How to Cross-Reference Tables and Figures in Microsoft Word

  • Learn how to cross-reference tables and figures in Microsoft Word. We will also update cross-references after adding or deleting tables and figures.
    One benefit of using cross-references in Word is that they can be hyperlinked to the connected table or figure.
    Plus, we will briefly look at how to insert table titles and figure captions, which are required for using Word's cross-reference tool.
    These steps are for Word in Microsoft 365, Word 2019, Word 2016, Word 2013, and Word 2010.

    Very helpful video! I have one comment, maybe it will be useful for someone. In my case, the cross-reference was inserted in Calibri font 11 which is a defaul 'Normal' style in my Word. I needed a different font. But I already knew how to change this style to the font I need after watching your video about changing the styles of table titles and figure captions.

    Hi Erin. Great content. I'm running into an issue in cross-referencing to a captioned table following your guidance. For some reason, the style for the hyperlink does not match the style for the hyperlinks elsewhere in the document. For example, the other links are blue type and underlined. When I cross-reference a newly added table and click the Insert as hyperlink box, the hyperlink shows up as black bolded text. How to I get the hyperlinks for these new cross-references to match the hyperlinks for previously created content? Thanks!

      Thank you for watching! The cross-reference links are normally styled as "Normal" text by default, so I'm afraid I don't know why yours are styled differently. You may want to run the Style Inspector to see which styles are being applied. If you don't have a lot of cross-references, you could also use the Format Painter to copy the style from the previously created links to the new ones. I wish you all the best with your Word doc!

    I want to merge Figure numbers cross-referenced into one place.
    For eg: Figure 6, Figure 7, Figure 8 be mentioned cross-referenced in text like Figure (6),(7),(8) in a sentence.
    Is it possible in MS Word?
    I've seen this kind of formatting in Mendeley while citing and merging the citations for research papers.

    Hi Erin. I was wondering, how can i change all of my cross-reference across a thesis from Capital 1st letter to lower case. For example "Based on Figure 1.1" to "Based on figure 1.1". Any clue?

      The reason that you cannot do this it that you are supposed to capitalise the 't' or 'f' when referring to a table or figure within your own text.

      She actually answered it in the tutorial already. I selected all the text with similar formatting and then made it to sentence case. it worked for me. In your case, selecting lower case should work.

      Thank you for watching my video! Without editing the cross-reference field code, I'm not aware of a way to create a reference in the 1-5 format. However, after you select the first reference in the Cross-reference dialog box, you can select the Insert button and then continue to select additional references (and continue to select the Insert button) before closing the dialog box.     I'm using Word for Mac 16.6, I cannot find the "select" in the editing group.

      Thank you so much for watching! The steps shown here are only for Microsoft Word on a PC. To select text with similar formatting in Word for Mac, select the text, select Home > Styles Pane. The text style should then be selected in the Styles pane where you can select the Select All button. I plan to create a Mac version of this tutorial in the near future.

      @@erinwrightwriting I found it on the Mac version. It is in "Style Pane" button between heading styles and "create and share adobe PDF" in the menu ribbon. Similar to the Windows except it is in a drop-down menu after you click the big button.

      That is a great question. If you don't want to use Ctrl + Click, go to File > Options > Advanced > and then uncheck "Use Ctrl + Click to follow hyperlinks." The drawback is that you won't be able to edit the hyperlink text as you normally would. If you need to edit the text, right-click it and then select Edit Hyperlink from the shortcut menu.     I am stil having issue with cross-referencing. I have referenced up to chapter 3 in my writing - now chapter 4 but each time I try to insert my figure and label the new image in a new chapter, it either takes me to chapter 3 (as Figure 3-11) instead of Figure 4-1 in the new chapter 4. Kindly help. Thank you!

      Thank you for watching! I am sorry to hear that you are having this problem. I tried to replicate the issue but wasn't able to do so on my end, so it may be a software glitch. If possible, I strongly encourage you to contact Microsoft support in case it is an issue others are dealing with also.

      Thank you for watching! I'm sorry to hear that you are having trouble. If the table or figure is missing from the "For which caption" menu in the Cross-reference dialog box, ensure that your table title or figure caption was created with Word's caption tool.

I'm not sure why my figure wasn't showing up so that I could cross reference it (it did appear in the list of figures however), after an hour of messing with it, I decided to bring in a new file for the same image. Once I placed the image and inserted the caption, I was able to cross-reference it. I'm guessing the image had formatting I couldn't see. Hope that can help someone else with the same issue, or if someone knows why, that would be even better.

    how can i cross reference multiple figure in the same chapter without altering figure chapter number. examaple; figure 3.1,3.2, 3.3

      Great question! If your figure numbers already have the chapter number included, you can move your cursor and insert additional cross-references while the Cross-reference dialog box is open.
