Thanks Scott. I have worked for years trying to maintain a standard task list, and recently I've started thinking that a calendar actually makes much better sense. You lay out a really compelling case supporting exactly that, so I think I'll make the switch. Thanks for the great video!
Been doing this for a while now. Since I saw you mention it in an older video, so thanks Scott, it works great for me. When I finish a task I make it green to get that nice "checking something off the to do list" feeling ✔
Thank you for this and I appreciate not having to rewind multiple times to decode an accent! Also wondering if there's any relevant updates since this was posted 4 years ago.
I liked the suggestion of creating a separate calendar for the tasks as well as using all day events and moving them around if they don't get completed on the original day.
Thank you for the tips, these were very helpful. The only question i have is, what should i do, if i completed a task from a all-day-event, keep them or delete them?
Great question, Niklas. Personally, I go ahead an delete them since I never have the need to go back and review. But if you'd like to keep them, you can give them a different color or assign them to a different calendar to keep them separate.
This video has been very helpful. I’m new to using the Google Calendar and now I understand the difference between Events, Tasks, and Reminders and how they work in the calendar. Thanks for the clear explanation!

Thank you very much, it is great tips. I would like to add that Google solved the issue and now also Tasks appear in the mobile version of Google Calendar.
Thank you for this overview. As I begin to make the transition from paper to electronic, I believe this is a good start as it is simple/user friendly. After I use it a while I can reassess if I need something more. Here is my plan: I will use Reminders for long term heads up (when to order supplies, prompt to begin planning something, remind others to begin planning or doing something). I will use My Tasks to brain dump items that need to be done and may even code or divide it into time sensitve (this week or this month, short term/long term or perhaps 10 minutes or less items-color coding may help but not sure if I can do this in My Tasks). I will use All Day Event to assign items from My Tasks to specific days when planning out my week. I will use appointments for time specific items like tutoring, medical, meetings etc.

Helpful video. Thank you. Is there a way to print out a list of completed tasks once you are done? At the end of the year, I would like to use this task list as a reminder for performance evaluation. Is there anyway to access the stuff that was accomplished?
Hi. How to find available time in different calendars for repetitive meetings without having to look at day by day in mosaic or agenda mode? It's possible? Thanks a lot
Hey Great video and very helpful. I was looking for a to do list and calendar app but realised I already have everything from google. BUT I have a question. Which software do you use to record your screen?
Hi! great tips! I have a question and can't find an answer online - is there a way set or program a 'type' of event that will have additional events tied to it automatically? Lets say I have a quarterly meeting, and each quarterly meeting requires some preparation meetings in set times (3 weeks prior: check with X on progress, 2 weeks prior check with Y on progress, one day after - send summery... etc.) is there a way to just submit the one major event - the quarterly meeting - and have all the other events set automatically? Hope you can help me with this one :)
Great demo! The only thing I'd like to see added is color coordinating reminders, all day events, other calendars, etc. Great job though, this really gave me some ideas! Thanks!
I’ve tried to manage my Projects and Actions from my calendar a few times, but always go back to an app, either Trello or Todoist or Asana (I’m fickle) What doesn’t work for me is when I want to immediately look at all the things I need to get done in a particular category, like my client projects, or administrative tasks, or expenses. If I suddenly had some free time pop up and wanted to be able to quickly pick something to do with that time, there was no way to do that in calendar, or it took a long time. I found I still needed a “master list” from which to choose and plan my day/week. The happy medium for me has been to keep EVERYTHING in Todoist and then during my weekly review, I assign days and/or times for projects and tasks - and with the Google Calendar integration, I can see all those things in my calendar alongside my appointments. TIP: That can get crowded in calendar view, so it’s important to have a bold colour for actual appointments when you need to be somewhere or do something at a very particular time (the difference between “meet client Bob at 3pm at the coffee shop” vs “work on blog post” . With this method, I have the ability to either look at all the projects and tasks demanding my time in Todoist and sort them by category or context, OR I can look at my calendar for appointments OR.. the best part.... I can look at them together at the same time. Tasks or projects in TD with a due date but no time appear as all-day tasks which I can then assign to a particular time when the day arrives and I can look at all the other commitments I have that day. This combo gives me peace of mind that I won’t forget a task in my calendar that I forgot to drag forward if it didn’t get done. With this method, if I don’t complete a task on the day/time I assigned it, the worst case is I’ll see it as incomplete in Todoist during my weekly review, but more likely I’ll see it at the end of the day or on the top of my list tomorrow as “Overdue.” I think I just wrote the script for my first UA-cam video..... :)
I'm leaning towards using this system too, for the same reason (wanting to see a master list and make sure I don't lose of tasks that might not have a specific due date). I might use Google Tasks to keep it in the Google ecosystem. Not sure yet, I need to experiment with how it works. I do think Todoist's task management is very robust. Thanks for the tips!
