How does your smart collection workflow work for the editing projects? For example I name my videos and at the end put Ver 1 then when I duplicate the timeline it turns into Ver 2 automatically. But how can I have a smart collection that has all my current timelines for the project instead of manually organizing it? For example some videos may be on Ver 1 while other videos are on Ver 3. But I only want to see the most current versions of all the projects in one place and older versions I want to be somewhere else as a safety backup. It Snapshotting the project better? Just curious your work flow on this?
I hope to make a video that's more in-depth about this. With Smart Collections you can filter using A LOT of different criteria so I may take your question and either in a vid or in a livestream see if I can make a Smart Collection that does exactly what you're talking about. I'm not quite sure how to do that other than filtering based on when the Project was created - making the Smart Collection only show the latest version. Going to have to think on that.

This allows me to just get it all running within seconds so I can just start copying the media to the folders and then I can import and this helps with organizing in FCP and such. I'm trying to follow along with creating my own finder template and now FCPX template, but why do you have an event for each type of media? why not keywords?
It’s really just a preference. I like each type of media walled off from each other in an Event. You can certainly have 1 Event and use Folders and Keyword Collections to keep everything sorted.
@@matthewTobrien ohhh! Okay I see, so when you import a files in FCPX, do you just import the copy of your template folder in FCPX and then it just lays everything out? sorry!! just a bit confused and kind of need of an example project visual
No worries, Abigail! So I keep a Final Cut Pro Library file in my Finder folder template under "2 PROJECTS < FCPX". Before every project, I rename the Final Cut Pro Library to whatever my project name is and that Final Cut Pro Library file (which is my template) has all the Events, Folders, Keyword & Smart Collections in there ready to receive imported files. @@matthewTobrien this is just what I needed. I was sure you had something and I scrolled thru all your videos trying to find it again. I had set up folders based on this to copy and paste but had not done the library template. It’s been 3 or 4 years since I regularly uploaded videos to my channel and I have forgotten so much. My first video back on my channel took me 3 1/2 hours to edit. Last nights I got down to 2 hours. Still lots missing from my editing but I’m getting there
I keep the Final Cut Pro Library template compatible with an older version of FCP so more editors can use them. When you open the Library you’ll be prompted to update it so it’s compatible with your version of FCP.
Why do you have a smart collection under screen recordings instead of a keyword collection? Considering you have the folder for screen recordings, that finder folder would be taken as the keyword and dump scrnrec into that keyword already, no?
Excellent question, Rich. Glad you asked. The reason I do a Smart Collection is primarily because while editing most of my videos I'm doing multiple screen recordings while I'm editing them. I custom name my screen recording files so as I add screen recordings to my SCREEN RECORDINGS folder and then import them into Final Cut Pro, it's much easier to just quickly drag the new ones to my SCREEN RECORDINGS Event and have them automatically go into the SCREEN RECORDINGS Smart Collection. If I had all of the screen recordings I needed at the beginning of my edit and wasn't going to be adding new ones while I edited, then I'd most likely use the method you described. For me, one of the things I love about Smart Collections is how easy it makes it to add new media assets you've created while editing and then you need only drag the new media to the Event rather than clicking on the event and then navigating to the Keyword Collection that matches that new media in order to keep that new media in that Keyword Collection upon import.
@@matthewTobrien I see, makes sense with the types of tutorials you make that you'd continue accumulating screen recordings. If you read this, could you maybe make a followup video to this one that explains how the finder folder timplate "connects/works with" your FCP template? cuz I've made my own now, which is much simpler than your templates as I'm a hobbyist filmmaker, not actually having clients and big projects. but I'm having difficulty figuring out the correct way to import into FCP and having my media fall into the correct keywords. Or does your template that you sell come with an explainer of how finder and fcp are "connected" or how they are supposed to work together?
Great question. I often click on the Event to see what all is in a given Event. If that Event are to contain Folders that separated things like Graphics, Screen Recordings, etc. I would see all of those items when I click on the Event. Sure I could click on the folder instead, but I often find that my mind gravitates toward clicking at the Event level. With everything in separate Events, when I click on an Event I know that I'll only be seeing Graphics or Stills or Screen Recordings. You could certainly do just one Event and then have Folders within that Event.
