    I use FileMaker since a long time. I started with a pre-made solution I received with the program. It worked well but I had no feeling with that program and made mistakes. Guy is explaining this now step by step and finally I understand the program, how to use it and how to adapt it to my whishes. Thank you Guy!

    Going back over your Filemaker wisdom, as I often do, I encountered two problems with my own DBs:
    1) Conditional formatting
    I would like to have a calculated value for assets show green, when the value is positive, red when it is negative. That works well. The problem arises when I want to add a third condition. The situation arises when there is no value, due to the fact that the asset is not yet sold. So, as a third condition, I add: if the sale price field is empty give me grey. It gives me red again. Self < 0 doesn't seem to work, either. I try the formula: If (sale_price < purchase price.. but the If formula wants something in the If-formula result. I tried "" but Filemaker remains unhappy.
    2) Get (CurrentDate) in another FM file.
    You neatly solved my problem as to why Get(CurrentDate) didn't want to put that figure in every time I went to the records in that file (unclicking something in the storage function), except that I still have to click in the "Current Date" box before it will snap to that figure. Is there something else I can do to have the Current Date automatically in the appropriate box, every time I enter the table (or is there a trigger for that?)

      For your conditional formatting you could use Self>0 and make that green.

      Ciao, I started to reply but then lost the page - anyway, your recommendations simplify things for me. The only problem remaining is that there can be data in the assets page, simply because the calculation is not complete. Purchase price is always there, but sale price, no. I'll try putting the IsEmpty formula in the Assets box, and leave the configuration as you suggested.
      I've storage on "no indexing" but had absent-mindedly checked the date "on change" (su modifica in Italian). Probably it will start to work with a new record. Many thanks! Filya

      Hi Sagar,
      That is simply a spreadsheet I made in another program to illustrate the fact that you need two tables. This has nothing to do with Filemaker and was just done to show how you can't make a list of notes inside the contacts table. You need another table for that.

      @@sagarsonawane4086 How to add which table? The time in the video that you mentioned shows me opening a computer program called "Numbers" which is like Excel. This is not a table inside Filemaker.
      This is simply an illustration and an explanation of WHY you need another table to store our notes.
      After that I add a few fields to the layout of the contacts table.

      At 1:10:49 I open a spreadsheet from another program to show you a list of contacts but then I go to the Contacts layout in Table view.
      I always like to have each table once in table view and once in from view.
      Then I add to the table view the newly created fields that were added to the table but weren't on the table view layout yet.
      At 1:13:18 I am again dragging in another window from my other spreadsheet program (I use "Numbers" on my Mac.) it was an attempt to explain how you need two different tables to store both the contacts and their notes.
      You cannot have a table of contacts and then store their notes in the same table. You need a separate notes table to store those notes. And then you need to relate them to the contact.

    I am new to Filemaker pro. I watched your video... and was able to create exactly what I needed. Great Job! Thank you. I do have a follow up question.... I have Filemaker Pro Advanced... Now that I have my solution... I would like to "publish" it so that I can access it from different computers that I may be on. I don't need to change the layouts on those devices... just enter data... I do want the data entered on one device to change the data on all other devices... do you have a video on this or is there a place to go get help on this? I am working for a tiny school district and can't afford to buy additional licenses or subscribe to expensive cloud services. Thank you for your time.

    Hi Guy, this Bob from the UK on Filemaker Pro advanced 11. Have a problem printing stock label details where some stock items require more of the same labels than others. I have set up a print page for the labels but I cant seem to find a way of printing several of the same stock details along side other stock details of lesser item in stock. What I need is to be able to print the labels that correspond to the stock quantity of each item along side items of less stock.I have considered duplicating the stock items by the amount in stock but that throws my stock and ID numbers out of sequence. Is there a solution. If anyone knows you do. Great videos by the way, I have seen most all of your videos which have helped me greatly. Regards Bob Cole

    Dear Guy, no doubt your tuto is by far the best tuto I've seen on the net regarding creating a DB on filemaker. I'm totally beginner and very bad for IT stuffs. Altough with your tuto I managed to build up my database. Thank you very very much.

    Hi Guy, really enjoyed this video. It was very entertaining, loved every minute of it. I followed along and built everything. Had a few moments where things didn't work as expected, but was able to go back through scripts and field management too correct. It was great because I learnt so much about the software by following along and gradually getting more complex, but always explained in a very simple a natural way.     Great videos Guy. Have you got anything about setting up something for a school athletics day. I need to plan out the students names, levels, house groups and then the events they are entered into and then of course recording their places in the events and award points. I just don't know how/where to start. Do you have a video of something like this or a suggestion of what the best way to go about this?

