  • In this beginners video tutorial on Power Apps working with SharePoint List Relationships we will learn how to connect PowerApps to multiple SharePoint lists which are related. We will showcase the related SharePoint Lists in Power Apps galleries and forms and relate the lists together using the internal identity (ID) column of SharePoint Lists. The SharePoint lists will be related to each other in a one-to-many relationship. We will create/update tasks in the related list for reach item created in the main list.

      Hello Reza. I don’t suppose you would put together a video to demonstrate how to use a repeating “child” form (e.g., like your editable grid videos,) that links to the parent record? As an example, extending this concept keeping content as the parent but having related tasks as the child with repeating editable rows?

    Reza,
    First, I want to thank you for your continued contributions to the Power platform community. Second, in this video I have all the parts working completely until, 7:33 when you display the "Ref Id" on the actions form. My varRecord is working perfectly on Content form but for some reason with the following formula i cannot populate the "Ref Id" field in the tasks form: If(taskFrom.Mode = FormMode.New, varRecord.ID, ThisItem.'Ref Id'. The only difference is that on my SharePoint list my 'Ref Id' is a lookup column that points to the 'ID' column of the Content List. You mentioned using a lookup in your video at 2:18 but, never gave any other info on the "Ref ID' lookup. Thanks again!

    Great work Reza. This is excellent. I have been struggling with this concept of repeating table. What if i need to maintain the main form with data and a subform, in a tabular view, where new rows are created for each new entry in the subform (in that case a table) and make one commit to store all records both for the main form and subform without the user moving back and forth.

      Here the key is to get the ID of the main form before user starts adding sub forms. You could just patch the main form first and then in same function start patching subforms but if main form submission fails for some reason, then user will be left in an inconsistent state. There is no rollback feature in Power Apps with relation to SharePoint.
      In this video, after user submits main form, I redirect user to home page. Instead of that you can keep user on the same form page, where they can straight away start adding subforms.

    Hi, Reza. This is an excellent tutorial. Please assist instead of performing a (1-to-many) filter on tasks. I have two separate apps in which tasks can be assigned to multiple users. However, I would like a gallery to filter many-to-one. Show all tasks assigned to the user. These tasks can be from different project items. Therefore, App 1 creates an item and allows the user to assign tasks to multiple users. App 2 lists user tasks from different items/projects created in App 1. I hope this makes sense. Thanks

    Hi, thank you for the brill tutorials. I have learnt so much from them. I was wondering how this would work in power automate with relationship lists. I have managed to figure out ID to ID but can not figure out how to send a html table to the manager allocated in list 1 that is responsible for those items in list 2 as the only thing that connects them is the ID? Thank you :)

    Reza, thank you for this demo! Have you ever done one for Risks where the parent list is an "if..then.." statement and probability of occurrence and consequences (potential impacts to cost, schedule, or performance) and the children lists would be the mitigation steps to reduce the probability or impacts? I can see how this demo could be used to show the Risk item and its associated mitigation steps. I'm also curious if it's possible to show a graph (waterfall) of the progress of the mitigation steps over time. Again, this is a wonderful demo!

      I have not done any specific video on Risks scenario but the technique in video could very well be used.
      Power Apps is limited in terms of graphs or charts. Power BI would be a good option for that. You can add Power BI Tiles and reports in power apps.
      I will also recommend checking on the forums at powerusers.microsoft.com/ in case someone has done something similar.

    Thank you very much - I find your videos very easy to follow! and so useful! I would like to bring in an additional field to the Task list. How would I bring in an additional choice field - say the status field? I am using the concept to build a project status update form and I am wanting to copy in the Current status so that it stays with the comment but because it is a record it is not coming across correctly, I need to make it to a text field I think

      If its a record of a list item.
      You can directly get all column values using (assuming record is called x) x.columname.

    Hi Reza. Thank you very much for your videos, they are incredibly useful. I had a question though. What if instead of a single screen form you need to relate the gallery to a multiple-screen form (using patch instead of submitForm)? When I use patch the ID of the main form doesn't transfer anymore to the "Task Ref ID" column in the task form. Without the ID I can't seem to properly filter the gallery. Any idea what I am missing? Thank you very much.