Thanks for watching, El! Here's an older video of mine that explains it a bit more in-depth: ua-cam.com/video/GET0s8-lUhg/v-deo.html Let me know if that helps - if not, I can explain more.
Thanks for those tips. I’d like to work more like that. One barrier since I got the Sony A7S3 is not being able to preview the clips in the finder therefore not being able to organise them easily from there. so I tend to import into FCPX then organise which isn’t as efficient. Any workarounds for viewing in the finder you can suggest? Thanks Warren
Yes! That is a downside to the Sony file structure. It's a bit of a pain to zero in on the video file and with some of their formats you can't view them in Finder at all, from what I understand. I remember when I had the a6500 I would import with Final Cut Pro and then go to the Library file in Finder, right-click and choose "Show Package Contents" and then I'd tunnel into the Event where the footage was stored and move the footage back into my Finder Folder structure. Kind of crazy, I know, but I can't stand not having easy access to my footage in Finder. Especially when I need to pull footage from that project for a different project, etc. It's too painful trying to grab it from within FCP. Anyway, I digress... Thanks for watching, Warren!
@@matthewTobrien thanks so much for your detailed reply. Much appreciated. Yes I tried looking in the package contents and the only clips able to be viewed in the finder are the ones that have been rendered. I wondered about using Catalyst browse but would need the paid version to be able to use it for organising folders etc. It would probably still be possible to use your system of folders by importing them into a library with them empty then putting the clips into the right place after?
I think so, but without seeing all the steps of your exact workflow, I'm cautious about saying that that 100% would work. But I'll think on it a bit more... Maybe I'll borrow someone's Sony camera and figure out a custom workflow with my templates and Final Cut that can make it work. Great idea for a vid!
@@matthewTobrien Yes I think it would be a very good idea for another video. I just tried what I suggested and importing the folders without files in them didn't work
So this brings up a question that I’ve had in my mind which I started doing recently. I said to myself “why not just make a new library for every project”. That’s actually your workflow isn’t it?
@@matthewTobrien So funny because I just recently thought that to myself after years of editing and years of slowing making my libraries more granular.
I bought your templates and practiced copying a huge, disorganized project into the template, but afraid I might miss every asset. So thinking to use templates going forward with new projects, as it seems prudent to eventually delete older project work. Thoughts?
I would agree. Hard to transfer an existing project into the template (although certainly doable with time and patience). I personality don’t delete older projects at all - I just archive them. You never know when you or your client will need them…
Center monitor is Final Cut Pro Viewer/Timeline. Left monitor is Final Cut Pro Browser. Top monitor is Final Cut Pro A/V Output to get a full-screen preview of my edit. Right monitor is productivity stuff - scripts, Safari, Twitter, Calendar, etc. Here's a desk tour video I made if you're curious to see a more in-depth breakdown of my edit bay: ua-cam.com/video/sIrDSJmETN8/v-deo.htmlsi=K44aUNGdGbBOD6EU
Create a Final Cut Library, create all the Events, Folders, Keyword Collections Smart Collections and Projects you use for every video (especially if it's UA-cam vids) and then keep that FCP Library file in, say, your Movies folder. Every time you start a new video, copy that Final Cut Library into the folder where you keep all of your media for that specific video. When you open that copied Library template, rename it in Finder or Final Cut Pro and you're up and running with Events, Keyword Collections, etc. already made. Or you can go to my website and just buy my templates. :) www.matthewobrien.co/shop
Just a little note on using FCP Templates: FCP Libraries contain a unique Identifier, if you duplicate a library in the Finder, this Identifier will not change. This causes FCP to overwrite your Cache files if they are stored in the same location. Example: Create 2 duplicates of your template, open Library „1“, it will create a Cache file called „1“ in your Cache folder/location. Then close Library „1“ and open Library „2“. The previous Cache file „1“ will suddenly be named „2“. Unfortunately this causes huge performance issues on larger libraries as everything inside the cache will be rewritten. Just something to be aware of.