    Hi Guy, I must say, that your video are an inspiration for me. I have learnt so much in such a short period. Now that I have purchased filemaker and have my databank started. I have a question for you. I have a tiny business (it's just me), in which I use inventory for repairs. Sometimes I would add an items to the repair report and then delete it, because it wasn't used. How do I make the inventory count list, back track this inventory so that the stock count is again correct. It wasn't used, but booked out. I also have problems with the automatic data filling for such a report. I want to choose from a list of existing parts or another table which fills out the PN, description, customer, contact, quoted repair, po received. Any new video in this direction would be a pleasure to watch and learn. I have already many tables, organised in your manner. So now, I just want to start automatically filling in forms or layouts, using the relationship and your methods. To have multiple suppliers of one part, would like to show a different price for each and the last order. I have many questions. Thank you for everything you have shown me. I normally watch your video and then spend hours doing the same on my database and having to watch each step again and again . I get it in the end and I love it.

      Hi Julian,
      It sounds like you have a lot of questions / problems.
      I don't know exactly how you do your inventory tracking, but if your count gets messed up you could always make a count correction where you set an item amount as -1.
      But if you create a record that gets counted and you delete that record I would assume that your count goes back.
      Again, I don't know anything about your file so I can't really even begin to guess for a solution.
      Data filling on from other, related tables is simple. If you have a correctly set up relationship and you enter the correct ID in the field the relationship is based on you can show related data simply by putting the fields from that related table on your layout.
      For instance: If you have a repair table where you enter a part number. If that Part Id field is related to the ID field in the parts table, you can show fields from the parts table on the repair layout and they will be showing the data for the selected part number.
      For the multiple prices for each part you might need a join table. I have several video's on that subject.
      You have a Part ID in that join table. A supplier ID and then additional info like the price for that part for that supplier.
      This can be shown as a portal on the Part layout and also on the supplier layout.
      Here you can then add suppliers to a part and note their price for that part.
      I hope this helps.

    Hey Guy,
    I'm going to try an experiment. I'm going to *create* in *Layout* only the field headers I named that match the headers in the Excel Xlsx file. Namely: Plant/Variety/ skip*Style* which is left empty/Company/Date/ skip *shelf life*/Expiration date and see if that transferal works for me and thanks for leading me in the correct direction.
    If need be I can correct the import header designations after the fact and place the *Expired Seeds* on a separate *Tab* in order to allow the designation to be clearly differentiated from the still *active* seed packets.

    Hello, I haven’t started looking at your video but I do have a quick question. I have used Bento for some time and kept it as much as I can but I can’t anymore. I need to merge to something else. My DB need is very easy and simple but looking at FMP is daunting. With this video, can I learn what I need to recreate my Bento DB?
    What I do is this, I have a library of books and lectures, and I create a DB in Bento where I input book title or lecture title, page, paragraphe, CD number if applicable, quote, keywords, date the book or lecture was published etc.... I use drop down menus etc...

      Hi Igor.
      It is possible that Filemaker has more features than Bento. I never worked with Bento.
      There might be a little learning curve with Filemaker and I don't know how good you are at learning new things.
      But once you understand the basics of Filemaker you will be able to create your own thing.
      And if you get stuck there is a great Filemaker Community Forum where you can always ask for help.

    Awesome Video. This helped me start building my database. I have a hurdle and I was wondering if you could give me any direction on getting over it. I have questions in my database that are answered with either yes or no. If the answer is "yes" I would like the database to transition the staff answering the questions to another page or table. If the answer is "no" I would like the staff to stop at the current position. Can you provide any instructions on how to get this done?

      Hi,
      So you say you have questions that are answered. If the answer is yes you want to to one action and if no another.
      This is perfectly possible if you have a button that people click after answering that performs a script.
      This script can look at the answer and perform an action based on the response.
      This is a basic IF statement.
      If the answer is "Yes" then go to this layout.
      If the answer is "No" then go to this other layout.

    Hi Guy, Thank your for your excellent videos on FM. I created a contact database per your video and have a problem with the TODO portal. I can add the first todo record for a contact and I can place the X in the Urgent Field and the Delete Button works.
    However when I add a second todo record or any subsequent todo records the Urgent Field is not accessible and the Delete Button is Blank and doesn't function. Any help would be appreciated.

      Is it possible you didn't put your button and your checkbox entirely inside the portal row?
      Especially the top part can't stick out about the portal or it won't show up.

    Thank you for the incredibly helpful tutorial! I'm having some issues inserting photos into a container field. It works just fine for horizontal (landscape) photos. But, if I try to insert a vertical (portrait) photo, FileMaker stops responding and I eventually have to force quit. Is there a way to remedy this? Thank you!