      I have done many videos on filtering. Idea is to filter records in gallery based on selection of main gallery item.

    Reza, you are a super star! I'm learning so much thanks to you. In case you have a filter in the main screen, is it possible to hide the gallery (or not to show the data) and show them only after you search by Title or Status (whatever the filter is)?

      You can check if any of the filter controls have values and accordingly show hide the gallery.

    I need some help with implementing Accordion collapsible , I tried using Nested galleries but I am facing performance issue as you said, I have a case like there are questions and Sub questions to be displayed, when clicked on question, it's related sub questions to be displayed, just below question.

    Hi Reza - Fantastic video - I have used your system to make a one-to-many. Can you suggest a way that you can tell the main SharePoint list that there is a task set? Then I want to count the number of records in the original SharePoint list that have no tasks set. Cheers!

    Hey Reza, this has been a very helpful how-to. How do I do this with lookup Instead of text? Set lookup value which would be an ID to Parent item.

      For Lookup column, you would need to set default value using lookup column syntax. I have done a video on Patch function which shows that syntax. Also, when querying data on home screen related list gallery, you would need to filter on lookup column. I have done a video on that as well.

      You must be using a query in your filter function which is not delegable.
      Cannot help without knowing what your query is and on what column type is it being fired on.

    Hi Reza, thanks for this useful video. I have a similar situation in my project, my difficult is that I need to filter data in a sharepoint list, based on value in another sharepoint list. Using your example: How can I filter "Content gallery", starting for "Complete Task" status?? For example, I have a combo box that contains Task Complete chioice "true" and "false". If I select one of combobox value (false for example), I would like to see which "Content" have task in "complete status" = false. Have you do a video that explain this situation??? Thanks!!

    Wow this is great! Thanks for demonstrating all of this. At work, we have a spreadsheet with about 7 worksheets, each containing a list of all employees and the dates at which they completed certain types of training. Some worksheets contain as many as 20 columns (all different training modules). The issue is, when an employee leaves or is recruited, we need to go into all worksheets and make he same adjustments and people are neglecting to do this.
    Do you think powerapps could help in simplifying this?

      Possible. You may want to look at data sources that support relational data like SQL or Dataverse.

    Hi Reza: I have been following your video to the "T" for my App. It has been a blessing for me. Many thanks. I however have an additional requirement. I need to duplicate the reoccurring tasks on demand. My Ref ID is giving me trouble during Patch. Do you have any guidance video to help resolve the related Task "copy" and "edit" functionality for the reoccurring tasks? If so, can you point me to that please?

    Reza, great video as I have come to expect on your channel! Loving it. Question though, on the scenario, you have tasks added separately once the Content was submitted to Sharepoint. Is there a possibility or way, to give the user the ability to complete they tasks without having to navigate away. I was thinking setting up a Content Info screen that would capture the details and generate the unique ID, but in stead of navigating back to the home screen, navigating to the Content Info Screen with the Tasks lists now active, and of course, linked to the ID. Is that possible?

      Your use case is possible. Challenge is the main list needs to have the item generated to get the item ID for the sub tasks.
      I did a video related to Microsoft Dataverse (NOT SharePoint), but the concept applied there should work for SharePoint as well.

    This is relatively easy to follow and after a few hours I am pretty happy with what I have created for a workload tracker for our team. I just finished watching the creating tabs video, anyone know if it’s possible to create something similar to the task relationship list in this video as a tab to the main form? Where you can view the related tasks on a different tab.

    Hi Reza, your videos have helped me a lot, thank you!! I tried to recreate this tutorial, however it's slightly different and I can't seem to fix the issue I have. My content Info form has both save and edit button. When user creates new data in content form in edit mode, save button should be enabled. When user clicks on save button after adding new data, content form will be switched to view mode, save button disabled and edit button enabled. My issue is, when creating new data and clicking save button - the form does not show view mode when I preview the app, it shows 'No item to display'. But I can see the view mode when I exit the preview. The form property's DefaultMode is view. Please advise, thanks in advance!
