Hi Marquis! Love your work! I love your approach on making sure everything lives in ASANA. I'm keen to hear what your thoughts are about my approach. In order to manage permissions on who can edit SOP and view SOP, my SOP is recorded in google docs and slides formats and stored in department related shared drives within our organisation (all video SOPs also live here). The SOP index lives in ASANA so all team leaders can see this.
Main reasons : (1) Ability to manage who can edit permissions (2) All documents own by us, rather than relying on ASANA's timing on releasing new features.
I think that’s a great way to organize SOPs. As long as you’re linking to the relevant document, that’s all that matters. Where I’ve seen it get tough is maintaining your SOPs. It’s harder to keep tabs on which SOPs are up to date as well as the different categories they fall under. This was the biggest reason why I decided to have them in Asana. I wanted to be able to visualize the structure for more streamlined upkeep. Love your approach though. Just important to make sure someone is owning that process. Thanks for the comment!

I’ve thought about that so many times since the new inline description editor but I don’t want to go through the trouble of updating all of my SOPs. It’s a great practice to get into when documenting SOPs so that the reviewer doesn’t have to move their attention away from the text. The images in-line will add context as well.

Thanks for this video! How do you regulate who can edit each SOP? For example, what if a new hire is going through the SOP and accidently edits or deletes the description section?
Any team members have comment only access to the SOP project. Since creating this video, we’ve also improved the process so that if anyone has an SOP to add to the project that they submit it through a form and then one of three team members formalizes it and adds it to the correct category.

Can this be done in the free version of Asana? For example, I don't think the Board view is available in the free version.

Some features are not included in the Asana free plan, such as task dependencies, progress view, custom templates, proofing, custom branding, user provisioning, timelines, cross-regional backups, milestones and data deletion.
However, with the * free version* you can *view projects* in various styles, including calendar, list, and *board view* . You can also collaborate with a maximum of 15 members, create unlimited projects and tasks, access different types of project templates, integrate with over 100 apps, access unlimited storage space, with a 100MB size limit for each file, and more.

Why not use a media capable wiki or cms system for SOPs? Such as Confluence, Slab, Google Sites or other. We are an ASANA company for tasks and projects.
Great question. You absolutely can do that but it’s been my experience that with so many tool options, it’s often easier to simplify your tool stack. You can also embed the relevant SOPs in your Asana Templates. I also like having them in Asana because it makes maintaining them straightforward. It does depend on your needs though. Sometimes another tool is better or makes more sense for your situation.

Not sure what you mean. The SOP tasks are not assigned to anyone.
