    I've been using albums for years and this is so much easier and much more powerful. With 200k pix in just one of my libraries, this is a lifesaver. Thanks for the tips.

      It is a shame that we have to choose between albums and searches when organizing our photos.
      If I have spent time building an album for “All Parties” and an album for “All Photos of Me” (👍), why can't I at least get a slideshow called “Me at All Parties” for free?

    I’ve been using a Mac since 1984, I’ve known about tags, titles and descriptions but I’ve stubbornly avoided what I perceived as clumsy complications. You changed my mind buddy, I’ll be adding keywords to the description field from now on. Thanks Gary, you are truly a gem.

    I grew up where pictures went into shoeboxes. I miss getting to relive memories by having to filter through times I’d forgotten about , maybe looking for one in particular, as opposed to being able instantly find one. I guess it’s what you grow up with that seems to stick, but I get it. I recently found, and subscribed to you channel. I’m learning a lot. Thank you ✌🏻

    Thank you for the information ...however .
    Although the search function works on ipad / iPhone it relies on what you can remember or guess what the image might be , whereas if you have your photos in ALBUMS ( not smart albums) your iPhone and ipad shows you the album names and is a far easier way of accessing .
    Furthermore if you search ..for example for flowers’ on the iPhone / ipad it will return images titled / keyworded flowers AND what it thinks are flowers even if they are not
    Best habit to get in to is to very regularly add your latest images to an album or create a new album with them . You can create albums on your ipad and iPhone too as well as adding new images to existing albums
    Also ...regularly go on to your images on your Mac and give them titles . It is annoying that it is impossible to add titles on ipad / iPhone

      @@icic6876Thanks for the app but I’m sad that it’s not available to Windows PC, especially since that’s roughly 75% of usage share (followed by 16% macOS, 5% Linux-based OS like Chrome OS, etc.).

    I also like to create slideshows and add appropriate music and titles. This makes it easy to look at a group of photos and/or to show them to a friend.

    I just went through Lightroom and trashed all my folders and now use keywords. It has made my workflow so much better. I also trashed all my folders in Photos. Much better experience.

    All those tips with tagging and Description would be great, if it would be possible to view and create Smart Albums in iOS. If Apple does not implement this functionality (and I don‘t know why they haven‘t done this yet), I‘ll stay with Albums.

      I worked at Apple as a Creative for ten years, and I know there were the Keyword evangelists (for Aperture and iPhoto), who really tried to push people to use keywords instead.
      The problem has always been the requirement to remember keywords.
      “Just use Keyword Manager,” the argument would go.
      Once you start organizing your Keyword Manager, _for 90%+ of customers,_ how is this advantageous over the clearly visible, easy to organize folder / album system?
      For me, I’ve always taught: Albums for everybody, keywords for people with targeted needs.

      @@robhulson Keywords will be proven the way to go, as the total number of photos grows for everybody every day. The problem with keywords/searching right now is just usability, not usefulness.

    I had no idea that we could assign keywords to a photo. I just sort them based on the event and then group them based on the year. Never gave too much thought on organizing my photos but it is great that I have options on my Mac. Sometimes I feel like I have a computer that is more than just a computer, it never stops surprising me :) Thank you Gary

    Thank’s for sharing more Photos tips! I still prefer albums organized into folders for a quick visual reference in the Photos sidebar. Although whenever possible, I try to assign titles and keywords for better searches down the road. 3:25 It would be great if Apple made assigning Keywords available on iOS and iPad OS.

    What about when you want to put collections of photos back onto your phone or iPad? Aren’t Albums the only way to do that? Thanks

      I have used albums for a main purpose. While attending a grandson’s sporting event, I can quickly select photos from that game and share it with family. Keyword, might enhance if that data is shared in the album like “basehit, homerun, strikeout, tackle, kickoff, 3 pointer”. So my question is if I share an album with family will they see “keywords” I add?

    I have found Apple's Photo programme to be the most troublesome. Every time there was an upgrade to the OS chaos reigned! Albums got jumbled up etc. One rep of Apple Support told me that the same thing happened to her photo albums. Her wedding photos, chidren, military career etc. all thrown into confusion.
    I wouldn't even bother trying another method, because the reality is that the only way to keep your photos safe is to back them up onto a memory stick. You can do your very best to make everything secure, follow all the instructions etc., then something goes wrong further up the unaccountable chain, and you've lost valuable material.

