Had a person ask about a Canon C3020. We don't sell that model, but it looks like any ImageClass machine. For those the menu system looks different. You may find SMTP settings under Setting/Registration -> TX Settings -> Network Settings - Email/I-Fax Settings In here you can enter your SMTP setting information.

I finally turned off some setting and I don't even know what it was and finally got my email scan working. For a while I broke my scan to google drive which had previously been working. It was asking me for LDAP server info and login stuff on the printer screen when it usually just scanned away to the cloud. I finally got it working.. but I don't even feel proud of my accomplishment, lol. This is way too complex for someone who isn't either very determined or in IT. I don't understand why it can't as simple as entering an email from the screen and it sends.
Thank you so much. I was forced to factory reset my printer and the one step I kept missing was the "App Password". I kept using my Google Password and was getting a #806 error. You allowed me to keep my hair :)
Great walkthrough! I've done each step. However, I'm receiving a message "Could not find the server. Check the SMTP server settings and the DNS settings." I can't figure out what is wrong. Would you be able to help? A couple things to note: Printer is Canon C165 Within the Network Settings - Email/I-Fax Settings I have an additional section labeled "Specify Port Number for SMTP TX/POP RX" I have to put port numbers in for SMTP TX and POP TX. It seems on my research you need a Google Business account. There is no mention of a personal account. Would that be effecting anything? Anyway, any help on this would be great! Thanks
I needed the port settings. On my mf641cw port settings are at menu>prefernces>network>tcp/ip settings>port number settings> smtp>465 Thanks very much!!
Can you make a video/ do you have a video about normal SMTP? From any provider, not just google with the app password. Because that is really specific to google. Also unfortunately I don't have the "Check SMTP connection" button on a C255
As long as the firmware is somewhat current, the machine will do TLS. They did not re-label the names on the screen. But my experience is the machine will use TLS on these ports. If enabled and your machine is configured to access the internet (assume it is since you are asking about scan to email), you can check for updates Under Additional Functions -> Management Settings -> License/Other -> Register/Update Software -> Update Firmware

How do you get an POP password for outlook emails? I got the SMTP info for outlook but this video isn't explaining how to do verification or get a "POP" password for Outlook too, just seeing the APP password info for gmail....

Thank you for this. I was able to follow along all the way up until you got to the copier. My 400iF has different requirements. Like an SMTP authentication Password. I put in my gmail password but that doesn't work. I also tried the app password but that did not work. Quite possible I need to change a setting in SMTP but not sure what. Anyone know?

It is in the Service Mode on older models. I am not allowed to tell you how to get into service mode, but you can find on internet. Search change smtp port.
On the older models, you need to change the SMTP TX Port in service mode. As a dealer I can not tell you how to get into service mode to change that, but there are many videos out there showing you how.
For some reason this setting is in the "service mode", I can't put instructions on the web on how to overcome and change this. But others have. Search how to change smtp port. Also if you are switching to port 465, probably need to make sure Allow SSL under SMTP authentication screen is enabled.

Canon does not have link lights, but the router/switch normally do. I would call your local copier company for support.
I assume you are referencing your Copiers Username & Password. Out of the box, Canon likes the combination of Usr/Pass: Administrator / 7654321 or Usr/Pass: 7654321 / 7654321. If you purchased from a local dealer they may have changed these during setup. We do for security purposes.

From memory, Canon 400if will not work without the special firmware. Don’t think it does the right ssl encryption without it.
Great video. I haven't found a way to send emails from a domain address to an external email.
Is it any configuration I can do to the printer stop break the files in 2 emails when it's more than 30 pages?
Look for the Maximum Data Size for Send, Setting/Registration -> Function Settings -> Send -> Email -> Max Data Size. Set this to ZERO, for no limit
