    MS and Dropbox took all my data. I'm not sure why you folks think losing your data to some Trillion-dollar corporation is so great, but it is what it is. I still have copies of the last two years (on my hard drive), so it's not as bad as it could be. Still, I have to wonder why there is no demand for file retrieval.
