  • When choosing the right Notary journal, there are specific features to look for and some legal requirements that your journal must satisfy. For more information about Notary record-keeping, visit the National Bulletin: bit.ly/Complet...
Most states require or strongly recommend that Notaries keep a journal to record the acts they perform. Before buying any journal, check to see if your state has specific rules you need to follow. Your state may refer to a journal as a record book, log, logbook, or register.
For Notaries authorized to perform remote online notarizations, many states require an electronic journal. Be sure to check with your RON provider to find out which electronic journal works best with their platform.
If you need a traditional paper-based journal, make sure it can maintain its integrity over time because some states require you to keep your completed Notary journals for ten years. Look for one with securely bound pages that are tamper-evident. Sewn pages won’t fall out accidentally, and the binding makes it easy to see if a page is torn out or missing.
State requirements for Notary journals differ. Several states require journals to have numbered pages. And many other states require each row to be pre-printed with chronological numbers. Some states call for specific information to be printed on the inside cover. Hawaii has a particular size requirement, so you’ll want to know the journal’s measurements.
Your journal will have a lot of private information in it. To protect that data, make sure each signer only sees their own information. While you can accomplish this with a DIY solution, using a Notary Privacy Guard® to protect your clients’ personal information during notarizations is a good option.

Can I use an electronic journal in California?

Yes, you can. The law requires you to keep one journal at a time, so if you switch to an e-journal, that will become your primary journal going forward. So plan ahead!

Can I use an electronic journal in Pa even if I'm not doing RON or e-notorization?

Hello. PA requires Notaries to have a physical journal for notarizations. When you're deciding which journal to buy, look for security features like tamper-proof sewn binding. Electronic journals are for RON.
