Notion Formulas 2.0: Automating Task Priorities with Lets(), Ifs(), and toNumber()
I’ll be walking through a step by step process on how we can use 3 different Notion properties to create a priority output through a single Notion formula property.
We‘ll be primarily relying on the lets formula function to account for the different circumstances that might arise from these three properties. I use p0 as our number one priority status and work all the way up to p5 which will be the 6th priority based on some set conditions.
Everyone’s priorities work differently so feel free to customize your formula outputs to best fit your context and your priorities. This will be one of my more advanced videos, but the hope is that you’ll be able to learn how you can shape your current properties to sort out your priorities and automate the way you want to visualize it in Notion.

      Yup, you could use a button to log a sale since Notion buttons are highly versatile. You'd need to customize the database to meet your needs exactly.

    The formula really does work and this video has definitely been helpful but i think where this formula will really shine is when you say have a weekly report database linked to a tasks database. Here what I'd want to happen is whenever i check a task as done it records the completed date and uses that to add it to the corresponding weekly report. So it automatically populated my weekly report with a list of tasks completed that week. I think I'm going to need an automation function to do that since i cant use the date range (from the weekly report database) in a formula for a property (this formula prop will be something like assign this task to this weekly report) in the tasks database. If you know anyway i can do this with only using formulas it would be great.

      You could use a formula property to filter out completed records specific to a current week and capture a snapshot of it somehow via a PDF or some other method.     Do you know if there's anyway to show the most recent "meeting status" in the client database? Ie if there were 3 meetings for client A and the most recent status was "Okay" i want to show that as a property in the client database.

      Nope, you can't edit other properties or entries in other databases with Notion formulas.

    Hello! Thank you for the time you take to help everyone by creating your videos! I wanted to ask you if you know any way possible way to bring a property date (with a date and time range [start-time and also end-time]) from one database into another with a usable date property that you can add to a calendar view? I have been reading a looooooot of forums, watching videos, chatGPT, etc trying to create a Master Calendar in Notion, by bringing multiple databases date (with time start and end) properties but there is no way that I can get this right! There is a fromTimestamp formula that brings me closer, but the problem is that it does not convert the end time (only the start date and time)!!! Please!!! 🙏🏼

      Hello! You can use the dateEnd() formula function to extract just the end time and then use the fromTimestamp() formula function to convert any dates that have been converted using the timestamp() formula function. I don't think there is a way to recreate a date range using formula functions though. The closest thing you can do is to use Notion calendar directly and then to link all your databases that way so that you have a "Master Calendar" for all your different databases.

    Hi there! Could you help me with a formula to sum the cost of sub-subtasks? I was able to come up with this so far: prop("Sub-item").map(current.prop("Sub-item").map(current.prop("Cost"))) - it will show the cost of the sub-subtasks (grandchildren) separated by a comma, but I cannot figure out how to sum it instead.     This has been very helpful, thank you! If I wanted it to show the amount of tasks instead of listing all the tasks within a date range, how would I do that? E.g. for it to say 3 instead of Task1, Task2, Task4.

      Great question! You could add the ".length()" formula function at the end of the map formula to count the number of tasks that fit within that date range.

      Hey there! Yes, you can use a filter within a database view to specify current, last, and next week/month with a date property. You could also specify custom dates through that filter but you'd have to manually update it periodically. Might be valuable to take advantage of advanced filters as well.     I think I figured out why it was showing tomorrow’s date as today as well. When I did the formula, I tried dateBetween(Date,today(), “days”) instead of using the now() function

    Is possible to hide or filtrer the weekends for the timeline? Is difficult estimate task that take more than 1 week if You can't hide the days that you don't work

      Unfortunately you can't filter out weekends (that I'm aware). You can remove weekends in the Calendar view through the database view settings.

      You could try and use a Notion AI Database property with custom autofill within a database to see if you could through various prompts. Though not sure if that's possible. Don't think you could through formulas.

      You could check the page analytics to see how many non-unique page views it has to more accurately track open count for a note.

    Thanks so much for your detailed and useful videos. Besides, I want to replace a word by symbol in one sentence. Ex: Property: 1. Word: hambuber 2. Sentence. "I want to eat a hambuger" 3. Sentence for checking=> "I want to eat a h-------" >>> I want to find the formular to make 3rd property. Can you help me?

      Not exactly sure what you mean here. You'd need two formula properties since you can't change another property through a formula.

    The whole purpose and great value of the Formulas v2.0 update is to keep our databases as clean as possible, and instead of polluting them with numerous, intermediate formula properties in order to calculate something complex, incorporate all the logic/processing inside a single formula property. That’s why they provided us with countless functions to traverse the data in any way we want. Your method works fine. But your solution in 90% based on the old way of thinking, and just 10% taking advantage of the new 2.0 features. Essentially you are using just the map() & lets() functions in a very minimalistic way. You could achieve the same results (and much more) using just a single formula property in the Projects db. Through the already established relationship to the Tasks db, formulas 2.0 give you all the tools (functions) you need to traverse the data up & down, perform calculations on them, and present them in any way you see fit (for example converting minutes to hours/minutes, etc). Nice tutorial (it gets the job done) but a little bit misleading for someone who wants to actually learn the true power of formulas 2.0.

      Thanks for sharing your opinion! If you watch my other videos I demonstrate a variety of ways to use a singular formula property to manipulate many properties at once. "Misleading" is a strong word, and if you knew why I started this channel, which is to accessibly learn Notion Formulas, you'd understand what and why I'm sharing it the way that I am.

      @@NotionWorkflow I’m sorry if I offended you in any way. English is not my primary language and thus I may use words with greater impact than I intended to. You are absolutely right that I rushed to get to conclusions before watching more videos on your channel. I didn’t know the “build-up” process of your learning material. I just stumbled upon this single video while studying formulas 2.0 and immediately noticed the “old patterns” with a “2.0” title. I should have watched more of your content before expressing publicly my opinion and rush to judging. So, please accept my apologies. Despite that, congratulations on the way you responded to a somewhat negative comment. Learning material is plenty and all over, but actually intelligent people worth to intellect with are a dying breed. You have my respect and sub! Keep it up 👍
