    Renegotiation, as you explain it, seems like an essential skill. In the example you give, the reason you need to renegotiate is something you could not have avoided. It is part of your responsibility and caring as a parent to be there for your kids, so there need be no distress or guilt or self-blame attached. You also seem to feel entitled to renegotiate repeatedly, as needed, which in your case makes perfect sense. But what if the reason you need to renegotiate is something you might have avoided but did not avoid, something you were asked to do by someone that matters to you, which you have not been able to get done for long time. I am in that situation, and I have a hard time with it. First, I don't know how to feel entitled to protect my time when someone wants it, if I feel I am not able to do what they want now. I may have overcommitted myself because I would like to have done what they asked right away, but I wasn't able to do it, mostly because I'm already overwhelmed. Second, I expected to be able to get it done sooner, but anxiety is attached for me, which has led to my having barely started it during this long period, so I feel very uncomfortable. Finally, I am judging myself to be wrong for not having done this sooner. I have not wanted to give the impression that I don't care, since I do care. It is a very difficult situation for me. The other person is blaming me while still wanting me to do this, and I am blaming myself, yet not wanting to be in such a wrong position. I feel badly about the whole thing. With something like this, I am not sure what renegotiation would involve, and I have no faith that I could give any certain deadline for getting this done and actually follow through on it. Do you think this is a problem that needs to be turned into a project, or do you think that is another way to avoid doing the work involved? I cannot just not do this because it involves a major life matter that perhaps I do not want to grapple with because so much is a problem.

    For any digital system I have a metric associated with vendor lock in. The data I put into a system or purchase must be readily exportable. I want ownership instead of a license to use. (squints menacingly at Apple Music & Kindle ebooks)

    Some studies have indicated that paper planner systems are superior to their computer counterparts for productivity systems. Really what would serve most people would be a personal kanban board (backlog, next actions, done) and a calendar for appointments. Use a calendar or reminder app for notifications and bells for appointments. A kanban board and the calendar needs to be very visible and checked before any inboxes or messages are opened. A kanban board drastically simplifies the tracking and prioritization of work. Most prioritization seems to be overproduction muda (waste) because for most people prioritization of non-appointments is dynamic and fluid, which means that the work is perishable. A kanban board makes loose prioritization very easy and defers commitment to a given priority level. Microsoft instituted Kanban DBR and saw their efficiency roughly double back in the 90s.

    Thanks, Meg. How do the areas of focus and responsibility relate to the higher horizons? I'm not familar with the language, so it can be confusing. I would like some of your videos to be directed toward people who have not started a GTD system yet. They would be videos on how to get started with GTD from the VERY beginning. For example, I do not have the equipment, supplies, furniture, and physical space I need. I feel overwhelmed about how to manage this. Some of us did not learn how to plan, and it can be terrifying.

      Thanks Nancy for your feedback and we can certainly work on creating some video for people who are just starting out with GTD. The Areas of Focus horizon is the bridge level to go up and down the horizons. For example, Your Home is an area of focus and from Home you can have projects and actions re: your Home. But you might also have goals and a vision for your home as well. You might or might not have a goal or vision or even a purpose for your home but if you do you can add what you want to on these lists as well. I hope that helps. Meg

      @@megedwards5136 Yes, thanks. Your words inspired me to look up areas of focus, but that's not in the book (updated edition of GTD). Then I looked up Higher Horizons, nothing, but then I did find Horizons of Focus. Ground Level: current actions Horizon 1: current projects Horizon 2: areas of focus and responsibility (key life areas) Horizon 3: goals (what I want in life for next couple of years, near future) Horizon 4: vision (what I want in life longer range, 3 to 5 years in future) Horizon 5: purpose and principles (what really matters to me and why) I can see how Horizon 2 could be a bridge level that can shuttle between what I'm actually doing and what I care about, and that's very interesting.

    I am part of an external Plan Do Review (PDR) group at 8.30am on a Friday morning. It's slightly before my workday day starts, there's a level of accountability to show up and I attach my task and project review wrap up to this session. Friday morning can feel a bit weird, but like you come the end of Friday my energy is low, and tbh Saturday and Sunday I like to avoid getting involved with work related stuff if I can help it... it would be a slippery slope for me personally. I aim to have Friday's as a wrap up day and as long as I have a good shutdown routine, I am ready for the weekend and Monday following.