    OK. Sounds good. BUTTTTTT. My entire Photo App is dyfunctional. I can't find anything. I need help. From the first time I plug in a camera or Card reader into my computer. I have for e.g. a Slideshow in "Projects", and have no idea where the source photos are. I have a folder called "Pictures" in the regular Mac file hierarchy but have no way to view the photos without individually clicking each one which opens in Preview and is in edit mode. I can't drag or drop anywhere.
    When I plug in an SD card where should the files go? In what form? They appear by date as eg. SE499067.Jpeg

    HashPhotos for iOS and iPadOS is an amazing app for tagging. You can put multiple tags, notes for each photo, and very powerful filters to search

    Thanks-very helpful. I do a lot of photo uploads and processing on iPad-especially for perspective correction. Frustrating that the Photos app is so different on the several devices.

    hi
    i have few questions about smart album and something like that, i'm on High Sierra and my iphone 7 with iOs 13.7 and i don't want to use iCloud, so i imported all my pictures on Photos (3.0) and then i created the smart albums and the normal albums as well, but when i plug my iphone on my laptop and go to iTunes/iPhone7/Photos i see on the right side Sync Photos i tik this one and below just show me All Photos Album and selected Album, i tick the last one and in the screen show me just Albums: Favorites - Videos - Live Photos (only this 3 standard folders), why don't appear all my albums previously create in Photos?
    So i would like to sync my favorites pictures/albums from Photos to iPhone and i want to also delete all the already imported pictures from my iphone.

    Just found you! :-) This is a great video but I've been looking for this specific info: what is best way to fill out the fields in the Info tab? By identifying the geographical location, this eliminates the need to use a keyword for the location. What is best way to use the keyword section vs the description vs the title since no matter where you put a word il will appear in the search results. I''m trying to be sleek and consistent in how I identify my photos...any tips? thanks!

      First, figure out why you have them. What is causing the duplicates. First fix that/change behavior. Then just go through your photos manually in All Photos. Since the duplicates would be right next to each other they will be easy to spot and you won't have some automatic process deleting your photos. You can also remove other unwanted photos at the same time. If you have a lot, just do it 5 minutes here, 15 minutes there, ...

    I have so many keywords that I'd like to be able to sub group them (example.. group tennis, footballl etc under a subgrouping of "sports"). Is this possible in apple photos or would you advise against this? Thanks!

    Gary, great video keep the great professional approach! I have been putting all my images on couple hard drives and created my own logical folders. Because I couldn’t find a logical system. So the last two week I have been looking for a great system and your system make senses. That would be so much easier to find some images. I am starting this filing system and that would not be as long as it would with your system. Thanks you very much and will keep watching most of your video. Cheers

    Great instruction. On my PC I run Lightroom but with my new MAcPro I like to work with Mac tools and this is great way to organise photos. On my PC I also use Photoshop Element, using layers. In the 'Photos" App I don't find that functionality not. In iMovie this functionality is implemented a bit with picture in picture. But multiple pictures in picture is not possible. Can you comment on this.and advise me? Thanks a lot!

    I've used that idea but, What's the best way to keep my iOS camera roll & saves sorted? Do I tag & title while connected to Mac or do I need to move over & back? Does this transfer my "memo" I added to iPhone photos?

      It is up to you. Keywords are something you create, so you decide which ones you want.

    Just want to make sure I'm following the logic here. I very much like the idea of organizing by a keyword or keywords. However, at 3:25 you say you cannot assign those keywords on an iPhone or iPad. Am I drawing the correct conclusion that this approach does not work across all devices unless you're also sharing said photos through iCloud?

      This is a very Mac-centric technique. If you want to organize on iPad or iPhone then keywords aren't the way to go.

    Great as always. I guess the best way is to apply those keywords to them, but also make smart albums in Mac. This way you’ll have keywords for all devices including iPhone, and you have smart albums for just Macs.

    I hoped to see you add multiple keywords to one photo as when I try after the first one I have to re-click in the keyword box to type another one. In the past I could just type a comma, add another keyword, comma, add another... and hit return and multiple, individual keywords were added. Gary, is there a solution?

      Try using the Keyword Manager instead. Then at least you can click to add then quickly.

      @@macmost Gary, I appreciate your suggestion however as a retired pro-photographer gathering all my images from Aperture, Lightroom, and Photos into one library, there are 160+ keywords in the manager. Finding a few to attach to a single photo is not practical. Why the cursor only blinks once after typing, entering one keyword is the problem. I have tried many solutions to no avail.

