🔍 As a project manager and PMP aspirant you need to understand both the theories. Your PMP exam will have scenario-based questions on these theories. Once you understand the concept with a practical example, it would be much easier to solve. In this enlightening session, Gautham explores two fundamental theories -
1. Theory X and Theory Y by Douglas McGregor.
2. Maslow's Hierarchy of Needs.
Theory X managers believe team members dislike their work, avoid responsibility, and need constant direction. Gautham illustrates this approach with a practical example that brings the theory to life.
🌈 On the flip side, Theory Y managers assume their team members enjoy their work, take ownership, and only need a little guidance. Gautham shares another practical example to demonstrate how this theory can be applied effectively.
🔄 But wait, it's not a one-size-fits-all situation! Gautham emphasizes that project managers can switch between Theory X and Theory Y based on the team's needs. Discover how to keep your team motivated with rewards, recognition, or the right managerial approach tailored to the task at hand.
🏆 Next on the agenda is Maslow's Hierarchy of Needs. Gautham breaks down the stages - Physiological, Safety, Belonging, Esteem, and Self-Actualization - and relates them to real-world scenarios. Understand how fulfilling these needs can lead to a motivated and engaged team.
💡 Challenge yourself with Gautham's scenario-based questions applying Theory X and Theory Y. Share your answers in the comments, and Gautham will personally respond, providing valuable insights and feedback. It's an interactive learning experience you don't want to miss!

Very impressive!! Gautham
Scenario 1 is theory X because he is ensuring 1000 units every day which looks like he is doing monitoring and control, at the same time he is motivating the team with recognition, this is theory X.
Scenario 2 is of theory Y , because the team is self motivated by doing a development kind of job at the same time he is assuming team has motivated with this job.
Awesome job !!
Gautham
QQ1
Scenario 1: X
Reason: Shevi has a target to achieve each week and she is trying to motivate the repetitive work that the team is doing by rewarding at the end of the week.
Scenario 2: Y
Reason: Vivian has a team who is self motivated with the objective and is ok to let the team self organize While sustaining their project execution.

Scenerio 2 : Vihaan is using Theory Y. The team is involved in innovative work. Team is self organizing & self motivated.
Q 2. Answer is A. Santhi is working hard to get promotion & salary hike
Very impressive!! Gautham
Question no 1:
Scenario 1: Theory X because shevi is tracking his resources on a daily basis inorder get the deliverables done and to appreciate that he has gone for rewarding them .
Scenario 2: Theory Y since vihaan. Team is self organized and Innovative in creating ideas Moreover they were motivated by their work.
Question no : 2 Answer is Esteem
Very impressive!! Gautham
Hi gautham . Hope u remember me . This is Jithu ettan.
Qns-1 - Scenario 1 - Theory X bcz shevi is conducting meeting everyday to and reward them
Scenario-2 - Theory Y self organizing highly motivated their job itself
Awesome job!! Gautham
Scenario 1 - States Theory X Manager, as the PM doing daily progress tracking and Rewarding the team on completion of the Job.
For scenario 2 , manager follows theory Y as the team is self motivated and getting satisfaction on achieving the target.
For Second Question the option A is correct as Santhi has reached at stage of esteem after completing her basic needs, got secured job and getting social as time progress , now she is thinking about promotion and hike.
Loving your thought process. Gautham
Question 1
Scenario 1: Theory X because Shevi needs to deliver 1000 Products every day and the work portfolio is same for every team member
Scenario 2: Theory Y because Vihaan’s team doing an innovative product which is revolutionary in the industry and team is self-motivated.
Question 2: Esteem because she is getting promotions and hike and performing 100% which motivates her to go on next level i.e. self-actualization.
Loving your thought process. Gautham
Q1. Scenarion#1 is doing THEORY-X because the Team is doing repetive jobs and PM gives the rewards to the best perfomer in order to motive the team.
Q1. Scenarion#2 is doing THEORY-Y because the Team is doing Innovative and creative jobs and they ore Self-Organized Team and the doesnt reaally require motivation.