      That doesn't really sound like anything that should be happening. Are you inserting through a script, or simply by right clicking in the container field and choosing from the dropdown menu?
      If it is with a script you could look to see if that script is doing something strange.
      But I couldn't say what could be causing this.

    Ik ga hiermee aan de slag.
    Ik ben bezig met het maken van een Fm14 database. Met als basis hetgeen ik leer via jou film op UA-cam. Ik maak het wel voor een Layout voor een Ipad.
    Bij de Basic button 4 (geel) voor mail zie ik op mijn Imac het icoontje postbus, maar op het scherm van mijn Ipad enkel een geel veld. Weet jij hoe dat komt?

      Als je een oudere versie gebruikt heeft die misschien niet dezelfde afbeeldingen en buttons.
      Je kan ook eens proberen om je button groter te maken.

    Mince alors! I got lost at "Gender." you're switching views to table and back and forth from table views but can't keep up. It think you have to go to Exit Layout first before going to the different views. It would be nice to tell us.,,,Mais - alors!

      You can change between table view and layout view by clicking the three buttons on the top next to "View as" like I do in the video.
      You can also go in the "View" menu and choose: "View as Form" of "View as table".

    hoi Guy ,ik vind je video's top.maar ik heb moeite met de Nederlandse stappen on een script maken ( ik heb filemaker windows )jou "Set Capture is het Nedelands "foutafvanging instellen". dus niet makkelijk te vinden.als ik jou script stappen volgt is dat niet makkelijk.als je een steps(rechts van het scriptveld) daar opzoekt is het nog wel te volgen welke je bedoeld.maar als je in script veld schrijft komen jou Engelse stap te voorschijn ,bij de Nederlandse versie is dat niet.zijn alle steps in het Engels ergens in het Nederlands te vinden?

      Hey,
      Alle script stappen die er zijn in het Engels zijn ook in het Nederlands te vinden. Maar het kan inderdaad lastig zijn als je een Engelse handleiding volgt met Nederlandstalige software.
      Je zou eventueel de Engelse versie van Filemaker kunnen installeren. Maar ik weet niet of je daar zin in hebt.
      Anders zal je moeten vertalen. Op de duur zal je het wel leren kennen, maar dat lijkt me toch zeer omslachtig.
      Alle hulp die je over Filemaker zal vinden online zal in het Engels zijn.
      Dus misschien toch eens overwegen om je Filemaker installatie in het Engels te zetten.

    Hello Guy. Your videos are great and I have learned a lot from them. But there is one thing I am having trouble with and would appreciate some help with. I am creating an invoicing system which looks up prices from another table. The problem is that when I issue an invoice and then change the price of an item, for example, I want that new price to be used for future invoices, but not change the price in an old invoice what I already created a while back. Thanks!!!

      Hi Art,
      What you just described is the essence of any invoice. What you need to use is a lookup price field in your Invoice Details table.
      The moment you add a product to your invoice your Product price needs to be looked up in the Products table and stored in the Invoice Details table.
      This allows you to change the price on the invoice detail if necessary. And you can also adjust the product price without affecting old invoices.
      New invoices will then look up the product price the moment the product is added and so will get the new price.
      I hope this is kind of clear.

      I don't remember. This could have been anything from Filemaker 12 to 16.
      All those version are pretty much identical.
      Only since Filemaker 17 and now 18 is there a small change in the layout.
      In those recent versions the inspector and object viewer are nog tabs in the main window.
      But all functionality is the same.

    Hi you have good teacher skills
    I would like to learn how to use filemaker in the web I have installed FileMaker Pro advanced 16 and the server version but. When I browse in the Webb I can only see the filemaker logo. I tried to publish to server getting same logo. What do I missing startpage? Maybe you can make a simple vide for this? Same thing same logo. Will not change.

      A few things you need for Filemaker server:
      - Fixed IP address
      - Certain ports need to be opened to the outside world. You need to configure this in your router.
      - In the security settings of your filemaker file users privilege sets need to have access through the Filemaker network (FMAPP)

    I am designing an inventory system for a helicopter company. Within this, I need to have a part, such as an engine, and then I would need to show sub-components within that engine with corresponding data. How would I be able to create a hierarchy of items like that? Great tutorial, by the way!

      Hi Daniel,
      This depends on the amount of levels you need.
      If it's just a main part and sub parts this can be pretty simple.
      But if you have more levels you could be talking about a "Bill Of Materials" (BOM).
      This is a pretty complicated thing to set up.
      You can google this, but your head might start spinning.
      You can also keep it simpler and have a simple parts table and a sub parts table.
      You can also have one products table and then a join table to join any product with other products.
      But then you might end up with a list where some products are simple, single products, and some products are made up of other products.
      This can get a little tricky.
      But the upside is that all of your products are in the same table and can all have all the fields.
      It really depends on the details of your solution.
      I can't really guess what the best way would be to go about.
      I don't really know enough about your file.