    Love your work. My issue, 6-700 videos in total but divided between 3 photos libraries and I would like to download ALL of the videos to an external drive. I don't know how to combine all the videos, saving all the metadata etc.. I just want my videos OFF photos for flexibility is using them in video production with whatever app I choose. Thank you.

      Just export the original videos out of each library and delete them from that library. Pretty straightforward as there really nothing else you can do.

    This is a great functionality. But what about changing the order of photos. Let's say you want to take some photos for a simple slideshow out of your collection. As I remember it is possible to change the order of the photos inside an album by dragging them around. Is there an alternative workflow for this?

      You could simply set the order in whatever you are using to build the slideshow. But you are right, albums are good when you want to set a particular order for a set of photos.

    Is there a way to add titles or keywords using your iPhone or iPad? When I multi select photos on my iPad for example I don’t see a way to add a title or keyword i ca. only see an option adding to an album.

      Keywords aren't used in Photos for iOS. Not sure what you mean by "isolate."

    This seemed like a good idea and so I deleted all my albums and set up folders with relevant smart albums. But what I didn’t realise is that in IOS and IPadOS smart albums are not recognised. They don’t exist. So now I find that I have no albums when viewing photos on the IPad Pro which is probably where I would most often casually view my 20,000 odd photos. Let’s hope that Apple migrate the functionality of Smart albums to IPadOS although I’m not hopeful. I also note that keywords are not part of the functionality of IOS / iPadOS. Surely the ipads deserve a closer connection with Mac Photos for viewing options.

      Yes, Gary says exactly that at 2:32. You can easily recreate those folders on your Mac so as they're visible on your iPhone & iPad once more by:
      1. Creating a new _traditional_ Album called 'Denmark' - to use Gary's example.
      2. Clicking and highlighting your current 'Denmark' _Smart_ Album _title_ in the vertical menu bar on the left.
      3. Click the little plus symbol from the short drop-down above it.
      4. Select 'Album'.
      5. It will duplicate your Denmark Smart Album immediately into a _non_ -smart Denmark 'analogue' album with the same title, even!
      That way you have both - it's the work of moments. You might then choose to preface all your Smart Album titles with 'Smart' or something just so as you don't ever get confused.

      Agreed! I watched hopeful for mobile devices. I rarely access photos on my Mac, it’s usually iPhone or iPad, so hopefully we can see smart folders as a folder on mobile in the future!

    Maybe I missed this but is there a way to delete a photo in the library after you’ve moved it to “family” without losing the new categorized photo? Because it deletes it from both places, thereby losing the pic altogether.

    I loved iPhoto for having photos in an Event and one event only. That functioned as Albums and when you deleted a photo, it was deleted in the library also. Furthermore I have lost so much work within iPhoto because of updates/glitches... Now I use the Finder to organise photos...

      Thanks for your comment. Do you just store your photos in folders in the Finder? I have an older MacbookPro with only 256 gigs of storage so many more photos are on my la cie external drive. I like the Photos/tags idea but I think that would only work for the photos i have stored on my main hard drive.

    Have you ever heard of keywords disappearing? I’ve been assigning keywords for 3+ years,.. over 1/2 my keywords disassociated themslevs from the photos... I am so frustrated! Any help/ideas appreciated

    That only works with a couple hundred photos and a few keywords. Not very useful if you have a large collection. Also search doesn‘t work very well on the iOS versions of the Photos app. Using albums is much easier.

    How often should I create new Libraries? All my photos are in the same Library that I created when I got my first 17" PowerBook way back in 2001. I've just always migrated it from one computer to the next. But I feel like it's slow and sluggish when searching for photos. It's over 500Gb.

      You don't need to create a new library. I prefer to keep everything in one Library. You need to anyway if you use iCloud Photos (best feature of the Apple ecosystem).     hi, very interesting video! I am a panorama photo enthusiast too. I have a Q about displaying the big panoramas by which I mean resolutions of up to 80000x3800 or more and file sizes of more than 1 GB TIFF. I bought a new Mac Studio M2 (12 cores CPU, 38 cores GPU, 64 GB memory) to replace my 5 y old iMac 27 inch with intel core i5 (4 cores) and 16 GB memory. Now the problem is that this new Studio seemingly cannot display my big panoramas in the Apple photo app. It takes 15 to 30 minutes to load and when I scroll of zoom in out the pano gets blurred again. On my old iMac I could load the same panoramas in 15-20 seconds and scroll and zoom in out without problem with the same Photo app. Apple specialists tell me that this app is not made for such sizes but it worked on my old iMac and now it doesn't on the Studio M2 Photo app. Which app should I install to do the job better??? thanks in advance.