That is very, very good to know, Sam. Interesting. Hasn't been an issue in my UA-cam workflow or in any of my client projects that I'm aware of - but I'll certainly pay closer attention to that moving forward to see if I notice anything problematic. Thanks for the heads up!
And just to clarify - this is if you store your cache/render files OUTSIDE the FCP Library? I store mine IN my FCP Library so does my workflow exempt me from this issue?
@@matthewTobrien I guess so, but I haven’t tested it as we always keep the Cache external. You could „Show package contents“ of the library and check if the Cache still gets renamed within a library.
Hi there, Im literally chopping some broccoli at the moment. this is just want I needed. I have a template folder and assets folder but always lose them ;( I have created different projects for sizes of what I need so nearly there.

Hey just a random question. I've shot a couple of weddings recently and because I don't want to miss an important shot I don't switch between 25fps and 50fps that often unless I have a solid couple minutes of time. And so I've got to editing and realised I might want a particular shot to be half speed or even quarter speed even though I shot it in 25fps. Obviously Optical Flow is the way to go, and it generally looks fantastic. But it fills up my analysis files SOOOOO fast it's not even funny. Right now I've got a 3 minute 10 second video, with maybe 40-50 seconds worth of footage that I've used optical flow on. And I shit you not, there is over 1TB worth of optical flow files. Like what in the hell is that!??? I've got create optimised media turned off and stuff. But optical flow just chews up my SSD space. Have you ever had this problem before? Is there a fix or is it just how it is?
I personally haven't had that issue because I haven't done too much retiming of clips like that. 1TB definitely seems high to me, though. Like, really, really high. I use an app by a company called Arctic Whiteness called Final Cut Pro Library Manager and it's great because it gives you a breakdown of what is taking up all the space in your FCP Library and you can choose to just delete Optical Flow files vs. your render files or optimized media, etc. A lot more control than what FCP gives. Might want to take a look at that? Not that it'll solve an issue if FCP is going haywire with the optical flow files unfortunately.
Jesus… wtf went wrong with your color grade??! YECH. And anyone that knows even the absolute _BASICS_ of FCP certainly doesn't need a LIBRARY template (wait… _for money_ ??! 😂). Especially not one that has the *_exact same keywords as folder names __*_ when there is __*_import folders as keywords_* 🤦🏼♂ And using "POST HASTE" instead is certainly not clunky and much more efficient.
Yeah, the grade's definitely no good. Experimenting with some film emulation plugins, but I need to get a consistent look and stick with it. This is why I hire a professional colorist for all of my client work and non-UA-cam films/videos. And look, my methods aren't for everybody. Obviously they're not for you and the others who have liked your comment. For some users who aren't on top of their organization both in Finder and Final Cut Pro, my templates are a good step in the right direction. And of course they can be customized and adapted to individual workflows. I've been dialing mine in for years and this is what works best for me. Just because they aren't a good fit for YOU, doesn't meant they aren't for somebody else. Post Haste is a great app but the majority of viewers on my channel don't use it or aren't aware of it. Gotta say, again, excellent use of CAPS, italics, bold and emoji in your comment to communicate how much you hate my methods and my video. 🤘🏻
Some of the folders…have folders in them. But thanks for the ridicule over a product that has sold hundreds of times and helped editors struggling with organization develop a system for efficiently storing their media.

I keep the Final Cut Pro Library template compatible with an older version of FCP so more editors can use them. When you open the Library you’ll be prompted to update it so it’s compatible with your version of FCP.
Hello. Are you using the old Apple cinema or thunderbolt displays ?
New Studio Display as my main center monitor and then Thunderbolt Displays on either side. ⚡️
Or does your template that you sell come with an explainer of how finder and fcp are "connected" or how they are supposed to work together?
why do you feel its easier to use Events for folders? I just use a single event and drop everything there. Am I missing something?
Great question. I often click on the Event to see what all is in a given Event. If that Event are to contain Folders that separated things like Graphics, Screen Recordings, etc. I would see all of those items when I click on the Event. Sure I could click on the folder instead, but I often find that my mind gravitates toward clicking at the Event level. With everything in separate Events, when I click on an Event I know that I'll only be seeing Graphics or Stills or Screen Recordings. You could certainly do just one Event and then have Folders within that Event.
