After 12 months, you need to change the start date/end date of the report. If you are referring to order number, yes, purchase order number is mandate to populate the purchase price, else the sales price will be auto populated. Since, the order type (Purchase/Sales) is defined in the Order Headers tab and it is then populated in Order Details tab using the order number. This is done to avoid repeated entry of same information. Brilliant ! hope you still respond to comments. I am having challenges as the gross profit is not calculating automatically in the report. Only the sales and purchases quantities are showing but no purchase and sales price hence no Gross profit is being calculated. Is there anything I am missing?
Thanks. Can you please check if the unit price information is getting to the Order Details sheet from the Prices sheet? If the price is not available in the Prices sheet or if you are using an older version of Excel, the price does not come through and that may be why the quantities are updating but not amounts. Hi, this is such a very helpful tool thanks for creating it and making it free to use. I just wanted to know who can I enter the daily sales. One comment: The PROFIT that is labelled on 16:37 is actually the GROSS PROFIT(Gross Profit = Revenue - Cost of Goods Sold), and it is NOT the amount of money you have left after all your expenses are accounted for (this is called Net Income. Yeah, thank you Indzara for your time and generosity. There are just a couple of corrections to make: where it is supposed to say "additional" it says "additonal". You may wanna correct that in your raw file. The other is, I don't know why yet, when I enter Men -S in Category in row 4, it returns an "Invalid Value" error message. For the rest of the rows in the Category column it works fine. I will look into that and I'll correct it. Ok, I just resolved it. I dragged the black dot upwards from row 5 and it works now. Thanks!

Thank you for sharing this template. I am a freelance agent receiving stock by the box selling items individually. The quantity per box differs per item. My reorder level must be based on pack size (not individual items). The sales price is different when a client buys a full box. I also have a quantity discount per line item, eg. more than 5 certain discount, more than 10 another discount. How would i handle this.

Regarding box purchased in bulk, You need to have a reference table to get the number of product present in a package. Then you can add a column before to Quantity column and write formula in current quantity to multiply the quantity with the reference table package's product count if it is a purchase order else take the same quantity. Writing the formula in the existing quantity column will minimise the effort on changing the dependent formula's column reference on quantity. We also take customization projects for a fee. I guess I am looking at how to calculate COGS. For inventory should we treat each variant separately as you did with sizes of clothes or lump them all together? Can you follow?

I want to ask you two questions, 1. when we use adjust option in the order header sheet it gets added up in the total inventory irrespective we are adjusting from supplier or customer, how to solve that ? 2. at 8:50 as you said if price changes either for buying or selling we have to add new row, so lets say your first item MSBL from 1st nov 2016 till dec 2016 you have sold 200 quantity and now the buying price is changed from 16 to 19 we will add same item MSBL in new row in the bottom with new buying price and if we want to increase selling price we will put with effected date i want this item price was changed. Now i sell another 150 quantity in next 4 months. My question is that when i want to check this item history will it show all from 1st nov 2016 till dec 2016? like history of 350 quantity sold I tried my best to put my question in the most explanatory way and i hope you got my point thanks for the excellent job by the way :)
Yes, whenever a price happens (only purchase, only sales, or both purchase and sales price changes) for a product, we have to enter a new row for that product with the new purchase and sales prices. Then when we go to the Order Details sheet and enter any new order information, the correct prices effective for that order date will be automatically populated. Very comprehensive sheet but one thing i would lie to point out, you have calculated gross profit considering purchase price without tax which doesnt suit many of us. I want to calculate my gross profit considering price + tax + any other charges. Please guide what should be the formula in that case.
For partner name for the supplier, if I have multiple pieces and orders from the same supplier, should I leave this blank and just create a new column to keep track of that?

Regarding product 52, you might have entered the product outside the product table or the data validation is removed in any of the prior rows. Excel table will duplicate only the consistent format on the column to new row. To resolve the same copy a cell which has the drop down and select all the cells in the column inside the table and press CTRL+ALT+v -> select validation -> press ok. Best wishes.