    Hello, Julie and Mary. Could you post a link to that document you are consulting about the natural planning model? It is very interesting. I realize you are presenting this example to clarify the natural planning model, not to ask for ideas for your project, so I hope you will not mind suggestions. In regard to accumulating information on how to safely preserve or increase bone density, I suggest looking into not only the value of exercise (especially of weight-bearing exercise), but also the value of supplements, such as Calcium, Magnesium, Vitamin D3, Vitamin K2-MK7, Boron, Silica, and possibly others. Since you like to make your projects fun, I suggest trying this simple exercise. I learned of it online, and it feels good and makes me laugh. Stand close enough to a weighty object, such as a piece of furniture, that you can hold onto that object for stabliity and balance. Stand in a upright position with your feet a comfortable distance apart and your body balanced over your feet. Now raise your heels slightly off the floor, and then let your heels drop back down flat onto the floor: "Bump!" The "Bump!" is the sound and feel of your body weight as it impacts against the floor. It is not a hard impact. It is just a natural fall of your feet back to the floor when you let them go. When your heels hit the floor: "Bump!" you can join in and say, "Bump!" Okay, now quickly, twice in a row: Bump! - Bump! Now let's add one more step: Bump! - Bump! (pause) Bump! Now you can do a routine: Bump! - Bump! (pause) Bump! Bump! - Bump! (pause) Bump! Bump! - Bump! (pause) Bump! I have the impression that this is a weight-bearing exercise that could affect bone density. Somehow it tickles me. Have fun with it.

    I was caregiver for my parents, so I know how stressful this can be. I did not have GTD then, which would have helped me so much. I was continually over my head with work and worry and one emergency after the next. I hear how important it was for you, Meg, to manage this health challenge well for your family members. I hear that while it was at times difficult, you were able to roll with the punches, renegotiate as needed, and take time in your garden to be alone and nurture yourself. What a great example you provide of how my experience of caregiving might have been so much less stressful and so much more manageable.

That is exactly way I did this video so if others find themselves in this situation, I wanted to show them how GTD can help them better navigate all that this entails. As I enter month 9, I continue to learn how to "pace" myself so that I don't reach burn out which so many caregivers can experience. This continue to be one of the greatest values of my weekly reviews, which is to course correct when I am feeling it start to be "overwhelming".

      Thank you for your question. I look at this as when I am getting current with my action lists sometimes by looking at them it reminds me of other actions I might like/ or need to take. The point of this step is to just to make sure all of your next actions lists are current and that you are committed to do them as soon as you can and/or that these are the action options you want to see when you are going to do work. I love the way you gave yourself a year to create your system of routines for the year, so you could include the things that came up that year as they arose. I would have believed that I needed to do it all at once in a rush, but you paced yourself with compassion, so there was no rush or stress. After that year, your routines are captured for future years, aside from inevitable changes. They could be reminders on your calendar, or in a tickler file, or on a checklist with alarms, or however you choose to remind yourself. A system I read about used 3x5 routine cards. Once you are reminded about the routine, it is interesting that you might not do the routine immediately but might balance it against other things to be done and might put the routine on your next actions list. I'm getting the picture that I feel overwhelmed partly because I have the unnecessary and self-defeating idea that I must rush and push and drive myself in order to get anything done, and that there is no time or space to be gentle with myself, to relax and take things one at a time, and to simply do the next thing, which might be taking a nap, and to enjoy the process. It's really difficult to know how to step outside that misconception. It does seem to me that I am so buried in things that everything has become an emergency, and then I can't sleep and can't function, and I procrastinate because it is all just too much. Things become urgent and panic arises when things have not been done in their right time and have been backing up for way too long. Demands arise from within and without, guilt and worry become a real problem, and the idea of taking action triggers fear because now there is not only the original situation but also the negative aspects that arise after so long. Any suggestions for where to start, Meg?

    Curious how the individual used OneNote to work out of. Did he move/convert an email into a OneNote page? Then what? Never thought of OneNote as an actual productive tool other than aaving meeting notes. Thank you for your video!

      He used the "Sections" feature to create his Projects, Next Actions, Agendas, Waiting for, Someday Maybe and so forth for his lists. Then using "add page" for each item that would go into that section. To send an email over to OneNote, you just click on "Send to OneNote" and then put that email into the appropriate section. To send an email from OneNote in your tool bar in OneNote you would click on "email page" and that allows you to send the email from OneNote. I hope that helps.

    Thank you so much for this Julie! This is the video I didn't know I needed today. I've been using GTD for ~20 years and it's always been trending towards digital. I would get very demoralized by the digital tools. Every so often, though, I would come back to a paper detox, and you've helped me realize why. Yes, it feels more natural. I do feel like I am more intentional in my commitments, my recording of what's needed, and my iteration. But, the other bad thing that digital does is that it takes away the ability to see the totality of what is on your plate. It all disappears into an amorphous series of lists that are not always as easily accessed. One false step in organizing your digital list and you may lose track of something. The organization of digital also takes a lot of time. Paper systems just require a pen, paper, and a page. The organization is as simple as an @ sign or a physical tab on the page. As Angie said above, there is a paralysis or a "procrastination by organization" phenomenon and it only gets worse when your responsibilities increase.

