Excel Chart Tip: Add an Excel graph to PowerPoint with linking

  • If you want to add or insert an Excel chart into a PowerPoint slide, this video gives you two methods for doing so where there is a link between the chart in the PowerPoint slide and the chart or data in Excel.
    This video is part of my Excel Chart Tips video series. These videos are inspired by the work I do with business professionals to visually communicate financial results and analysis as well as the forum posts I answer from users on MrExcel.com.
    In this video I show two methods for adding an Excel chart/graph to a PowerPoint slide where the chart/graph is linked to the Excel workbook so the PowerPoint slide can be updated with the latest data in the Excel file.     Hey, great video! I need this feature for some of my Excel charts, but when I import them into PowerPoint with this linked option, all text formatting options are "reset," such as the font. How can I overcome this problem? It ruins the appearance of the chart.

    but when I am pasting the graph from excel using paste link formula, saving the ppt and reopening it and clicking on update link. Graph is automatically getting resized. How to deal with that?

    When sharing the power point do we need to share the excel as well? So that the object is visible?

      If you are sharing the file with others and you want them to be able to update or edit the graph, they need to have access to the Excel file, either because you shared the file with them or the file is on a common shared drive. If you want them to just view the slides it should work without sharing the Excel file.

    Hi, nice video: there are 2 following questions: 1. i have set the connection between the PPT1 and EXCEL1, I need to make the next monthly report so I need to make a copy of both and change the name to PPT2 and EXCEL2.
    Does the link still work? which means I will change EXCEL2 then hope PPT2 will refresh
    (I tried, sometimes it does not work but I do not know why, any suggestion?)
    2. when I doing the copy. some times the size of the graph in PPT2 will change when I change the number in EXCEL2
    in your video, you have the original small size of ‘excel link object’ then you enlarge the graph when I update EXCLE2, i have my new graph change back to a smaller size. any suggestions about how to improve that?

      Thanks for the positive comment on the video.
      When you copy the files for the next monthly report, PowerPoint won't know that the linked file name changed so I would not expect it to work. Instead I suggest you consider having only PPT1 and EXCEL1. In EXCEL1, use Excel's linking feature to refer to the correct month's data. That way, whenever you update the links in the EXCEL1 file, the correct graph shows up in PPT1.
      On the second question, if you use the method that links to the Excel chart object, it may be because all of the object attributes are being used, including the chart size in Excel. I am not sure which changes in Excel would cause all the attributes to be copied (if that is what is happening) so I can't say for sure how to improve it.

    Is there a way to have a relative Path to the Excel Sheet? E.g. Data_for_charts.xlsx in the same folder? Or is it necessarily a fixed path?

      Unfortunately, I believe the answer is "it depends". If the file you are linking to is synced to the cloud (ie. SharePoint or OneDrive), PowerPoint will replace the local folder file name with the full URL to the file on the cloud service. If all files are only local, there is a better chance that the relative file name would be used (but no guarantee that this won't change in the future). With more and more files being online, this relative file name benefit will become less available to users. Linking to online files is an issue for everyone and we have raised it to Microsoft in the past.

    Getting issues after linking..i closed and opened both excel and ppt after linking...but graphs got overlaped and graphs types changed...everything is overlapped now..can anyone help?
