Are these tips given assuming the meeting is being recorded? We are not permitted to record ours, they move really fast, and people seated out of my line of sight make motions and second motions, so I don't know who is speaking. How should I handle that circumstance? I will take any tips for anyone. Thanks!
I would interrupt and ask or signal the chair. Work out a system with the chair ahead of time on how to handle it.

Good day! In board meetings, if the board of directors/trustees etc. come to an agreement, a board resolution is issued. Not all the time all the board of directors will agree on the board resolution voted upon by the majority. Are the dissenting board of directors required to still sign the board resolution, sign it with the note (dissented/did not agree/did not vote in favor etc.) or not sign the board resolution at all?

The ignorant out here amongst us immediately notice we're lacking an answer to the question of amendments to other attributes after an amendment concerning one attribute has been proposed. Let's assume a motion to buy 1 DVD is proposed (<tabled(?))>, and the amendment is made to 3 DVDs. Now, someone wants to change the DVDs from studio versions to live versions. We cannot amend the "3 DVD Amendment" with something other than the quantity (if I've understood correctly). Must we therefore amend the *original* motion with the format which means we revert back to one DVD, effectively discarding the first amendment? Or must we accept or discard the first amendment for quantity before considering the second amendment for format, meaning either the 3 DVDs were rejected and we're back to the start or the 3 DVDs were accepted so now it's either 3 studio or 3 live DVDs? If we can only afford live versions at 2 DVDs or less, then can't someone remove the option for live DVDs by being the first to propose and to then propose more than 2?

Yeah. People with focus problems already have it hard taking in spoken instructions with any background noise. But when it's THAT loud - it cuts my understanding & retainment of info down by at least half. An honestly, it's just not needed, other than a little intro & outro fade for "interest".
Can the presiding officer/chairman call a point of order? What if the members of the organization in the meeting has already been discussing matters which are contrary to its By Laws, or unlawful in itself? What shall the chairman/presiding officer do since there is a possibility that he/she will be outvoted by the members discussing/debating on the matter?
The chair can state that something is out of order but the chair will never call a point of order. Point of order is used by the members of the meeting to call attention to a potential issue in procedure. When board members are using Point of Order as a weapon that is an indicator that you have some dysfunction on the board. You might need to consider doing some board training. Thanks for the videos, I'm the president of a local for a union. I help look after over 200+ employees. There's always someone trying to highjack meetings. Right now we do speed voting for new GMM members. Previous meeting chairmen sucked for 10 years, hurting participation and not meeting quorum. I got 9 years to retirement and want to properly support the younger LEC members.

Nice synopsis, Susan. Recording secretaries hold a unique position in that they can "interrupt" a meeting to gain clarity about what is being discussed. I recommend they discuss how this will happen with the chairperson to avoid embarrassing them when it happens (and it will!).
True that!! This is such an important point. The Recording secretary is part of the TEAM and the chair and secreatary should most certainly have an understanding of how they are going to work together during the meeting. Great point. Communication is key!!! Happy Meetings.

Hi Susan. I recently started a position that requires minutes and minutes in Robert's Rule format. You mentioned in one of your videos that you do in person training. what's the proper approach regarding recording people's names?
Remember that you are not a court stenographer as the recording secretary. You must ensure that the complete motion that was passed is included in the minutes. You do not need to list people's names and what they say.
I always thought union minutes are official records and are supposed to be grammatically correct. The newer generation coming into our union doesn't seem to think it's a big deal to have misspelled words, incorrect punctuation, random words being capitalized that shouldn't be, etc. I am an English freak and this drives me CRAZY! When I review the minutes from our previous meeting and bring this up, the younger members look at me like I have two heads. What are your thoughts on this?
Proper grammar and spelling is becoming a lost art with the newer generation. It's quite sad.
I agree. Proper grammar is a good thing. Just remember that grammatical errors can be fixed at any time. They do not need to be voted on. So, call the secretaries' attention to them and move on. This is great! I'm taking over as Secretary since my boss resigned and she always did the minutes, even if she was away! (She would use my notes and watch the video) I never felt confident enough to really speak up at meetings but they can move SO quickly it can be hard. Once i had the guy who MADE a motion ask me to clarify what his motion was! I had only made a note to go back to the video there. Quite embarrassing on a meeting that's livestreamed to my Township. Now that I don't have backup I'm going to be more assertive.