Hi Scott, I've discovered your channel a few days ago and already learned so much from it. I am looking to use Google Contact as a CRM. Would you know if there is a way to use reminders for contacts so I can be notified to call on a particular date or cycle? Thank you 🙏.
So glad that you are enjoying my content! As for a reminder in Contacts, I don't believe this is possible (except for Birthdays). You may want to look at using a CRM like Nimble which has this type of functionality built-in and will sync with your Google Contacts.

I have one calendar named ToDo (in orange) and one Done (in green). Since I'm syncing with my Mac calendar, i can then right click on the event and change calendar very easily to "done". This way it is easy to see what was done or not when looking at a week or month view. And if I needeed, then i move things around like in the above video to reschedule. I put most of my tasks at a 1h slot and plan them around the week quite evenly. I feel that if they are planned for a specific date/time I am more inclined to do them then just seeing them in a todo list that look overwhelming at times. I have a third one in blue for personal time (like tennis :). This one doesn't need to be marked as done and it allows me to quickly see how much time was spent working vs doing personal interests.
What a great set of presentations on how to use Google products. It's my favorite "go to" now, very clean and simple to understand design and its organized intuitively, just the way a user would use it. Kudos on excellent learning videos! A+
Is it possible to add an alarm to this so it alerts me that a event is happening, like example I have am appointment for the doctors next week and it pops up the dau before to remind me.thanks
Thanks for the helpful video, however, I seem to have trouble searching for old events within the calendar search bar. Why are my events not showing? For example, I wanted to know when my last trip to New York was and failed to find within Google calendar.
Thanks so much for this, the biggest con for me is that I am not able to mark a task as done... I miss the satisfaction of that. In one of your previous videos you describe how to change the time at which your calendar displayed start (ie only from 07h00 to 20h00 visible), but I cannot seem to find it again?
to have that you're probably looking for a project management tool like jira. Jira does have the ability to set the dependencies between task and while I'm not too sure on the dependencies as I'm not using jira cloud, for jira server (no longer selling) there are plugins that offer that feature so I reckon that jira should have it on jira roadmaps
Thanks, Scott. You did a great job as usual. I don't use to-do lists as regularly as I should but I like the idea of using Google Calendar. I've tried Google Keep and Todoist but didn't stick with them. I've used Google Tasks several times and like it. I've used Keep for reminders. The use of Google Calendar is probably very efficient. I'll give it a try and see if I can stick with it.
Hi, yesterday Sep.22nd 2020, Google Calendar and Google Tasks integration arrived to my Android, so now I can see and create tasks into Google Calendar in my mobile. I didn't realized about this before so from now on, I guess it is even better, right? How do you use this new integration?
No longer need to put tasks as all day events... now you can input tasks directly. Another advantage in comparison with reminders, is that they don't combine in day view at mobile. Only restriction I see is that you cannot put sub-taks when created into mobile. Apart of that.. same as web version. Great!
Awesome video! I couldn't figure out how to get that little sidebar on the right to get the google tasks and google keep options. Anyone know this? Thanks!