      No idea as I don't have anything even close to 80,000 pixels wide to try. Just keep trying things: Preview, maybe? Pixelmator Pro? Acorn?

    Gary...I am currently working on trying to move photos from my iPhone to my MAC, but want to be able to view everything as I go. I purchased a license for Commander One, a dual pane file manager, but then found out that while buying the license allows access to the file system on the Apple devices, it WILL NOT display the files/pictures as thumbnails. This pretty much defeats the idea that I had of being able to quickly organize everything the way that I had envisioned. GOAL: I want to pick groups of pics from my iPhone and move them off of the phone to a newly created folder on my external hard drive attached to my MAC.

      Hey Gary...Using the Apple Photos app might actually be a good solution that I hadn't thought about before. I did a small sample run and it seems to do everything that I want, although I will still have to MOVE all of the newly created folders from the hard drive (default location for the Photos app) to my extaernal drive.

    There was this really nice pro app called aperture that did this far easier and even allowed you to *gasp* relocate libraries and maintain multiple libraries!!!

    Thanks for all your work! I can't find my answer to this question. Playing a VIDEO on my photos app on my mac, I'd like to save/extract a still image. People talk about a "gear" icon on the playback controls but there are no such icons on my playback control bar. I'm using BIG SIR. Thoughts? Thank you again.

      Choose Image, Edit With, QuickTime Player. In QuickTime Player, go to the frame you want. Command+c will copy the frame as an image. Then paste into any app you like, a message, email, etc.

Yes I tried that and there is a big difference in file size (quality of image) saving the frame from QT as opposed to a screenshot from my iphone (of the frame in question). I was surprised at the resulting differences in quality. In any case, the process is ok for web publishing but for editing in photoshop or whatnot, I guess I'll need to just take a photo or use a good old fashion camera. (sometimes I can't take a still image working with pets.... so I run video and just extract the still's i need for my records). Thanks again Gary. Great stuff!

      @@frankvet1 Taking a photo will always produce a better image than a still from a video. For instance I get 4032x3023 photos with my iPhone, but 1080 video is just 1920x1080 and even 4K video is 3840x2160. That doesn't sound too far off, but consider that 3840x2160 is just over 8 million pixels while 4032x3024 is more than 12 million. Plus, any camera is going to do a better job with a still image than when trying to grab 30 frames per second in a video.

      @@frankvet1 It sounds like you want burst mode, a feature than quickly takes several photos. I don't see an obvious way to enable it in the default iOS camera, so you’ll need to check Apple’s documentation or use a third-party camera app.

    Gary I really appreciate your videos. Coming from a PC practically my whole computer experience, until they decided to move everything to windows 10. I decided if I had to learn a new operating system...it would be on a Mac. My question: in the finder window you have "pictures" and in the doc we have "photos". And, to add to the confusion I now have "Affinity Photo" Do I organize my photos; in pictures or photos... ps I have watched everything I can find on the subject.

      In the Finder you have a Pictures FOLDER. "Photos" is an app that access photos in a library (which is probably a file in your Pictures folder. Affinity Photo is an image editing tool. So these are three fundamentally different things. To answer your question directly, you would organize your photos in the Photos app.

    Thanks, maybe this doesn't make sense, but I'd like to put photos in albums and once there, have their original image/icon disappear from the photos Library. That way, if I see any photos in the Library, I know I haven't sorted them into an album and can then do so. But, I'd like to be able to see all the photos in all of the albums at once, if desired. I can still use keywords and descriptions on photos in their albums.

      By definition, the All Photos view of your library is ALL PHOTOS. Every photo is there. That's what it is showing you. Add photos to albums as you like, but All Photos is All Photos. If you want to see which photos happen to not be in any album, you can create a Smart Album where "Album Is Not Any." Though I don't know why you would want to create the busy work for yourself of putting every photo in an album. What if a photo just doesn't belong in any album you care to create?

      @@macmost Hi, in an unrelated question; I like to cut/paste or create music tablature in Pages. It can take quite a few pages once I make the music large enough to see from a distance. Is there a way to have Pages automatically scroll at various speeds so I don't have to stop and hit the next page button? Or is there a better way to do this? Thanks.

