    Would this app work to establish a snail mail list? We are collecting prospective clients’ info and need a place to organize this data and to track what and when we’ve mailed things out. I am assuming this might be a good place for an app like this...🤷🏾‍♀️

    Can you recommend how you would use different bases for project management work? Would you have a base that lists all open projects, or a different base for each? At any given point we have 40-50 active projects and 20-30 in 'pre-project'. What's the best way to maintain a single list of all of those projects within Airtable?

      I'd suggest putting all of your projects in one table and having a status field that tells you what stage the project is in. For example, you might have 'proposal, onboarding, phase I, phase II, project complete'
      Then, you can build new 'views' for each phase of projects - this way you only see the projects that require attention. This also works great when you have different team members who are in charge of various steps in the process. Assign each team member to a specific view and have them go from there.

    So excel simplified and working context not within a sheet, but separate table and just work with headers and types like in regular database design.
    I would say it’s more a simplified database table design app more so than a spreadsheet.

    Hello. Interesting concept, it looks easy to use as a small database. Question, can users/passwords be created, are there accessibility options like administrative, read-only, etc., can it produce PDF or Word reports, how about scripts?

      Hey Mauricio - thanks for the question!
      - Each user will require their own login and password
      - You can share a read only view, and limit accessibility with a password
      - There are four levels of permissions in Airtable, from read only (always free), commenter, editor, and creator. The second - fourth of these are all paid users if you are on a paid tier
      - There is a block (part of the pro subscription) that can output to a PDF (ua-cam.com/video/HyfE57VoLNY/v-deo.html)
      - Regarding scripts, if you are looking for If-this-than-that logic, Airtable integrates nicely with Zapier for the purpose of automated workflows

    Please help me know if we can create custom search form in sortable having textbook/dropdowns and as per that search query, it searches and displays data on UI

      Hi, I'm sorry I don't fully understand the question, but you can create a form that pulls data from Airtable as options in the form. I cannot display data on a UI without a third-party tool.       Depends on your goal.
      If you want to give people access to your database through a user interface or portal, check out Stacker at stacker.app
      If you want a public facing website, you can either write some custom API code, or use embed blocks. Otherwise, Table2Site is still the best platform out there at this time.

    Hi Gareth, are you able to sort pivot table data from largest to smallest in Airtable?

      Hey Steve - good question. The truth is, it depends. For example, if your pivot rows are a single select field, then you CAN adjust the sorting of the pivot table. To do this, you would just need to rearrange the order of the single select options inside of the field customization.
      However, if your pivot rows are a formula or number field, I don't believe you can re-sort the order (it will automatically rank from smallest to largest).
      That's not to say that it's not possible to find a workaround! But, I haven't found one yet.

    Interesting that when you access your account from the Android app it says you can't yet look at a gallery view, but if you share the gallery view from your desktop browser and open that link on your Android it opens the gallery view in the Airtable app.

      @@GarethPronovost Thanks. I just added a Button field with "Open URL" and the gallery view URL in the base so anytime I'm looking at the grid view on Android I can just tap the button to switch to the gallery view.

    Gareth, this is very helpful information. Thank you. My question is how do I determine the best layout to use for a table? For example, I'm a freelancer. I have a dozen clients I work with every month, and on average, I'm completing a dozen projects for each of those 12 clients. There are roughly 5 or 6 tasks that occur with each project. There is SO MUCH DATA to look at. I'd love some assistance figuring out a way that I can keep track of everything I need to work on. Would it best to create one table for each client and then have a field for each project? I'm using Trello right now and it's just overwhelming and cluttered to look at one board with tasks for all 12 clients on it. Any suggestions are much appreciated!

    If I have several boxes with multiple items in them and I want to find a specific item, can I do a search and fine which box that item is in?

      You can use CTRL+F (the standard 'find' shortcut) to search for a specific item!

    Is there a limit on the number of rows (records) Airtable can handle? Excel taps out at around a million rows. Can Airtable handle "big data"? And what formats can you export to? thanks ~

      Hey Gregg, so far Airtable's 'pro' plan caps out at 50k - definitely a long way to go to catch up with Excel, but fantastic for the average small business!

    I use airtable.. First time it was good.. but when my app user up to 20 thousand this app not get data from airtable base.. Sometime working but most of the time not working

      Hi! Thanks for watching! I agree, Airtable is a great solution in most cases. However, the API is limited to 5 requests per second. For most users, this is more than adequate, but since you have over 20,000 users (congrats, that's awesome!) it sounds like you've outgrown it. Still - that's a good problem to have! Congratulations on your success!

    I'm interested in using this for time management (i.e. tracking where in the heck all my time goes day-by-day!). Can I create a Start Time field, and End Time field and then have a 3rd field that calculates the Total Time spent between the start & finish?

      You sure can - in fact Airtable built a block (part of the 'pro' subscription) to help you do exactly that. The block makes it so you just need to start/end the timer when you work on tasks. It does all the rest.
      I haven't created a video on the time tracker yet, but will in the near future. In the meantime, maybe check out the Airtable Support article on it here:

      @@GarethPronovost Thank you for the quick reply! I don't want a timer because sometimes I will be entering start & end times at night, for tasks done during the day. I was hoping it did something like a spreadsheet where I can enter a formula of End Time - Start Time and get 00:30 or 01:00, etc.

      @@penzput No trouble - you can skip using the timer but build the same functionality. Start date/time, End date/time, and have it automatically calculate the time spent on the task!

      @@penzput Sorry, I don't have a tutorial posted on this yet, but you wouldn't need a pro version to get this to work.
      Your duration field would take the difference of your start and end date/time fields. Assume your Start date/time field was named "Start" and your End date/time field was named "End" - the formula to calculate the minutes spent would be:
      DATETIME_DIFF(End,Start,'minutes')
      The output is a number value in minutes spent on the task. You could change it to output hours, days, or seconds as well. Hope this helps get you started!

      I'm not an Access pro, but I think the biggest differences are (1) ease of use, (2) cloud based, and (3) the ability to automate from triggers. Still, they are both databases, so I'm sure there are many similarities.