Hi Scott, and thanks for all your videos, including this one! Just wondering whether you know if Google plans to add Tasks Integration to their Mobille Calendar app. The lack of it doesn’t seem to make any sense. On another note do All Day Reminders carry over to the next day. Sorry if I missed it. Thanks again.
If I may pester you a little more, there's a Contacts calendar visible on my web calendar that's not visible on the mobile app. And conversely a Birthday calendar that's visible on the mobile app but not the web version. Any idea? Do I need to add these manually.
@@accentontheoff Yes, within your mobile device, go unto your Google Calendar settings and you can enable calendars that appear on your desktop version. As for the mobile Birthday calendar, this may be associated with your device directly. i.e. many manufacturers provide their own contacts app which contains this type of info.
I didn't get very clear with this video. after I operated in the website of calendar and it displayed tasks, I installed both task and calendar app in my android mobile, and still, I can't see task in my calendar, only show in task app itself. Should I do something to integrate both apps?
You are very welcome, Pahla. I'm so glad that you enjoyed this one! All the best as you get the most out of your calendar (and keep your schedule fit and in great shape).
Query: I have 4 to 5 reminders on 1 day, and they are getting merged into one. I am unable to see them stacked one after the other in the All Day section. How do I view them separately the way they are seen in your video?
how does one control which bubble is in front of or behind when two events overlap and both are possible yet one is a little more important than the other? for example a dinner party and a concert are set for similar times. Google overlaps them in calendar, yet there is a feeling the dinner party is a little more important so you want to see that full bubble. does that make sense?
You could add a special character to the front of the event (i.e. "-" or ">") to signify done. Or you could create another calendar and then transition these events to that (so they still appear but would show in a different color).
Great question. Yes, changing the color is one method. You can also move the event to a different calendar. And you could also add a special character or prefix to the beginning of completed tasks. I hope that helps!
@@Simpletivity Thank you! Definitely helpful. Also just saw in another video by Brianna Stone to just put a ✅in beginning of that line (seems so simple in hindsight, literally a check-off).
I really appreciate your excellent advice, but for people like me who often work in China, Google apps just aren’t an option. Yes, we can use VPNs, but it’s better not to rely on them. Could you please look into Google calendar/mail/keep alternatives? I use Microsoft for most things now (desktop and android phone) and Calendars 5 on my iPad.
Thanks, but my comment was not particularly about this video’s content, but about your channel in general. More Google alternative videos (eg Microsoft), or in video demonstration about how the same outcomes/methods can be achieved in other apps, please
Help! I don't get this at all. I have a to-do list typed in MS Word for work, another for home improvements, another for family, another for coaching, another for general stuff, etc. The lists probably have over 100 items on them. I just want to put them as to-do lists in Google but I don't want them showing up on my calendar every day. I just want to be able to go to the lists and check things off when I get them done. Maybe even a way to mark the items as having different priorities. Is there a way to do this? And why when I open Google Calendar do I not have the Tasks column on the right, or anywhere? I don't even have the Tasks icon. I am using a Windows laptop. and Chrome. Any help at all would be really appreciated.

These are great ideas. Thanks for sharing!
Very Nice tip
That is the tip! Thanks!
Brilliant Tutorial very simple and explained and spoke very well, thank you Scott.
Glad you enjoyed it
Very helpful video. Applying this now in my Google calendar. Thanks! 👍🏽
You're so welcome!
Great vid! Thanks! Can you checkmark the daily tasks you completed?
hi, great video. I do not see where I can add the "tasks" calendar to my google calendar app! It just shows my Events and reminders calendars
On mobile, you will need to use the separate Tasks app.
What a great set of presentations on how to use Google products. It's my favorite "go to" now, very clean and simple to understand design and its organized intuitively, just the way a user would use it. Kudos on excellent learning videos! A+
You're very welcome!
Excellent information, well worth the time to view this video
Glad you think so!
Is it possible to add an alarm to this so it alerts me that a event is happening, like example I have am appointment for the doctors next week and it pops up the dau before to remind me.thanks
Thank you for taking the time to make this video. Every second was useful to me.