Q2. The answer is Esteem because as per "ABRAHAM MASLOW'S HIERARCHY OF NEEDS" only when a person gain recognition, respect and Promotion to reach ESTEEM level, therefore Santhi is trying to reach Esteem level by giving herself 100% to get promoted.
Very impressive !!
Gautham
Theory X, Theory Y, Change, Theory Y.
Keep up the good work !!
Gautham
QUESTION 1
Scenario 1: This is related to THEORY X management style since the project focuses team to deliver 1000 products repeatedly. Manager conducts daily meeting, checking the status and rewards best performer
Scenario 2: This is related to THEORY Y management style since the project is about research and development, the team here is self-motivated towards the work they are doing. They love their work.
QUESTION 2
Option B is wrong since Santhi is already working in an MNC physiological needs i.e. basic food , shelter and worm are already met
Option C is wrong, since Santhi is working hard giving her 100% for promotion, she will continue to do so until she reaches Self-Actualization hence, self-actualization is not met yet and this will be met once Esteem is met.
Option D is wrong, again since she is working in MNC she already has a secured job hence Job safety is already there, hence Saftey needs are already met.
Hence Option A is the right choice , by working hard and giving her 100% she is trying to get promotion in next cycle, hence she is trying to meet her Esteem needs.
That is exactly how you should think.
Gautham
Q1: Scenario 1 - Theory X as this is a monotonous work pattern;
Scenario 2 - Theory Y as this is an dynamic work pattern;
Q2: Esteem Needs for Promotion
Question1 Scenario 1 : Since its a repetitive work, and everyday meetings indicate closely micro managing so the Answer is Theory X style
Q 1 Scenario 2: The project involves working with cutting edge technology which itself is motivating for the team so this is Theory Y
Q2: Shanti is trying to satisfy her Esteem. Promotion is the keyword for. esteem needs
Loving your thought process. Gautham
Q1. Scenario A - Theory X - Repetitive work, daily standup meetings and rewards
Scenario B - Theory Y - New and innovative work, motivated and self organizing team
Q2. Esteem need - Promotion and hike linked
Very impressive!!
Gautham
Scenario 1 is theory X because first reason is this repetitive nature of work or can say routine work nothing is there for self-motivation so manager is giving rewards for performers.
Scenario 2 is theory Y because team is doing innovative work which need R&D and learning opportunity on daily bases, so these people are self-motivated and need no rewards.
Awesome job !!
Gautham
Scenario 1- Theory X , as it is more related to team doing a monotonous job ,which is to produce same product , same qt everyday . Doing similar work daily can bring lack of motivation towards career development . Scenario 2- Theory Y , This leads to innovation which is going to change the future , as its new to the team it can keep them motivated and question also indicate that the team is very happy and one important fact about theory Y is , leader understands that team is self capable of doing thing and have trust in team and if the team member is feeling motivated it speaks about they liking the work .
Very Impressive !!
Gautham
Question 1:
Scenario 1: Theory X = The team is working on the same tasks every day and is asked to produce 1000 units by Shevi, She is also connecting with the team daily to ensure the team has produced 1000 units and she is rewarding the employees based on best performance.
Scenario 2: Theory Y = The team is working on an innovative project and is highly motivated, Vihaan is self-organizing the team.
Question 2: Santhi is trying to satisfy her Esteem needs = Since Santhi has already fulfilled her Physiological & Safety needs, She is working 100% to achieve her appraisals.
Very Impressive !!
Gautham
QUESTION 1.
Theory X - Scenario - 1. Key word Every day status meeting and end of the project team is motivated by rewards.
Theory Y - Scenario - 2 key word team is doing innovative works self motivated.
Question - 2
A - Santhi looking for promotion and hike.
Keep up the good work!!
Gautham
Q1. first scenario is X, since it sounds like repetitive work and second scenario is Y, as it is more modern where team is self organizing. Q2. IT is Esteem, since she is already doing fine with her career, just want to push the needle a bit more by getting a promotion hence its Esteem.