I use a basic set folders (empty) and just copy paste in a new event, simple and fast.
Sounds like a great workflow for you - keep it up!
Great tutorial....at 2:53, you show a FCPX LIBRARY TEMPLATE....how did you create this one??
Thanks for watching, El! Here's an older video of mine that explains it a bit more in-depth: ua-cam.com/video/GET0s8-lUhg/v-deo.html
Let me know if that helps - if not, I can explain more.
Ordered mine.. thank you for great video.. Abdul
Thank you so much, Abdul!
Thank you !
I just tried what I suggested and importing the folders without files in them didn't work
@@wjnmovingimages4506 Ugh, yes a Sony workflow vid would be great!
So this brings up a question that I’ve had in my mind which I started doing recently. I said to myself “why not just make a new library for every project”. That’s actually your workflow isn’t it?
Yes! Every UA-cam vid has its own Final Cut Library. To quote The Offspring: "You gotta keep 'em separated!" At least I prefer to. 🤘🏻
@@matthewTobrien So funny because I just recently thought that to myself after years of editing and years of slowing making my libraries more granular.
Better late than never!
You never know when you or your client will need them…
ALL HAIL MATT
Haha - stop it! 😚
how do you use 4 monitors?
Center monitor is Final Cut Pro Viewer/Timeline.
Left monitor is Final Cut Pro Browser.
Top monitor is Final Cut Pro A/V Output to get a full-screen preview of my edit.
Right monitor is productivity stuff - scripts, Safari, Twitter, Calendar, etc.
Here's a desk tour video I made if you're curious to see a more in-depth breakdown of my edit bay: ua-cam.com/video/sIrDSJmETN8/v-deo.htmlsi=K44aUNGdGbBOD6EU
@@matthewTobrien Thanks mate
Great one, thnx! Got a sub 😁
Awesome! Welcome to the channel!
you don't need to copy paste folder you can just press command D on main folder to create duplicate
@2:52 You talk about FCP Library Template. How do I make one? I don't how to.

I'll give it a look! I have a feeling it won't impact it since the render files are stored in each individual library.
Hi there, Im literally chopping some broccoli at the moment. this is just want I needed. I have a template folder and assets folder but always lose them ;( I have created different projects for sizes of what I need so nearly there.
Excellent! I keep mine at the top of my Dropbox so no matter where I am they're always there AND if I need to update them, they're updated on whatever computer I access them. Keep choppin' that broccoli, Jennifer! 🔪🥦
I just got the 3 in 1 bundle. It will take me time to learn to fully utilize it, but the organization is something I badly need lol
Thanks so much for purchasing! Let me know if you need any help with making it your own!
Awesome content! New subscriber here! Just switching to FCP after 3+ years in Premiere Pro and need all the help I can get! hha
Congrats on the switch! And I still need help with FCP from time to time too!
Bless you with this video.
Haha - you're welcome, Matthew!
Thx for this.
You're welcome!
Golden!
Great tip!
Thanks, Eric!
P.S. don't call your Delivery Folder Final! Any Editor will know why 😅
I've got a handle on it but I hear you - "...FINAL FINAL v3" etc.
Was this your own idea? Pretty damn genius to be honest.
I wish! I adapted my template from my good buddy's original template that he created YEARS ago...
STOP THE INSANITY!
That's what I'm sayin'! 🚫🤪
Jesus… wtf went wrong with your color grade??! YECH.
And anyone that knows even the absolute _BASICS_ of FCP certainly doesn't need a LIBRARY template (wait… _for money_ ??! 😂). Especially not one that has the *_exact same keywords as folder names __*_ when there is __*_import folders as keywords_* 🤦🏼♂
And using "POST HASTE" instead is certainly not clunky and much more efficient.
@@matthewTobrien Oh right… because showing Post Haste and posting a link to it instead would be unheard of. 🙄
IOW you didn't know it existed.
25$ for empty folders? are you kidding? really? hahahahahaahahahaahaha
Some of the folders…have folders in them.
But thanks for the ridicule over a product that has sold hundreds of times and helped editors struggling with organization develop a system for efficiently storing their media.