You a very welcome! Thanks for watching.
Thanks for the helpful video, however, I seem to have trouble searching for old events within the calendar search bar. Why are my events not showing? For example, I wanted to know when my last trip to New York was and failed to find within Google calendar.
Very useful information and nice presentation.Thank you very much.
Glad it was helpful!
Thanks so much for this, the biggest con for me is that I am not able to mark a task as done... I miss the satisfaction of that. In one of your previous videos you describe how to change the time at which your calendar displayed start (ie only from 07h00 to 20h00 visible), but I cannot seem to find it again?
This was an option in the older version of the calendar but is not presently available.
Thanks! You always make it so simple! :)
Thanks for sharing this!
My pleasure!
Perfect video, thanks! It lacks on google calendar just a way to put a “check”, a “done”, like a scratch or a V in the task done. It is a pity
Is there a way to see dependency (if any) among the tasks ?
Are th there any markers/ line can be drawn/ any way of visualizing that?
to have that you're probably looking for a project management tool like jira.
Thanks!
Hi, it is possible to see google tasks with mobile devices using some calendar apps like readdle calendar or tiny calendar for free or 8/15 euro.
I'm not sure if they will integrate Tasks into the mobile calendar. But yes, All-day reminders will carry-over.
Simpletivity Got it thanks :)
Simpletivity Great. Will do that thanks.
I didn't get very clear with this video. after I operated in the website of calendar and it displayed tasks, I installed both task and calendar app in my android mobile, and still, I can't see task in my calendar, only show in task app itself. Should I do something to integrate both apps?
Sorry, but the Tasks will only display within the Tasks app on mobile.
Very useful information. Thanks for the video.
Thanks.. didn't use calender like this before.. good one
Glad you liked it
Stay in this rilm Steve.
😊
Very helpful thank you!
You're welcome!
In trello, is there a check list of a checklist, or progress in each task?
HI Scott, How to Create a All task area , I could not see in my Google Calendar thanks
Ridiculously helpful, thank you!! I’ve never explored most of these features in my calendar!
You are very welcome, Pahla. I'm so glad that you enjoyed this one! All the best as you get the most out of your calendar (and keep your schedule fit and in great shape).
very nicely explained.
Glad it was helpful!
Thank you for that lesson on google calendar. I am using my IPhone calendar, and I believe it has many of the same features.
Can we add travel time in appointments?
love this channel, wanna watch all the videos, so informative and simple. No wander called Simpletivity ))
Thanks for watching, Loik!
Great video. I have been helped. Thank you very much.
You're welcome!
How can you download the information of the google calendar in a Google spreadsheet or excel in order to create a dashboard for the to-dolist
Learning a lot about gmail really helpful
Very good video with details 👌 thank you
You are most welcome!
Great video, helped a lot, thanks.
Hey Scott, super voice, easily explain, short and sweet video to begin with google calendar....keep it up....harish
Thanks, Harish!
I wish I watched this sooner - great video!
Is there a way to mark a to do item (like exercising) as "done" without deleting it?
You could add a special character to the front of the event (i.e. "-" or ">") to signify done. Or you could create another calendar and then transition these events to that (so they still appear but would show in a different color).
Informative video, thx.
Glad it was helpful!
How do you 'check off' completed tasks with the method of having it as an all-day event at the top of calendar? Change the color once completed?
Great question. Yes, changing the color is one method. You can also move the event to a different calendar. And you could also add a special character or prefix to the beginning of completed tasks. I hope that helps!
@@Simpletivity Thank you! Definitely helpful. Also just saw in another video by Brianna Stone to just put a ✅in beginning of that line (seems so simple in hindsight, literally a check-off).
Yes, adding a unique emoji can be a great idea.
This type of system can be used on almost any calendar app. For years, I applied this to the Outlook calendar.
Great video...you gave me a new perspective and this will surely help me become more productive..
So glad that I could help. Thanks for watching!