      You can still do it the old-fashioned way. You use the Finder instead of iTunes now for that. ua-cam.com/video/sm7r0pwP8Cw/v-deo.html But this has so many disadvantages as compared to using iCloud Photos that I don't know why someone would opt for this.

      All of your photos are in the library. That's where they are. You can't get rid of the library as that's the actual location of everything. Albums are just alternative ways to view groupings of photos.

    My biggest complaint about Photos is the inability to see titles (or keywords) I've assigned to a photo on my Mac in iOS or iPadOS. I can search for a title (or a keyword) and the photo will appear but I can't do the reverse. Say I've titled a wildflower or a bird photo with its name. I know I saw this bird at a particular place or date so I navigate to that date. There's the picture of the bird. But there's no way to view the name. Now, recently, Photos enabled the ability to write or view "Captions" (until recently it was called "Description" on my Mac). So why not put the bird name there? Well I have over 60,000 photos in my library and about half of them are titled. I've found no way to automate the copying of a title to the "caption" field.

    So, one has to go thru every picture snd type in a keyword? Is that practical for people who have thousands of pictures? Isn’t setting up albums , using calendar views? Like I have pictures on folders taken on such and such a date, then put a title on each album taken on certain date like example, taken in USA, Europe, cities, etc?

      Without albums you can still view by year/month/day, and trips tend to be over a period of time so they are easy to find. Plus you have the Places view too, which make sit easy to find photos taken in one place.

    Gary, I love ALL your videos, they are so great. I've been using Smart albums exclusively to organize my pictures on the Mac for the past several years ( I have a lot of pictures). It's been great for me. I organize it the way I think, how I would search for something. However, something went wrong with the Mac recently and I had to reinstall the hard drive. The pictures are up in iCloud so I don't think I lost any pictures but all my smart albums are gone!!! Also in the new installed hard drive, all my hard work of organizing the photos are not there. Do I have to start all over again in setting up the albums in the Photos App? I cannot find a way to do smart albums in iCloud photos, just regular albums. I also had a second Photos Library on the Mac, and that did not sync to iCloud. (I sort of knew that). With my newly reinstalled hard drive, is there anyway to recover my second Photos library?? thank you

      You should have albums in iCloud, but not Smart Albums, I think. No Time Machine backup, I guess? Without that, no way to recover those.

      @@macmost Your video is about the application called Photos right? That’s the app I’m asking about. When making a Keyword a letter gets assigned to it. You show how to change the letter. In your video you don’t explain how to use the letter. You use the feature but I cannot see how you use the feature because were only seeing your monitor and not your keyboard when you use the letter which you call a shortcut.
      Also after making or assigning a keyword to a series of photos. After syncing our update on the computer to our phone to apply the changes. We go into the “Photos” app on the phone and search for that keyword nothing is found. We don’t use iCloud for photos. Is this feature only available for the select special people who pay for iCloud service? If so that is dumb.

      @@carsutube Ah, I see. You just view the photos in All Photos, Album or Days mode. Select the photo. Then press the key. I'm not sure that this works when you sync with your iPhone that way. I haven't synced that way in years so it is hard for me to test.

      Most people wouldn't want to put screenshots in with their personal photos. But you can easily drag and drop them into the Photos app when you take them or in bulk at some point.

      Btw, I was using Apple Photos to view my pics by referencing files in the Finder. i.e, I did *not* copy the pics into Apple Photos. But when I delete a pic from either place, Photos _or_ Finder, the other one is not being deleted. I have to delete the same picture twice! Would you please advice?

      @@Muhammed.Yaseen If you are referencing files in the Finder in Photos then yes, you have to worry about that. The Photos app can't know what you are doing in the Finder and when you delete something in the Photos app I don't think it assumes you want the Finder file deleted too. Another good reason to just have the photos in the Library.

    This is great tip because, giving an example, when i try to add a photo to an album, i can't search for that album. For doing that, first i need to search for that album, and so add the photo, wich is not advantageous imho

      Maybe. I've never tried that. You'd need to make sure you only accessed it from one Mac at a time. And it would only be Macs, you wouldn't be able to access it from iOS devices. And accessing from outside the house would be an issue. Seems like a lot of cost and work when iCloud does it simply, easily, on all devices, and from everywhere.