I was wondering- say if I've been using this template for a while, we do inventory again, but a couple items are off by a couple numbers (possibly an error in the initial inventory, or an error in data entry), is there any way to update the most current inventory if it doesn't match what it should be? ADJUST: We can create an ADJUST order and enter negative quantity values to reduce inventory or positive values to increase inventory as needed. This can be used to adjust our inventory numbers to ensure that the numbers match the inventory on hand. For example, we may lose products due to damage or expiry or other reasons. The video is well explained. I have filled in all the tabs with my product information and have read 'how to use this template''. However, the green coloms are not automatically filling in the prices... the other coloms work. What am I doing wrong? Their are no blank cells aswell regarding the purple ones. Also, when I save your sample template and want to add a product the prices are gone too. I hope you can help me out.
Hi, Thank you for your reply! I thought that I replied but I do not see an answer... Anyway I checked the excel version and I noticed that it was still 2007.I bought office 365 and the prices showed up. I have filled everything in and I thought it worked. Until I go to the order details. The prices all come up. However, when I go to the second order and I choose product name the price does not show up. Unless I delete the details in the row and try again. It only appears so when I go to the next row, which is below the line. To give a clear example in your video when you explain about the 'order details tab' the last order is in row 45, if I would add an order to row 46 it will change to the colour white/gray and when I insert the order number and than te product name, no prices show up. It also does not matter if I would select product name first and than insert order number. I hope you can help me out. It would be a great template if it would all work:) Have a nice day! Debra

no sir...example you have 3 or more branches you have main branch which you will received all the items there and you will distribute or allocate how many each item you want to allocate in other branch....example my beginning on january is 500 s,m,l,xl for my inventory,i have sales 100 each sizes for january,i have transfer 100 each sizes,i have transfer each branches 20pcs each sizes then i have damages 10pcs each then how many i have now in my template something like that sir...did u get it? =)..thanks for your reply...i hope you will get my point...and better if you will teach how you make the formula for your template for us to understand...thanks!
Please provide some more details on the products. Categorization depends on a few factors - how your customers perceive the different products, how the industry categories products, how you would like to organize the products,.... Make them such a way that customers can find the products they need easily. You would not want to have too many categories with only 1 or two items in a category. This is just based on my experience with management of products on indzara.com. Hope this helps. Best wishes.

The sale count in PRODUCTS tab is based on the date range entered in the report tab. Hence, please ensure the sale orders are within the date range in Report tab.

Thank you so much for the help, I am having difficulties with the orders tab: I have a purchase order where all of my inventory is, however, when I make a sale order, the price doesnt come up. It only comes up when I input the purchase unique ID

If you are referring to order number, yes, purchase order number is mandate to populate the purchase price, else the sales price will be auto populated. Since, the order type (Purchase/Sales) is defined in the Order Headers tab and it is then populated in Order Details tab using the order number. This is done to avoid repeated entry of same information.

Brilliant ! hope you still respond to comments. I am having challenges as the gross profit is not calculating automatically in the report. Only the sales and purchases quantities are showing but no purchase and sales price hence no Gross profit is being calculated. Is there anything I am missing?
Thanks. Can you please check if the unit price information is getting to the Order Details sheet from the Prices sheet? If the price is not available in the Prices sheet or if you are using an older version of Excel, the price does not come through and that may be why the quantities are updating but not amounts.

One comment: The PROFIT that is labelled on 16:37 is actually the GROSS PROFIT(Gross Profit = Revenue - Cost of Goods Sold), and it is NOT the amount of money you have left after all your expenses are accounted for (this is called Net Income. Net Income = Revenue- all expenses)

Yeah, thank you Indzara for your time and generosity. There are just a couple of corrections to make: where it is supposed to say "additional" it says "additonal". You may wanna correct that in your raw file. The other is, I don't know why yet, when I enter Men -S in Category in row 4, it returns an "Invalid Value" error message. For the rest of the rows in the Category column it works fine. I will look into that and I'll correct it. Ok, I just resolved it. I dragged the black dot upwards from row 5 and it works now. Thanks!

Thank you for sharing this template. I am a freelance agent receiving stock by the box selling items individually. The quantity per box differs per item. My reorder level must be based on pack size (not individual items). The sales price is different when a client buys a full box. I also have a quantity discount per line item, eg. more than 5 certain discount, more than 10 another discount. How would i handle this.

You will have option to provide order level discount and discount per line item in this template.
Regarding box purchased in bulk,
You need to have a reference table to get the number of product present in a package. Then you can add a column before to Quantity column and write formula in current quantity to multiply the quantity with the reference table package's product count if it is a purchase order else take the same quantity. Writing the formula in the existing quantity column will minimise the effort on changing the dependent formula's column reference on quantity.

Very good stuff. Hopefully you still get messages. How would you handle inventory where we you buy a product with variations and all sell for different prices? I guess I am looking at how to calculate COGS. For inventory should we treat each variant separately as you did with sizes of clothes or lump them all together? Can you follow?