Awesome job !!
Gautham
Scenario 1 is theory x because of the operational or reppetive style of work, Scenario 2 is theory Y since the innovative nature of work keeping the employees motivated. Question 2 answer is Esteem since Santhi has already fulfilled her physiological and safety needs however she is not in her self actualization state
Awesome job!! Gautham
Question 1:
Scenario 1 : Theory X: Since there is KPI to reach every day, there is a need of more disciplined approach.
Scenario 2: Theory Y, since it is still in developing stage, team members need the space to work around their ideas, unlike Scenario 1 where processes are nearly established.
Question 2 : Esteem.
Very impressive!! Gautham
Q1.Scenario 1 Theory X (1000 units everyday is a repetitive job so she makes sure his team is motivated by giving reward )
Scenario 2 -Theory Y (Team is self motivated by doing innovative project and Vihaan is self organizing the team)
Q2. Esteem ( She is giving her best to get the promotion and hike)
Very impressive!!
Gautham
Question 1
Sceanrio1: Theory X Manager: Because Shevi is constantly directing his team members and making sure it is completed which is bit authoritative. at the end he is also motivating by giving rewards/incentives which is Theory "X" style
Scenario 2: Theory Y Manager: Because Vihaan team members like the project and are self motivated and Self organizing by taking the ownership in building the cell phone which is Theory Y manager
Question 2: Esteem , as Santhi is seek for rewards, promotions etc..
Very impressive!! Gautham
Q1Theory X because project manager is continuously monitoring his team work as he don't have much trust that team member is motivated enough to do the work. He is rewarding the team for their best performance.
Q2 Theory y because PM trusting his team that they are motivated and will complete the work. He is not rewarding the team for their best performance in the work.
Q2 Esteem as PM is looking for his promotion.
Loving your thought process.
Gautham
Thank you so much
I am writing tomorrow
Thanks for watching !!
Gautham
Thanks once again for an excellent explanation.
Q1 - Scenario A - Theory X Manager - As the work is routine, Shivani follows the theory X manager method and rewards the team when they perform well to keep them motivated in their daily tasks.
Q1 - Scenario B - Theory Y Manager - As the work is challenging and research, Vihaan follows the theory Y manager method and self-organises the team as they are already motivated for their work.
Q2 - Esteem - As Santhi has an appraisal and expects a promotion and hike, she is giving her 100%.
Very impressive!! Gautham
Scenario 1: Shevi follows theory x, as the job is routine. It’s common for a human to get distressed and lose interest in doing routine jobs. To handle such situations the manager should follow theory x to safeguard the project objective/goal.
Scenario 2: Vihhan follows theory y, as the team members are working on innovative jobs, which will keep them highly motivated.
Question 2: Santhi is trying to satisfy her “Esteem” needs in this scenario. She is putting her 100% effort into getting the promotion and hike.
That is exactly how you should think. Gautham
Scenario 1 is definitely handing out that "Carrot" :D - Theory X... my least preferred too, as it is very "Industrial-age" way of Managing applicable for physical labor that started with the assembly line and time-punching. Scenario 2 sounds like Theory Y sounds a lot more like leading/trusting as needed in the knowledge-worker-age :) . For Question 2, she is having an appraisal soon, and giving it "your best" means you are motivated to satisfy her need for esteem. I always liked "Maslow's hierarchy of needs" & I've known about it for years. Personally, I developed a preference for Stephen Covey's 7 Habits and the 8th Habit. I am surprised how little (if any) mention they make of them in any PMP guides. Anyway - great video! Thank you much!!
Loving your thought process.
Thanks for loving the video.
Gautham
Q1: Scenario 1:X theory, since she is monitoring every day and rewarding also.
Scenario 2: Y theory, since they loved the work that innovations gives them energy and drived them for output.
Q2: Esteem, since she was waiting for appraisal results to get promotion..
Thanks for your valuable and simple explanations...
Very Impressive !!
Gautham