      Then I guess you would have two tables. Parts and Sub Parts.
      Every part can have as many sub parts as it wants.
      And you make a layout for the parts. And a portal for the sub parts.
      Then if you want, you can also make an additional layout for the sub parts if you have more fields and data you want to store for the sub parts.
      Now if you don't want to move around to much between layouts you could also make it so that you can select a sub part . This can put the Sub Part ID in a field in the Parts table and you can then display the related sub part records on the parts layout.
      This way you can fill in sub part data on the parts layout.

      Hey,
      Je kan een tabel voor klanten hebben en dan een gerelateerde tabel voor leveringsadressen.
      Dat wil zeggen dat je het leveringsadres voor die klant niet opslaat in de klantentabel maar in de gerelateerde leveringsadressen tabel.
      Wanneer je aan een klant dan een leveringsbon wil maken zal je ook een leveringsadres moeten selecteren.
      Dit kan gebeuren met een dropdown.
      Je kan ook een standaard adres aanduiden, maar dat mag je dan niet vergeten te veranderen wanneer je naar een ander leveringsadres wil verzenden.
      Dit soort dropdown van de leveringsadressen van 1 klant is een "Conditional Value List".
      Ik heb meerdere UA-cam video's over dit soort dropdown.

      Hi Luis,
      I believe there is a way to make a runtime solution on windows that is like a standalone file.
      I have however never tried this myself so I don't know if this works well.
      You can also use Webdirect to allow people to access a filemaker file through the web browser. But in order to do that you need to host your file on Filemaker server.
      And there are some drawbacks in functionality.

      There are different ways to do this. I think since version 15 there is an option to add "Placeholder text" to a field. This can be found in the inspector under the Data tab.
      This text will only be visible when the field is empty.
      You can also fake this by placing text on top of the field and hiding it conditionally when there is text in the field.

    Hey Guy ! Amazing video and incredibly helpful as always :)
    I was wondering, do you know if there is a way to "export" the final project of filemaker so that the user will not be able to modify or edit anything (like layouts, ). Just be able to follow the file with the buttons and put data according to what has been set. To avoid the final user (receptionist for example) to make any mistake during the use of the file. I am not sure if you see what I mean? Anyway great vid. +1

      Hi and thank you.
      There is a way to create a runtime solution. This is a stand alone Filemaker file that can be run without having Filemaker pro.
      I have never done this however and I don't know if this is something that is regularly done.
      I think more interesting for you to look into is "Privilege Sets".
      In Filemaker, under File - Manage - Security, you can create users accounts. These need a username, password and a Privilege Set.
      This Privilege Set can be completely set up and is the place where you define what a user is allowed to do in the File.
      Can this user modify layouts or only view them?
      Can this user create new records? Can this user delete records?
      Are there certain fields this user is not allowed to edit or even see?
      All of this can be set up in great detail in the Security section under the privilege set settings.

    Dear Steven, Am new to FMaker Pro and appreciate your approach so I have a request. I'm trying to create database for a friend
    whom owns a farm. Th task he has set for me is to try and come up with a database that takes care of Seed inventory. Problem is it's all s a MSFT Excel xlse file which has data entries that have northing to do with field tables I have laid out so when I try o iFile/Import Records/ File there is nothing listed on my side of the ledger to match the Excel list. I have
    Plant Category/Seed Name/Company Name/Date of Sale/ Price/ Expiration Date ( on seeds he already has ) Website/Re-Order form /Email to which there re *no* corresponding titles in the Excel tables. How can I import all on the stored info instead of trying to manually enter each of the 154 entires in their respective fields. Make Identical host fields that FileMaker pro *will* successfully transfer over to and then manually change the fields the corresponding fields as I designated them or what? T.I.A.

      Dear Mr. Quinn,
      I don't entirely follow exactly what the problem is. If you are trying to import from am Excel sheet you need to:
      - Make sure the excell is in the correct format.
      - Either create a table in Filemaker with the correct fields
      - Or import into a new table and use the top row as the field names.
      If you create a first row in Excel and enter titles in there Filemaker can use those titles as field names.
      During the import choose a "New aTable" as your target.
      And check the box at the bottom that says: "Don't import first record"

      The experiment worked. I simply custom created the field/cell designations ( Plant/Seed/CompanyDate of Sale/ Expiration/Website/Email/Phone respectively )within Excel and imported them into exactly corresponding fields. The only hitch was that I forgot to create a *new record* and thus had to *manually* correct the filed shift down one field 152 X and adding the *id* number in its proper field once it was vacated. I told you i wass a beginner.Thanks for pointing me in the right direction.