I want to ask you two questions, 1. when we use adjust option in the order header sheet it gets added up in the total inventory irrespective we are adjusting from supplier or customer, how to solve that ? 2. Also if I want to shift some of the inventory to my other warehouse in another state how will I take into account for that material?

1. When you are adjusting, you can enter the supplier or customer name as the partner name of the order.

at 8:50 as you said if price changes either for buying or selling we have to add new row, so lets say your first item MSBL from 1st nov 2016 till dec 2016 you have sold 200 quantity and now the buying price is changed from 16 to 19 we will add same item MSBL in new row in the bottom with new buying price and if we want to increase selling price we will put with effected date i want this item price was changed. Now i sell another 150 quantity in next 4 months. My question is that when i want to check this item history will it show all from 1st nov 2016 till dec 2016? like history of 350 quantity sold

Yes, whenever a price happens (only purchase, only sales, or both purchase and sales price changes) for a product, we have to enter a new row for that product with the new purchase and sales prices. Then when we go to the Order Details sheet and enter any new order information, the correct prices effective for that order date will be automatically populated.

Thanks. Sorry, there is not a built-in way to sync to any website. You can set up an export file from the website in a specific format (columns in the specific order) and then paste them here in the template.

Very comprehensive sheet but one thing i would lie to point out, you have calculated gross profit considering purchase price without tax which doesnt suit many of us. I want to calculate my gross profit considering price + tax + any other charges. Please guide what should be the formula in that case.
For partner name for the supplier, if I have multiple pieces and orders from the same supplier, should I leave this blank and just create a new column to keep track of that?
And also, now that I am on Product number 52 the category selection has stopped working. Any advice?

Regarding partner name, this need to be selected for each order entry.
Regarding product 52, you might have entered the product outside the product table or the data validation is removed in any of the prior rows. Excel table will duplicate only the consistent format on the column to new row. To resolve the same copy a cell which has the drop down and select all the cells in the column inside the table and press CTRL+ALT+v -> select validation -> press ok.

I was wondering- say if I've been using this template for a while, we do inventory again, but a couple items are off by a couple numbers (possibly an error in the initial inventory, or an error in data entry), is there any way to update the most current inventory if it doesn't match what it should be?

Thanks. If actual inventory is not matching what is in the template, please add an ADJUST order.
ADJUST: We can create an ADJUST order and enter negative quantity values to reduce inventory or positive values to increase inventory as needed. This can be used to adjust our inventory numbers to ensure that the numbers match the inventory on hand. For example, we may lose products due to damage or expiry or other reasons. We would want to adjust our inventory accordingly and that’s where we can use ADJUST order type.

The video is well explained. I have filled in all the tabs with my product information and have read 'how to use this template''. However, the green coloms are not automatically filling in the prices... the other coloms work. What am I doing wrong? Their are no blank cells aswell regarding the purple ones. Also, when I save your sample template and want to add a product the prices are gone too. I hope you can help me out.

Thank you for your reply! I thought that I replied but I do not see an answer... Anyway I checked the excel version and I noticed that it was still 2007.I bought office 365 and the prices showed up. I have filled everything in and I thought it worked. Until I go to the order details. The prices all come up. However, when I go to the second order and I choose product name the price does not show up. Unless I delete the details in the row and try again. It only appears so when I go to the next row, which is below the line. To give a clear example in your video when you explain about the 'order details tab' the last order is in row 45, if I would add an order to row 46 it will change to the colour white/gray and when I insert the order number and than te product name, no prices show up. It also does not matter if I would select product name first and than insert order number. I hope you can help me out. It would be a great template if it would all work:)

no sir...example you have 3 or more branches you have main branch which you will received all the items there and you will distribute or allocate how many each item you want to allocate in other branch....example my beginning on january is 500 s,m,l,xl for my inventory,i have sales 100 each sizes for january,i have transfer 100 each sizes,i have transfer each branches 20pcs each sizes then i have damages 10pcs each then how many i have now in my template something like that sir...did u get it? =)..thanks for your reply...i hope you will get my point...and better if you will teach how you make the formula for your template for us to understand...thanks!

Please provide some more details on the products. Categorization depends on a few factors - how your customers perceive the different products, how the industry categories products, how you would like to organize the products,....
Make them such a way that customers can find the products they need easily. You would not want to have too many categories with only 1 or two items in a category.
This is just based on my experience with management of products on indzara.com.