      I think I see what you mean. Keeping space open in the calendar for unplanned work allowed time to be carved out for this emergency, and it saved this siuation from potentially becoming a much more stressful experience than it already was. I've never understood how to get, for instance, two extra hours per day, although I understand that making space in the calendar leaves something off the calendar.

      You're so welcome! Sometimes decisions have an emotional component to them. It can be helpful to separate the emotional response I'm having to something (i.e. how I'm feeling) vs what's the action I need to take, so that I'm handling those independently.

    Good suggestions! Regarding knowing our limit for items per list, how best do we handle the reality that our limit may be insufficient to adequately capture all things that belong on that list? Is it a matter of narrowing the focus of a particular list so we are ultimately increasing our number of lists?

      Do the best you can to manage the volume of your actions in alignment with your capacity. If that could potentially be made easier by having more lists with few actions per list, then give yourself permission to experiment with that.

    Very helpful, as ever, Meg! And really useful generous example showing you in a flow day (switching back & forth whilst giving your best attention for each task/demand), then a "pinched" day (a very calm description of total overwhelm!) - and your practical actions to overcome that overwhelm. And showing that we can't always be in the driver's seat, but how a solid GTD system is a gift. (Am honing mine!!! It's a work in progress 😅)

    Having recently spent two years as a full time caregiver with my wife followed by a year of hospice care until the family member passed, I feel this to the core.     How do single actions show up in your system? Do they have a project? Do you tag the in the same way?

      Hi - I have single actions that have nothing to do with projects so I will just add them to the tag section. For example, I need to call the dentist to change the appointment. There isn't a project here so it is just on my calls list. My tag section is a combination of single actions and actions that are also part of projects. Also, when I add a single action to my inbox, I don't need to attach it to a project to it so I just tag it so that it goes into that list directly. I hope that answers your question Meg

    I use Todoist for GTD. My repeating tasks are in project called “One-time tasks” under section called “Routines”. Those tasks are also on Calendar with appropriate labels.

    Julie - I just finished watching the UA-cam video you published on Sep 6, 2024 titled: “How A GTD® Coach Manages Repeating Tasks; You asked for some feedback. Here is some. You talked about 3 approaches for managing recurring tasks: 1. Use calendar. Either “All Day” or set a day/time for the tasks. 2. Use a list manager. 3. Use a separate app. I never do number 1 to avoid cluttering up my calendar. Every day, I like to see how much unscheduled time I have so I can determine what tasks I could undertake for the day. I didn’t pick up how you see number 2 as different than number 3. Number 3 is “hands-down” the way to go, for a variety of reasons. First, my task manager (Apple Reminders), and I presume about every other task manager out there, allows the user to assign a day/time to a task without having to put it on the Calendar. Second, that approach avoids the need to look a list of recurring tasks every day. In addition, on a list, recurring tasks can be sorted by title or date. If they are categorized (placed on a special list), they can be sorted by that, too. If recurring tasks are categorized, the list of all can be filtered down to a subset. I use the term “categorize” generically. Other terms that are equivalent are “tag” and “label”. Example “categories” are: * People - Who is the task associated with” * Location - Does the task have to be done at a particular place. * Topic - What is the task about? (For example: I have these categories: Investing, medical, outdoor work, books, and cars.) * Role - Which of my roles is the task associated with? (I have these roles: Husband, father, worker, volunteer, and job seeker consultant.) Another big benefit of using a separate app is virtually all of them offer a “Kanban-like” function. That is, in addition to presenting tasks in a vertical list, it can present them in a horizontal list. This makes it easy to move tasks from on stage, status, category, etc. to another. Finally, using a task managing app will allow a user to associate a set of tasks to a project. The project becomes is treated as a task and the detailed tasks become “sub-tasks”. Also, I do one other little thing with tasks. I mark their title to reveal frequency. The titles look like this: “D - TaskDescription”, “W - TaskDescription”, , “M - TaskDescriptio”, etc. This may not be for every,one but I find it helps me when encountering recurring tasks. In your example of a task that needs to be done on the 29th of each month, you indicated that after doing it on August 29th, it will pop-up again on Sep 29. I didn’t understand what the problem was with that happening. Also, for people who use Apple devices with MacOS, iOS, & iPadOS, the new versions scheduled for release in mid-September will more closely integrate the Calendar and Reminders apps - - - getting the best of both worlds. On a personal note: You commented that you haven’t been able to figure out how to automate your order for your medicine each week. - - - Find a pharmacy that will set up “Autofill” for you.
