So almost immediately I couldn't implement the My Task view on the free plan. My hope was to set everything up and use it for a few weeks before we wanted to fully adopt and start paying for the full features. So my question is, do you know how much it would cost in total per seat to make this whole setup work like you show?
Each individual contributor is going to have their own "My Tasks" view at the everything level. So yes, each person should have their own and they should set that view to private so that only they can see it. You can create the view and then save it as a template for everyone to deploy and customize it. There's a little more detail on this view in this video: ua-cam.com/video/ebp1FGgw2X0/v-deo.html
It's better for views and categorizing work for reporting. If you put everything in one space, you'll find it much more difficult to understand which work is delivery focused, operations focused, or growth focused. Plus, it'll clog up your views a bit more and decrease your visibility.
Where do you set internal tasks, such as Create Proposal for Client X? I suppose we can also use the parent/subtask system for this, in which the subtasks have all the steps of building a proposal
You can use the Growth space for this. Your Growth space is for your sales and marketing tasks. But yes, you'll have a parent task as "Proposal" and all of your subtasks will be for building and sending the proposal.
Thanks for the insight! One question nonetheless. If I understand correctly, often 1 person works on 1 task. How does this work in meetings? Is a meeting a sub-task and a participant a sub-sub-task?
Each person would get a subtask for the meeting and they would be labeled as "Lead [meeting name]", "Attend [meeting name]", "Attend [meeting name]", etc. This helps your team confidently close their task after they attend the meeting. Otherwise, with multiple assignees on a task, nobody would know who should close the task.
What is a subtask requires multiple people to work on? For instance "Home Page design" and you need to provide two options which will require 2 resources? Whats the work around that?
We'd have to dig in to this specific situation a bit more, but you want to make sure each person has their own subtask to work on. Even if it's a similar or the same task, make sure everyone has their own subtask to work on and close when they complete it.
Great question! Your process library acts as your source files for ClickUp templates. the ClickUp template center can be used for deploying templates, but you can't edit them directly in the template center (yet!). The process library is where you can build your templates and edit them when you need to update a process in the future!
Hey there @Zenpilot team, we are currently using Parent tasks for monthly recurring retainers, then putting all the (sub)tasks we have within the month as a subtask. Do you recommend this route, or something else? For example: - May 2024 - (renewal/purchase date) -- Subtask (2nd level) -- Deliverable Subtask (2nd level) --- Design Deliverable (3rd level subtask) --- Development Deliverable (3rd level subtask) Do you feel this is the best path? We're having problems on how to handle if a task runs between months? Right now, moving the subtask moves all the time tracked into the new parent task (month) which doesn't work. Do you think we should omitt this practice? Thank you!
Yes, this is not the best way for doing this. Instead of your parent tasks representing recurring retainers, you could have your lists represent those retainers. Then, every task that falls within that retainer should be placed in that list. Your parent tasks would then represent deliverables and subtasks would be actionable steps needed to complete that deliverable. It would make it much easier to manage and then help with time tracking.
Here's a more thorough walk through of ClickUp task types (ua-cam.com/video/Y1m9Fs2LQnk/v-deo.htmlsi=wPorqHc7VeyKXVup). This will offer a helpful walkthrough of how and why they're used.
how to develop this board? i see you have different client folders and tasks assigned to it. how can i create this exatct board which you're showing. is there any tutorial for this
This is actually a custom API and solution that we've built to extract ClickUp data and combine budgets, rates, expenses etc. You can learn more about it on our website here: www.zenpilot.com/agency-profitability-and-utilization-reporting

@@ZenPilot Hi, I was just trying to download the free client health tracker template and saw that it isnt free anymore. Is there any chance to still get it "free"?
It's a ClickApp so you may need to turn it on if it's not showing up. Check out the beginning of this video for help! ua-cam.com/video/IJ6ms1mKFtU/v-deo.html&lc=UgzX4BEYBtxX3AXvGNd4AaABAg

I'm shocked that your channel doesn't have more subscribers. This video is amazing and I took about 2 hours pouring through it. Well done!

I'd at least push for the Business plan if possible. It depends on team size, but we typically recommend Business at minimum!
@@ZenPilot Okay great, I just looked that up. That's the $12/mo on the annual plan, or $19/mo monthly if anyone else is wondering
This was really helpful. Exactly what I was looking for
Love to hear it!
Great content! Question though, how do you set up my list view for multiple individual contributors? Is it a new "my List" view for each contributor?
Each individual contributor is going to have their own "My Tasks" view at the everything level. So yes, each person should have their own and they should set that view to private so that only they can see it.

great video! quick question why do you create a Space for each section instead of a folder in one space?
It's better for views and categorizing work for reporting.
